[18:08] rmmlg08: has joined the chat [18:08] hydrogenlithium: has joined the chat [18:08] nyeerrmm: has joined the chat [18:08] KellyMann10: has joined the chat [18:08] Jedi8798: has joined the chat [18:08] Jedi8798: hola all, sorry I'm late... design meeting ran over [18:09] KellyMann10: no worries [18:09] nyeerrmm: i'll never forgive you for this [18:09] Jedi8798: *wince* anyone know where Darrell or Ryan G are? [18:09] rmmlg08: motion for impeachment [18:09] nyeerrmm: 20 years from now, yeah, you were late for that one meeting [18:09] Jedi8798: lol [18:09] KellyMann10: no [18:10] rmmlg08: haven't seen darrell in some time [18:10] rmmlg08: he likes to sleep through meetings though [18:10] Jedi8798: Ryan G sent me an email saying he cant make it, conflicting meeting [18:10] Jedi8798: I'll buzz D quick [18:10] rmmlg08: heh, good luck; he never answers his phone [18:11] Jedi8798: ah well, least I made the attempt [18:11] Jedi8798: ok, getting started, Ryan you want to go first? [18:11] rmmlg08: sure [18:11] rmmlg08: so has everyone had a chance to look over what I sent out [18:11] rmmlg08: basically I'm suggesting a few changes [18:12] rmmlg08: most important would be the text file for constitutional amendments that we neglected when doing last time [18:12] rmmlg08: so we should probably look at those first [18:12] Jedi8798: whats the document name Ryan? I have a pdf named constitution.. [18:13] rmmlg08: I emailed a zip file before meeting last week [18:13] Jedi8798: yeah I'm looking at that, see some word docs, pdfs, and excels, no text file [18:13] KellyMann10: im not sure that i have it, let me check my mail [18:13] KellyMann10: go it [18:14] rmmlg08: looking for the file name; my comouter is flipping out [18:14] Jedi8798: np [18:15] rmmlg08: oh, here we go [18:15] rmmlg08: board_of_advisors_amendments.rtf [18:16] rmmlg08: i'll give you guys a second to open it up [18:16] KellyMann10: got it [18:16] Jedi8798: got it [18:16] Jedi8798: *reads it* [18:17] rmmlg08: k, so... [18:17] Jedi8798: some grammatical edits: replace 'hails' with 'communications'... unfortunately we're not on the Enterprise [18:17] rmmlg08: heh [18:17] rmmlg08: but anyone have issues with the substance [18:18] Jedi8798: is that the only responsibilities you want to have? [18:18] rmmlg08: o/w might as well have someone other than me edit grammar to make sure we don't miss anything before proposing to coc [18:18] Jedi8798: nothing like... "must fulfill duties/obligations"? [18:18] rmmlg08: so, when writing this [18:18] rmmlg08: I felt like I was missing something [18:19] rmmlg08: ie about their duries [18:19] Jedi8798: well, when I read this, it sounds like they only have 2 responsibilities [18:19] rmmlg08: right [18:19] rmmlg08: I was just having difficulty enumerating others [18:19] rmmlg08: ideas? [18:20] Jedi8798: well, what do you envision as the job/responsibility of the advisors? [18:20] Jedi8798: are they just a rubber stamp on the endowment? [18:20] rmmlg08: I mean, they're there to 1.) rubber stamp [18:20] rmmlg08: 2.) to do such various advisement and such for the fund [18:20] rmmlg08: but I couldn't think of a way to explicitly state something like that [18:21] rmmlg08: ie the general advising duties seemed to be harder to hold them to in something like this [18:21] Jedi8798: change 2 to: respond to requests for advice from the Executive Board in a timely manner [18:22] Jedi8798: you can swap Exec Board with Vice chair if you want [18:22] Jedi8798: threw exec board in there incase Ryan G wants to ask them for advice on his finances [18:22] rmmlg08: sure [18:23] rmmlg08: anything else? [18:23] rmmlg08: or should we defeine timely? [18:23] Jedi8798: no [18:23] Jedi8798: its purposely left vague [18:23] rmmlg08: yes [18:23] Jedi8798: if you say like in a few days, then you dont leave room for outstanding circumstances, etc.. [18:23] rmmlg08: I hope this is something that I don't need to enforce [18:24] rmmlg08: ok cool [18:24] rmmlg08: if no other suggestions to this [18:25] rmmlg08: then let's move on to seds-usa failure contingencies [18:25] KellyMann10: k [18:25] hydrogenlithium: eh [18:25] rmmlg08: i'll give you guys a chance to read briefly [18:26] Jedi8798: sounds good [18:26] rmmlg08: i was kinda making up numbers for some of these [18:26] rmmlg08: so if you have suggestions on changing those [18:27] KellyMann10: i like the numbers [18:27] rmmlg08: or removing or adding points [18:27] Jedi8798: sounds good [18:27] rmmlg08: k cool [18:27] nyeerrmm: have we run these by darrell's dad to see if that works for that side of things? [18:27] Jedi8798: also gives motivation for the executive board to hold CoC's [18:27] rmmlg08: we have not [18:27] rmmlg08: but things like point 3 [18:27] rmmlg08: on the second two lists [18:27] rmmlg08: require input from them [18:27] rmmlg08: at the very lesat [18:27] nyeerrmm: sounds good [18:28] Jedi8798: sounds good Ryan, just run it by us again once we know what other requirements they add on [18:28] rmmlg08: wukk di [18:28] rmmlg08: eww [18:28] rmmlg08: will do [18:28] rmmlg08: anyway, next item [18:28] rmmlg08: new name for this board [18:28] rmmlg08: for lack of creativity [18:28] rmmlg08: I've been callign them [18:28] rmmlg08: "Endowment Fund Board of Directors" [18:28] rmmlg08: thoughts? [18:29] Jedi8798: is this the advisors board? [18:30] rmmlg08: that's actually something that I'm not sure has been entirely determined now that I think of it [18:30] rmmlg08: so, the main purpose of these guys is to do the fund [18:30] rmmlg08: so I was thinking of them as effectively our board [18:30] rmmlg08: *advisors board [18:30] rmmlg08: but if it seems there is sufficient reason to have another one [18:30] rmmlg08: we can do that [18:31] rmmlg08: any ideas for why we might want two boards? [18:31] Jedi8798: "Endowment Fund Advisory Board"? Board of Directors would lead to confusion with the Exec Board [18:31] rmmlg08: true, I like that better [18:32] KellyMann10: me too [18:32] rmmlg08: other thoughts? [18:32] Jedi8798: that part sounds good with those changes [18:32] rmmlg08: k [18:32] rmmlg08: so I attached a number of other docs [18:33] rmmlg08: feel free to look through those if you want to [18:33] rmmlg08: but we've looked through them with not really any major changes [18:33] rmmlg08: the next steps are to: [18:33] rmmlg08: 1.) check this with the fund people [18:33] rmmlg08: 2.) decide on who we want to be on this first baord [18:34] rmmlg08: 3.) convene another endowment meeting now that we've addressed action items since last one [18:34] rmmlg08: so, gi agead ahead and read over the other docs if you get a chance [18:34] rmmlg08: and send me any comments [18:34] Jedi8798: k [18:34] KellyMann10: k [18:34] Jedi8798: One note for you Ryan on the Endowment fund in general [18:35] Jedi8798: in my meeting with Raytheon, I mentioned the Endowment fund to them [18:35] rmmlg08: beyond that, josh, did youhave any other grammar issues on the constitution thing? [18:35] Jedi8798: lol [18:35] Jedi8798: I'll let you know [18:35] rmmlg08: k, when your done, we'll send off to darrell for coc [18:35] Jedi8798: But what Raytheon mentioned was that for an Endowment like this [18:35] Jedi8798: they would highly like to see some sort of scholarship [18:35] Jedi8798: because almost all of the endowments raytheon sponsors [18:35] Jedi8798: are for scholarships [18:36] Jedi8798: and rarely do they give to purely an operational endowment [18:36] rmmlg08: k [18:36] Jedi8798: so the guys I talked to suggested we throw some sort of scholarship in there [18:36] rmmlg08: we've got some scholarships in the budget [18:36] rmmlg08: but can throw more empasis on them [18:36] rmmlg08: if we think they are particularly important [18:36] Jedi8798: yup [18:37] rmmlg08: to getting money, etc [18:37] rmmlg08: if nothing else from anyone, I'm done [18:38] Jedi8798: k [18:38] Jedi8798: Next on the list, HaoQi, did you want to discuss your expansion letter? [18:38] hydrogenlithium: http://docs.google.com/Doc?docid=dddt9fdw_82vs95k39m&hl=en [18:38] hydrogenlithium: can you open it? [18:39] hydrogenlithium: Read it over and make comments please [18:39] Jedi8798: yup it opens fine [18:40] KellyMann10: reading now [18:41] rmmlg08: looks a lot better than last week [18:41] hydrogenlithium: does SEDS=USA also offer scholarships? [18:41] Jedi8798: I would recommend in the opening, editing it to: "My name is HaoQi Li and I am the SEDS-USA Director of Chapter Expansions. I would like a few moments of your time to explain why establishing a chapter of the Students for the Exploration and Development of Space (SEDS) would be beneficial for your school." [18:42] Jedi8798: yes in conjunction with NSS [18:42] Jedi8798: a scholarship to ISU [18:42] nyeerrmm: i would recommend though, if you have any personal contact at all with the person, add something on top of the form letter [18:42] hydrogenlithium: no [18:42] hydrogenlithium: this is for schools where we have to google the person's contact info [18:43] nyeerrmm: all right, [18:46] KellyMann10: looks good to me HaoQi [18:47] Jedi8798: good enough for government work [18:47] rmmlg08: well, slightly better than that [18:47] Jedi8798: lol [18:47] rmmlg08: but yeah, works [18:47] RolandBolser: has joined the chat [18:47] Jedi8798: anything else HaoQi or input for her? [18:47] hydrogenlithium: I worry that people are going to just glance it over and not do anything [18:47] rmmlg08: well, that's why you follow up [18:47] hydrogenlithium: >< [18:48] nyeerrmm: yeah, theres no way to avoid that with a form letter [18:48] rmmlg08: but, your email does what it's supposed to do [18:48] rmmlg08: as best a generic letter can [18:48] hydrogenlithium: ok. For next week I should start gathering people's email addresses [18:49] hydrogenlithium: Hopefully we can get a good amount for the conference next year [18:49] hydrogenlithium: I'm done [18:51] Jedi8798: ok [18:51] Jedi8798: Next up, Ryan could you give us a CoC update? [18:52] rmmlg08: sure [18:52] rmmlg08: so we went over the exec updates [18:52] rmmlg08: with no objections [18:52] rmmlg08: then josh talked about the rocket compeition [18:53] rmmlg08: we went over some general updates [18:53] rmmlg08: and then got some input from the teams [18:53] rmmlg08: participating [18:53] rmmlg08: lastly, I went into briefing them on isdc stuff [18:53] rmmlg08: and got interest from a number of chapters [18:54] rmmlg08: so gave me some more hope on getting a good turnout [18:54] rmmlg08: and now hopefully people will respond to my emails better now [18:54] rmmlg08: that's the abridged version [18:55] rmmlg08: if anyone has questions or wants clarification/more details on anything, let me know [18:55] rmmlg08: o/w minutes should be up I think [18:55] Jedi8798: k thanks Ryan [18:55] Jedi8798: One last item for tonight [18:56] Jedi8798: there is a division of the Civil Air Patrol interested in starting a SEDS chapter. But they are asking if they could be a chapter without having to register with any particular school, seeing as they have students from a number of different schools. [18:57] Jedi8798: My opinion on this is that there should be no problem letting them join, since the rule of having SEDS chapters be at schools is just supposed to be helpful in building the chapter [18:57] Jedi8798: not restrictuve [18:57] Jedi8798: restrictive* [18:57] Jedi8798: I wanted to get approval from you all before formally letting them in [18:57] Jedi8798: Opinions? [18:58] nyeerrmm: is this for single-member chapters... i think i must have missed the actual topic when you sent it [18:58] rmmlg08: well, as long as we can guaruntee that they are students [18:58] rmmlg08: I don't see a problem [18:59] KellyMann10: yeah, i agree with Ryan [18:59] Jedi8798: no this is for groups independent of schools [18:59] Jedi8798: (in answer to brian) [18:59] Jedi8798: this group for example has students from 8 different schools [18:59] Jedi8798: and some home schooled students [18:59] rmmlg08: yeah, I know [19:00] nyeerrmm: all right, it sounds good to me, although the proof of being a student is a bit difficult to pull off [19:00] Jedi8798: Allright, all in favor of allowing groups not associated with a particular school join SEDS so long as they can prove they are full time students? (Aye/Nay/Abstain) [19:00] rmmlg08: i [19:00] hydrogenlithium: aye [19:00] KellyMann10: aye [19:00] nyeerrmm: aye [19:00] Jedi8798: aye [19:00] Jedi8798: motion carries [19:01] Jedi8798: any last minute items? [19:01] KellyMann10: none from me [19:02] Jedi8798: allright meeting adjourned.
