Megha Sharma: we are not going to ask for updates today, coz I think everyone just sent the most recent on Sunday, unless anyone has anything to update on
John Evans: just one
John Evans: Well...
Megha Sharma: sure, so lets start with John
John Evans: it seems the state of Massachusetts is saying they didn't
receive our Annual Reports...
John Evans: even though the I sent it with delivery confirmation...
John Evans: and the post office said it was delivered and signed for...
John Evans: so I'm going to have to fill them all out again and get Jeff
Foust and Kirk to sign them,..
Megha Sharma: now..did u talk to somebody over there recently
unsafe sects has entered the room.
John Evans: put a stop payment on the previous check, and send it in again.
Megha Sharma: I am sorry..which check?
John Evans: yes, Thursday, Monday, Today
Megha Sharma: oh
John Evans: the one I sent before to pay the $150 fee
Megha Sharma: ok
Megha Sharma: so are u going to send the check again?

John Evans: yes, stop payment on the first one, then send another
John Evans: Oh... and we go the bottom of the pile >:o
Megha Sharma: ok, but we gotta make sure they recieve it this time..although I dont know what more u can do to make sure that happens
John Evans: I'm going to call them the day it arrives so hopefully they
don't screw it up
Megha Sharma: that's kinda lousy on their part

John Evans: the IRS stuff should be OK, I just need to do some creative math

Megha Sharma: ok quick ques from Todd's, Kirk's and my side.....any body
intersted in going to AAS Goddard?
Elizabeth Bozek: I can't...but I am going to March Storm :-)
John Evans: I really want to, but I might have two midterms that conflict
since it's the week before spring break
Lindsay Newton: i would love to... but we'll see
Alex Rechenmacher: what are the dates again?
Lindsay Newton: we're bringing it up at our local meeting tomorrow
John Evans: 3/14-3/15
Megha Sharma: March 14, 15 I think

Megha Sharma: Jenni, hopefully AAS Goddard is the first major event we might be looking at (to answer ur earlier ques)
Jennifer Kissinger: Okay, great. Can we estimate how many students we want to sponsor, and an estimate of how much it will cost?
John Evans: I didn't think this was a sponsored event
John Evans: since we only have ~ $80 in the Travel Fund
Jennifer Kissinger: Well, our fundraising strategy is to let sponsors know what they're giving to.
Kirk Kittell: Goddard is a relatively important event since we have an
official relationship w/ AAS (and we might be able to get some of their
board members or their companies to sponsor us)
Jennifer Kissinger: So, we'd say, "We'd like to send X number of students to Y conference, estimated at Z dollars"
Todd Romberger: yeah, i mean what is a reasonable number to sponsor? 10?
Todd Romberger: depends on how much interest there is, but im sure there will be more interest the more sponsorship is available unsafe sects has left the room.
Todd Romberger: hopefully tomorrow or sometime this week i'll get an email out with all the responses i have received so far about interest in the
various events
Jennifer Kissinger: And these don't have to be exact; it's just a goal/estimate so people know what they're giving money to
Todd Romberger: so that includes exec too, if you think you want to go send me an email so i have it all in one place
Megha Sharma: ok, Todd can u send out another email, asking members to respond by so and so date, so if possible we can help raise some money
Todd Romberger: yeah no problem
Megha Sharma: cool
Todd Romberger: maybe give them a week from now?

Jennifer Kissinger: That works
Megha Sharma: do u know who we are hitting for money for this?
Todd Romberger: what should i say about funding? "there may be funding
available to help pay for the trip"?
Megha Sharma: the AAS companies?
Jennifer Kissinger: I'm not sure what the AAS companies are. We have a list of potential companies on the wiki (http://wiki.seds.org/index.php/TravelFund) and for individuals Kirk's going to send an email to the Alumni once I know what we're asking for
Megha Sharma: yea, some funding may be available
Megha Sharma: yea, lets see what the initial interest is, and we can get an idea
Todd Romberger: but alot of people won't know if they can go or not, cause it will depend on funding
Todd Romberger: its kind of a catch-22
Lindsay Newton: that's definitely true for our chapter
Lindsay Newton: and why we only sent 5 people to the conference in november
Megha Sharma: well
Megha Sharma: we have to start somewhere, I mean we can start asking for money looking at the prospective attendees
Todd Romberger: so i'll send out an email, sumarizing who has responded so far
Megha Sharma: exactly
Todd Romberger: i'll try to hint that funding is a remote possibility
Todd Romberger: and see what we get
Todd Romberger: give them a week
Megha Sharma: if somebosy is really interested, they will say, "I would if
some funding is available"
Jennifer Kissinger: Okay, then I'll have information to contact the sponsors with in a week?
Todd Romberger: and then take whatever that number of responses is, and maybe add a few to it to use as our magic number to ask companies for money
Megha Sharma: something along the sorts
Todd Romberger: yeah, hopefully a week
Megha Sharma: Directors, pl. send out ur responses to Todd if u are interested
Todd Romberger: so are we only looking to fund AAS Goddard
Todd Romberger: not march storm, correct?
Megha Sharma: this is one of the most imp. ones
Megha Sharma: not March storm, I don't think so
Megha Sharma: we can discuss it though
Todd Romberger: ok, we can just take it one event at a time
Megha Sharma: exactly
Todd Romberger: the next one after these is Space FOundation Space Symposium
Todd Romberger: so we'll do the same thing, set a date for responses, then try to hit people up for money
Todd Romberger: and so on and so forth for all the events
Todd Romberger: sound good to everyone?

Megha Sharma: well I dont know if that will be a very interesting and as
useful one to go to though
Ryan McLinko: how soon before the events do we plan on doing this
Megha Sharma: but yea, we can discuss that in the coming meetings
Megha Sharma: well AAS is march 15 th
Todd Romberger: i'd say about a month before the events we should have
responses organized
Todd Romberger: at the latest
Megha Sharma: so this is well before a month
Megha Sharma: yea
Todd Romberger: yeah, a week from now will be a month before AAS
Todd Romberger: do we think a month is enough time to nail down some funding for a few people for each of these events
Jennifer Kissinger: Which will be enough time to fundraise I think
Jennifer Kissinger: Heh, yes
Megha Sharma: Jenni and Todd, we need to get this co-ordinated well
Todd Romberger: it should be

Megha Sharma: looks like a good place for hook-ups, according to Kirk and Chris
Megha Sharma: thats what I like to hear, Todd
Kirk Kittell: listen -- if I don't come away from the AAS symposium w/ a job
or scheduled interview, then I'm inept

Kirk Kittell: that's how much I think of the AAS event

Todd Romberger: and put Space Foundation Symposium on the "secondary" list?

Elizabeth Bozek: yes, I'd definately say go chronologically
Todd Romberger: yeah, but i have kind of a primary and secondary list, primary being the most seds-like and best events
Todd Romberger: secondary being more specific to a field, or not as big of an event

Megha Sharma: email Todd, and if anything conflicts or there is more interest for a potentially low-interest event, we can discuss in the meeting
Todd Romberger: cause i think if i just put them all togethere on one list it
is too much...people won't know what's what
