Jedi8798 (8:01:07 PM): allright, tired, u? Viridis321 (8:01:15 PM): same Viridis321 (8:01:19 PM): ready for the semester to end Jedi8798 (8:01:23 PM): lol Jedi8798 (8:01:31 PM): yeah I was ready for summer break the day after spring break Viridis321 (8:01:38 PM): lol Jedi8798 (8:02:25 PM): and u? Viridis321 (8:02:51 PM): the first day of the semester lol lizeeb3 (8:04:36 PM): Alright lizeeb3 (8:04:46 PM): let's get started so we can get to everyone lizeeb3 (8:05:00 PM): As you all know today is our half year meeting lizeeb3 (8:05:15 PM): So congratulations on making it thus far lizeeb3 (8:05:44 PM): First off, does anyone have any announcements before we start the actual content for the meeting tonight? Nyeerrmm (8:06:10 PM): I have a quick question lizeeb3 (8:06:33 PM): ok go ahead Nyeerrmm (8:07:04 PM): I got a bunch of tickets from someone talking about an internship, and then it got closed before I could respond Nyeerrmm (8:07:14 PM): did someone take over the ticket or close it as spam? Nyeerrmm (8:07:34 PM): this was last night/this morning Jedi8798 (8:07:49 PM): if it was altered, closed, or moved, you should have gotten a notification Jedi8798 (8:07:56 PM): the way Chris has the system set up right now Nyeerrmm (8:08:05 PM): i got a notification that it was closed, but as far as i know never resolved lizeeb3 (8:08:09 PM): Not that I know of Jedi8798 (8:08:24 PM): If it wasnt one of us, it might have been Ben, Chris, or Kirk lizeeb3 (8:08:32 PM): Was it just sent to you? Nyeerrmm (8:08:50 PM): yeah, i think so, not sure why Nyeerrmm (8:09:05 PM): I'll go ahead and reopen it then and respond Jedi8798 (8:09:14 PM): k lizeeb3 (8:09:20 PM): cool Nyeerrmm (8:09:25 PM): i was just wanting to make sure no one else was doing it lizeeb3 (8:09:37 PM): other quick annoucnements? Jedi8798 (8:09:55 PM): I have something but I'll just cover it in my report lizeeb3 (8:10:09 PM): ok great lizeeb3 (8:10:23 PM): Well, I thought we could format the meeting like this: lizeeb3 (8:11:36 PM): Give each person about 5-7minutes to: 1.briefly summarize completed projects for this year, 2. state goals for the next half of the term/progress and 3. ask for suggestions or help if needed Jedi8798 (8:12:34 PM): sounds good. lizeeb3 (8:12:41 PM): Any volunteers on who wants to go first? Jedi8798 (8:12:47 PM): did you also want updated Gannett charts? Jedi8798 (8:12:51 PM): (sp?) rramadas009 (8:12:54 PM): I can go. lizeeb3 (8:13:08 PM): If you made significant changes in projects or time, yes that would be great lizeeb3 (8:13:21 PM): Sure go ahead rramadas009 (8:14:20 PM): 1. My main goal for this year was to add more high school chapters to SEDS, and I had two "mini" projects to accomplish that. rramadas009 (8:16:12 PM): The first , as I mentioned a few meetings ago, was to create a list of speakers who would be willing to speak at newly formed chapters. rramadas009 (8:16:14 PM): I test these speakers at my own school's chapter first before adding them to the "list" rramadas009 (8:16:35 PM): So far there are 6 members, and they've all said they'd be willing to go to chapters that form in the bay area. rramadas009 (8:16:57 PM): the second smaller goal involved with this was the creation of a list of activites that would appeal more to high school students rramadas009 (8:17:20 PM): That one requires a lot more work on my part over the second half of this year, and I'd appreciate suggestions for it after I'm done. rramadas009 (8:18:29 PM): So far, my approach to getting new chapters has been targeting schools around my region that I'm familiar with and that I know various people in. rramadas009 (8:19:13 PM): However, that approach hasn't been working all that well; so, for the second half I'm planning on "bombarding" a bunch of schools that I really haven't had much contact with about SEDS rramadas009 (8:19:54 PM): Of the schools I've contacted, two will start the process of getting astro-related clubs (which would then be part of SEDS) approved at their respective school either this week or the next. lizeeb3 (8:20:17 PM): cool rramadas009 (8:20:25 PM): That's basically it. rramadas009 (8:20:53 PM): One of my other projects was creating a sort of "video advertisement" which anybody could show as an intro to SEDS rramadas009 (8:20:54 PM): but I haven't done much work on that this first half. Jedi8798 (8:21:36 PM): (on that note, Taro of TAMU gathered footage for such a video at the Illinois conference) Jedi8798 (8:21:46 PM): (you might be able to ask him for the footage to help work on your video) Jedi8798 (8:22:19 PM): it included interviews with Peter, Bob, Chris, and lots of SEDS students rramadas009 (8:23:31 PM): Thanks a lot, any clip suggestions would be nice. lizeeb3 (8:23:31 PM): and for your first goal, send an email to exec so we can have more time to respond rramadas009 (8:23:34 PM): All right. lizeeb3 (8:23:45 PM): any questions for High School Affairs? RolandBolser (8:24:09 PM): uh Jedi8798 (8:24:11 PM): might want to work on something for the XPrize Cup RolandBolser (8:24:12 PM): just a suggestion Jedi8798 (8:24:16 PM): there will be ALOT of high schools there dandersonn43 (8:24:18 PM): Question: How do you plan on talking to the high schools if you have no contacts? Oh, and high schoolers like trips. Yeah Jedi8798 (8:24:20 PM): and very enthused by space rramadas009 (8:25:40 PM): Well, I'd contact the physics or astronomy department at high schools I don't have contacts at. dandersonn43 (8:25:58 PM): Thanks. lizeeb3 (8:26:37 PM): Alright lizeeb3 (8:26:47 PM): Brian Young is going to go next lizeeb3 (8:26:56 PM): I want to keep us on schedule as much as possible rramadas009 (8:27:01 PM): Thanks for the suggestions, everyone. Nyeerrmm (8:27:06 PM): I'm going to try and go quick because everyone decided to come in for help at work at just the wrong time Nyeerrmm (8:27:25 PM): My main accomplishments have been adding more activities to the wiki and working on the contact list more Nyeerrmm (8:27:47 PM): I've had a bit of trouble with the contact list because of some outdated contacts and that kind of thing Nyeerrmm (8:28:12 PM): but I've been working with Damion to update those and have been having much better luck lately because of that Nyeerrmm (8:29:12 PM): Those are the main things I've been doing outreach related, but I've also gotten to represent us at SEC in houston and have been trying to help Josh out with his stuff too Nyeerrmm (8:29:35 PM): As far as my goals for the next six months, they're mostly continuing what I'm doing now Nyeerrmm (8:29:54 PM): that is, working on building up the wiki and talking to chapter outreach Nyeerrmm (8:30:23 PM): because it seems to me that outreach is really best done as a local task, and I just want to make it easier to share ideas and get things going at a local level Nyeerrmm (8:30:51 PM): if everything goes very well I'd like to retry having outreach meetings on a biweekly or monthly basis, but well see how that goes Nyeerrmm (8:31:17 PM): and thats all I have lizeeb3 (8:31:42 PM): Comments for Ed Out? Jedi8798 (8:31:59 PM): Is there a set goal for a certain number of contacts by a certain date or anything? Nyeerrmm (8:32:47 PM): I'd like to talk to all the active chapters and get a contact name and at least email, and try to get them involved in the wiki activity list Jedi8798 (8:33:01 PM): and is this primarily Alumni contacts, or general contacts for SEDS? Nyeerrmm (8:33:17 PM): no no, contacts with the chapters themeselves Nyeerrmm (8:33:27 PM): which is why im working with damion on this lizeeb3 (8:33:56 PM): Can you set a date where you want to have them all contacted by? lizeeb3 (8:34:17 PM): Of course, some won't respond and it will take more than one try Nyeerrmm (8:34:22 PM): By the end of school, once school ends, everything gets more difficult lizeeb3 (8:34:32 PM): Ok lizeeb3 (8:34:35 PM): true enough lizeeb3 (8:34:57 PM): Last comments for Ed Out? lizeeb3 (8:35:39 PM): If not, Brian and Arka will talk about Publications BZWingZero (8:35:46 PM): This year, in line my goals, the NOVA became a monthly publication. An increase from the quarterly format of previous years. The format for the NOVA has also become standardized with the help of Arka. BZWingZero (8:35:58 PM): As they are requested, various print material has been created. So far, only a press release has been requested. There is now a template available by request. BZWingZero (8:36:08 PM): For the rest of the year I hope to continue to have the NOVA ready and sent out by the 1st of each month as well as complete any requested additional publications in a timely manner. BZWingZero (8:36:20 PM): When my term comes to a close, I will pass on all the templates that have been developed to whomever takes over the position next to ensure a smooth transition. peoplefrommars (8:36:48 PM): we are planning to add different features to the NOVAs...with time lizeeb3 (8:37:06 PM): what did you have in mind for the new features? peoplefrommars (8:37:23 PM): one which was planned but, I couldnt get it done...was including a letter from a particular chapter in each issue peoplefrommars (8:37:35 PM): talking about any particular project they are working on peoplefrommars (8:37:41 PM): like if its MIT Chapter rramadas009 (8:37:43 PM): i remember that being featured a few times last year rramadas009 (8:37:50 PM): that;s a good idea to bring back peoplefrommars (8:38:02 PM): yeah, that will improve different inter chapter communication lizeeb3 (8:38:14 PM): definitely peoplefrommars (8:38:15 PM): and will definitely inspire new ideas among different chapters peoplefrommars (8:38:43 PM): it shud be avilable from next issue Jedi8798 (8:39:03 PM): Actually yeah I could use your guys help with the Art project probally, I want to develop a bunch of fliers and official announcements for ISDC. Is this the type of requested publications your talking about? rramadas009 (8:39:04 PM): awesome peoplefrommars (8:39:32 PM): well...we can always help with them BZWingZero (8:39:41 PM): Yes it is. Just send the text you want included, and any specific pictures if you have and you should have a concept within a few days. Jedi8798 (8:39:47 PM): cool Jedi8798 (8:40:20 PM): I'll probally draft something for you this weekend peoplefrommars (8:40:27 PM): great lizeeb3 (8:40:46 PM): cool lizeeb3 (8:42:08 PM): Questions and comments for Publications? lizeeb3 (8:42:59 PM): Keep up the great work lizeeb3 (8:43:21 PM): Josh is going to go next Jedi8798 (8:43:26 PM): This year I have 4 project ideas I initially set out to work on, the SEDS Art Contest, SEDS Rocket/Payload Competition, SEDS Zero-G research flight, and SEDS Prize for the NASA Means Buisness Competition. Jedi8798 (8:44:40 PM): The latter 2 have been put temporarily on hold while fundraising concentrates on the first two, because the later two are primarily fundraising based with little logistics, while the first two Jedi8798 (8:44:42 PM): are more involved, and we're having enough trouble fundraising for the first two. Jedi8798 (8:45:22 PM): Rocket/Payload Progress Update: Unfortunetly I just recieved notice on the 29th that the XPrize has cancelled the Reusable Rocket Challenge for this year's Cup Jedi8798 (8:45:47 PM): Since that is the competition we were going to co-run our competition off of, we're kinda sunk on that end lizeeb3 (8:46:22 PM): X-Prize decided this recently? Jedi8798 (8:46:48 PM): To that effect I've talked to several chapters invovled, as well as Brian, Darrell, etc.. and we're of the opinion it would be best to keep planning the rocket competition, but have it be for the 08 XCup Jedi8798 (8:46:50 PM): yes Liz lizeeb3 (8:46:51 PM): I mean, did they know about SEDS intentions at that point? Jedi8798 (8:46:54 PM): yup lizeeb3 (8:46:56 PM): ok Jedi8798 (8:46:59 PM): I told them SEDS intentions in Feb lizeeb3 (8:47:10 PM): alright Jedi8798 (8:47:16 PM): and tehy said awesome, they loved having us aboard, and promised to have the rules and guidelines out by March 1st Jedi8798 (8:47:36 PM): didnt hear back from them till I poked them a few times, thats when they let me know on the 29th that it had been cancelled rramadas009 (8:47:43 PM): haha dandersonn43 (8:47:49 PM): I thought that was the plan? have it fly in 08? Jedi8798 (8:48:00 PM): it was supposed to be this year actually Jedi8798 (8:48:05 PM): at least a small scale version dandersonn43 (8:48:09 PM): Really. Thanks Jedi8798 (8:48:25 PM): Apparently their prize/funding fell through, so they had to cancel it Jedi8798 (8:48:30 PM): so we're not alone in funding trouble Jedi8798 (8:48:31 PM): anyway lizeeb3 (8:48:40 PM): We'll have to make sure whoever does Projects next year knows these details Jedi8798 (8:48:43 PM): so moving on, I'm planning on pushing that back to aim for an 08 competition lizeeb3 (8:48:51 PM): Cool Jedi8798 (8:48:51 PM): that will give chapters plenty of time to develop and test their rockets Jedi8798 (8:48:57 PM): which was the primary concern of most chapters Jedi8798 (8:49:07 PM): because less than a year is not much time to build a high altitude rocket Jedi8798 (8:49:27 PM): I have some seds alumni and Tripoli members interested in helping me draft competition rules and regs Jedi8798 (8:49:36 PM): as well as working with us on certifications, etc.. lizeeb3 (8:49:40 PM): are you planning on keeping the guidelines to what you already have developed? Jedi8798 (8:49:54 PM): you mean timeline wise? lizeeb3 (8:50:25 PM): I mean, the rules for participation for the chapters Jedi8798 (8:50:49 PM): mostly we were depending on the XPrize to provide the specific rules, but I'm going to go along something similar to theirs lizeeb3 (8:51:14 PM): ok Jedi8798 (8:51:24 PM): thats where the alumni/tripoli people will come in Jedi8798 (8:51:30 PM): to help develop something reasonable, yet challenging Jedi8798 (8:52:01 PM): I'm going to aim at having rules/competition guidelines out mid-summer, and hopefully have alot of the money by then Jedi8798 (8:52:11 PM): new Gant chart to come out shortly witht he rest of that schedule lizeeb3 (8:52:16 PM): excellent lizeeb3 (8:52:21 PM): thanks Josh Jedi8798 (8:52:24 PM): Brian and I are also talking about a low-end friendly competition between chapters for this year Jedi8798 (8:52:31 PM): more on that at another meeting Jedi8798 (8:52:40 PM): I'll also send out Art project updates via e-mail Jedi8798 (8:52:44 PM): cause this is going on too long rramadas009 (8:53:15 PM): okay rramadas009 (8:53:21 PM): i'm interested in how the art project turns out lizeeb3 (8:53:24 PM): Comments for Special Projects? rramadas009 (8:53:32 PM): it could potentially bring in a lot of new people to astro stuff Jedi8798 (8:53:42 PM): and the space field in general Jedi8798 (8:55:07 PM): *pokes the chat* rramadas009 (8:55:12 PM): hahahah BZWingZero (8:55:25 PM): lol lizeeb3 (8:55:50 PM): Alright let's move on to Finance... SithLrdJohn (8:56:22 PM): OK SithLrdJohn (8:56:39 PM): Well progress was finally made... Jedi8798 (8:56:49 PM): WOOO HOOOOO!!!!! rramadas009 (8:56:56 PM): Heh. SithLrdJohn (8:57:51 PM): the IRS sent us a letter unfortunately to Mass. and not me SithLrdJohn (8:58:01 PM): like I told them to lizeeb3 (8:58:27 PM): ha SithLrdJohn (8:58:38 PM): it seems I was supposed to reply to the letter by Mar 30.. SithLrdJohn (8:59:00 PM): but I just found out about it yesterday.. SithLrdJohn (8:59:29 PM): the lady that called me said they would give us an extension until April 13 BZWingZero (8:59:37 PM): Wonderful SithLrdJohn (9:00:12 PM): Ryan mailed me the letter today so hopefully whatever it is I have to do won't take to long SithLrdJohn (9:00:34 PM): she wouldn't tell me what it was Jedi8798 (9:00:50 PM): in the future, scanning and e-mailing it might speed it up rmmlg08 (9:00:57 PM): well it certainly wasn't a lot of paperwork Jedi8798 (9:01:00 PM): snail mail can take forever rmmlg08 (9:01:09 PM): hmm...didn't think of that Jedi8798 (9:01:21 PM): just thoughts for the future SithLrdJohn (9:01:54 PM): also Kirk has been contacting me about using our PayPal and bank account to hold money for the SEDS Int. Conf for him SithLrdJohn (9:02:11 PM): does anyone have objections to that? lizeeb3 (9:02:42 PM): no Jedi8798 (9:03:12 PM): long as good records are kept, nope lizeeb3 (9:04:16 PM): Comments for finance? SithLrdJohn (9:04:20 PM): OK, well then my remaining task is to figure out the tax return stuff so we can start doing those every year Jedi8798 (9:06:04 PM): you might want to document how to do it, as you go through the process Jedi8798 (9:06:10 PM): so future finance chairs have an easier time Jedi8798 (9:06:14 PM): SithLrdJohn (9:06:21 PM): Definitely!! lizeeb3 (9:06:51 PM): I don't want to go over an hour for the meetings so are there any objections if Ryan, Danderson, Jake, Carissa, Damion and I go next week rmmlg08 (9:07:07 PM): none here lizeeb3 (9:07:12 PM): The format will be the same as this week dandersonn43 (9:07:16 PM): k Viridis321 (9:07:19 PM): fine by me littleC3788 (9:07:25 PM): me 2 lizeeb3 (9:07:26 PM): And I'll see if Emily wants to stop in and update as well Jedi8798 (9:07:38 PM): k dandersonn43 (9:07:58 PM): boo, blogs.seds is down. lizeeb3 (9:08:33 PM): yeah there was trouble with the server earlier this week as well rmmlg08 (9:08:50 PM): hmmm...will ask chris about that dandersonn43 (9:08:52 PM): Really. lizeeb3 (9:09:31 PM): ok so same time next week dandersonn43 (9:09:37 PM): Night lizeeb3 (9:09:39 PM): thank you all for being so well prepared Jedi8798 (9:09:40 PM): later lizeeb3 (9:09:45 PM): goodnight! littleC3788 (9:09:50 PM): night BZWingZero (9:09:51 PM): goodnight. till next week RolandBolser (9:09:53 PM): bye bye SithLrdJohn (9:09:53 PM): bye
