randomnumbers17 (7:58:40 PM): scared... classes start tomorrow :-/
randomnumbers17 (7:58:57 PM): is everyone else already in school?
AngelofMusic246 (7:59:00 PM): I've had 3 days of classes so far

pcanderson85 (7:59:10 PM): Yup, 3 days
ntsane (7:59:13 PM): yeah you are def behind sched.
PnAeRmAo (7:59:21 PM): Haha, I've had 1.5 weeks. Minus what we got off because of Fay.
randomnumbers17 (7:59:23 PM): haha i guess WPI is like that
bsntmath (7:59:29 PM): one week to go before classes.. for me
AngelofMusic246 (7:59:38 PM): ugh, don't remind me of Fay
PnAeRmAo (7:59:47 PM): How bad did you get?
randomnumbers17 (7:59:47 PM): what's Fay?
AngelofMusic246 (7:59:55 PM): tropical storm of doom
nyeerrmm (7:59:55 PM): hurricane
PnAeRmAo (7:59:55 PM): Tropical strom Fay, hit florida.
randomnumbers17 (8:00:06 PM): ahhhhhh
PnAeRmAo (8:00:09 PM): Not that bad for the wind, but I got 30+ inches of rain.
luckyguy518 (8:00:11 PM): which one of you goes to, what USF? UCF?
AngelofMusic246 (8:00:16 PM): UCF here
PnAeRmAo (8:00:18 PM): FIT
randomnumbers17 (8:00:19 PM): i heard about that... my mother called saying thank god you didn't go to FIT
AngelofMusic246 (8:00:37 PM): ironically tampa (where USF is) didn't get much of anything
nyeerrmm (8:00:55 PM): we got a day off at Texas A&M because of rita a couple of years ago
PnAeRmAo (8:00:58 PM): Haha, hey, but that's what hurricane parties are for! And bailing your friends out of flooded houses.
nyeerrmm (8:01:03 PM): but we got a three-day weekend and a thursday night football game
nyeerrmm (8:01:07 PM): it was a good weekend
randomnumbers17 (8:01:08 PM): yeah my brother went to USF... he said tampa is in a place where storms go around them
PnAeRmAo (8:01:12 PM): Cool.
PnAeRmAo (8:01:20 PM): Well, where's Gustav headed now?
nyeerrmm (8:01:39 PM): new orleans i think
PnAeRmAo (8:01:46 PM): ......oh
AngelofMusic246 (8:01:47 PM): yeah, sadly
nyeerrmm (8:01:58 PM): but its still just entering the gulf, so we'll see
AngelofMusic246 (8:02:03 PM): I don't want it to go there, but I also don't want it to come here!
DarrellDCain (8:02:32 PM): I'm going to give people until 9:05
DarrellDCain (8:02:35 PM): then we're starting
PnAeRmAo (8:03:22 PM): *shrugs* I'll take it, if it wants to cross the state.
luckyguy518 (8:03:37 PM): luckily in buffalo, all we get are snow storms...lol, but no days off
AngelofMusic246 (8:03:52 PM): I miss snow!!
VonBraunGuy (8:04:13 PM): howdy
PnAeRmAo (8:04:14 PM): Oh God, I know. I can't stand this one season all year long thing.
VonBraunGuy (8:04:16 PM): sorry i'm late
nyeerrmm (8:04:18 PM): snow..pshh
luckyguy518 (8:04:29 PM): not when you get 15 inches of it..jk, it actually not as bad as evryone thinks..
AngelofMusic246 (8:05:02 PM): I moved to florida from illinois before I learned how to drive, so at least I didn't have to deal with it in that sense
PnAeRmAo (8:05:06 PM): Hey, when you make your first snowball, then talk to me!!! Haha, true. I was in Boston for that big drop we got in Dec. 3 feet in a little over a day.
AngelofMusic246 (8:05:12 PM): but still, I miss it
nyeerrmm (8:06:04 PM): snow is easy, ice is where the driving issues are... especially when your somewhere people dont know how to deal with it
DarrellDCain (8:06:17 PM): alright

LittleC3788 (8:16:14 PM): There is also a section added at the end for suggestions of what to do with SEDS and/or the exec board.
LittleC3788 (8:16:23 PM): NSS asked to hold their board meeting at Space Vision and we approved it.

LittleC3788 (8:16:36 PM):
There will be a 501c3 delay: 81 day min. for IRS and another 30 in Texas.
LittleC3788 (8:16:45 PM):

If everything goes as planned, then we could have federal and state exemption by January.
Once that is established, we can send chapters the funds that were donated to them.
LittleC3788 (8:17:05 PM): that is about it
LittleC3788 (8:17:09 PM): questions?
DarrellDCain (8:18:06 PM): floor is now closed
DarrellDCain (8:18:12 PM): next item on agenda
DarrellDCain (8:18:30 PM): Conference Report
DarrellDCain (8:18:35 PM): Floor is given to Brian Young
nyeerrmm (8:18:46 PM): all right, our current speaker list is shown here: http://spacevision.seds.org/speakers.php
nyeerrmm (8:19:19 PM): in addition to this we're also looking to bring in a representative of AAS, a representative of JSC, and SpaceX
nyeerrmm (8:20:03 PM): There has also been the suggestion to look to bring the science advisor of the winning presidential candidate
nyeerrmm (8:20:33 PM): also on the website is a preliminary schedule. As yet, the speaker's slots aren't scheduled, I'm still waiting for them to get back to me on schedule restraints
nyeerrmm (8:21:06 PM): As far as registration, I plan to have that up using google checkout in the next couple of weeks
nyeerrmm (8:21:43 PM): Those are the main updates and as we get closer we'll have more updates for you as well
nyeerrmm (8:21:53 PM): and of course you're all free to contact me with questions at any time
nyeerrmm (8:21:57 PM): at btyoung@gmail.com
nyeerrmm (8:22:00 PM): questions?
luckyguy518 (8:22:25 PM): is there any budget proposal as of yet?
luckyguy518 (8:22:32 PM): for the conference?
nyeerrmm (8:22:41 PM): what do you mean budget proposal?
nyeerrmm (8:23:21 PM): I've cut down the expected budget from the original proposal, based on the latest numbers, and I can send that out
luckyguy518 (8:25:06 PM): what would the attendence cost be for the conference?
luckyguy518 (8:25:10 PM): for SEDS members?
nyeerrmm (8:25:29 PM): $15 for registration, $50 for the banquet
nyeerrmm (8:25:34 PM): on par with the past few years
cornobbled64 (8:25:37 PM): are there any updates as to the donating airline miles program?
nyeerrmm (8:25:42 PM): josh?
DarrellDCain (8:25:54 PM): Josh had to leave
nyeerrmm (8:26:15 PM): oh, all right, as far as I know we're still working out some of the issues involved
cornobbled64 (8:26:58 PM): so we can probably assume we're on our own for transportation to Texas?
nyeerrmm (8:27:05 PM): most likely
cornobbled64 (8:27:13 PM): fair enough
nyeerrmm (8:27:13 PM): darrell, you dont think that will be up and running by then?
DarrellDCain (8:27:30 PM): due to 501c3 not being approved
DarrellDCain (8:27:34 PM): at that point
DarrellDCain (8:27:36 PM): it's unlikely
DarrellDCain (8:27:37 PM): I'
DarrellDCain (8:27:39 PM): d
DarrellDCain (8:27:48 PM): I'd encourage all chapters to talk to your local space grant rep
DarrellDCain (8:27:58 PM): they usually are willing to donat a fair amount of money to travel to conferences
DarrellDCain (8:28:08 PM): especially if you find a matching donation from your department
DarrellDCain (8:28:31 PM): any other questions for Brian?
luckyguy518 (8:29:51 PM): is there any way to get donations from other companies?
AngelofMusic246 (8:29:53 PM): is there any word for a discounted price at the hotel?
luckyguy518 (8:30:03 PM): did we look into that at all?
nyeerrmm (8:30:13 PM): not yet, i'm having people refocus on that tomorrow
nyeerrmm (8:30:26 PM): but the hotels are cheap enough, one i went by today was $44 a night i think
nyeerrmm (8:30:47 PM): i'm still working on finding more donations from other companies, since that's how we're funding most of the conference
bsntmath (8:30:59 PM): What's the overall budget for the conf. and how much has been raised by now?
nyeerrmm (8:31:03 PM): student fees mostly go to cover provided food and matrieals
AngelofMusic246 (8:31:14 PM): which hotel was that? I looked at Super 8 and it was about $80something a night
nyeerrmm (8:31:42 PM): i cant remember the name, and someone just told me thats 44 a person
DarrellDCain (8:31:46 PM): moderation in effect
DarrellDCain (8:31:49 PM): order of questions
AngelofMusic246 (8:31:50 PM): ah
DarrellDCain (8:31:52 PM): LuckyGuy
luckyguy518 (8:31:56 PM): yea
DarrellDCain (8:31:56 PM): followed by AngelMusic
luckyguy518 (8:32:03 PM): ok
DarrellDCain (8:32:07 PM): followed by BsntMth
DarrellDCain (8:32:13 PM): in order of questions to answer
DarrellDCain (8:32:15 PM): Brian?
nyeerrmm (8:32:16 PM): but, we're working on getting some reduced rates, we'll send it out on chapters as soon as we get it
DarrellDCain (8:32:58 PM): Brian please answer luckyguy's question
DarrellDCain (8:33:02 PM): then Basant's question
DarrellDCain (8:33:14 PM): please do not post any more questions until both questions have been answered
DarrellDCain (8:33:30 PM): luckyguy518 (9:29:35 PM): is there any way to get donations from other companies?
nyeerrmm (8:33:41 PM): i'm sorting it out.. yes, we are asking additional companies for money, there were some I was avoiding for conflict of interest reasons that I'm approaching now
nyeerrmm (8:33:48 PM): thats how most of the conference is funded as it is
DarrellDCain (8:34:05 PM): bsntmath (9:30:43 PM): What's the overall budget for the conf. and how much has been raised by now?
nyeerrmm (8:34:17 PM): Basant: the current budget is approximately $25000, and we're still looking to raise about $13,000
nyeerrmm (8:34:34 PM): and I'm confident we'll be able to do that without too many issues
bsntmath (8:34:41 PM): cool
DarrellDCain (8:34:43 PM): floor is now open to questions
DarrellDCain (8:34:48 PM): /remarks
luckyguy518 (8:35:38 PM): so the 501c is just to help cut back on the amount needed from the various other companies?
nyeerrmm (8:36:11 PM): thats going to be useful for all of our future fundraising... at this point I'm still trying to work out the tax issues, ryan goodnight, the finance director is helping me out with that
luckyguy518 (8:36:14 PM): not a necessary component for the conference to take place
nyeerrmm (8:36:26 PM): but we're finding ways to work around it
nyeerrmm (8:36:38 PM): most companies dont care because they see it as a business expense, not a donation
luckyguy518 (8:36:44 PM): right, ok..
nyeerrmm (8:36:45 PM): since they get advertising and recruiting
luckyguy518 (8:36:49 PM): yea
DarrellDCain (8:37:29 PM): alright
DarrellDCain (8:37:35 PM): floor is closed to questions
DarrellDCain (8:37:41 PM): next item on agenda
DarrellDCain (8:37:47 PM): SEDS benefit document
DarrellDCain (8:37:53 PM): this was tabled at the last meeting for this meeting
DarrellDCain (8:37:57 PM): Carissa will be presenting
DarrellDCain (8:38:02 PM): Carissa has the floor
LittleC3788 (8:38:23 PM): Ok, so the current benefit document has issues with the 501c3 due to wording. We need another month to fix it so that it can be properly presented at next month’s CoC
LittleC3788 (8:38:49 PM): is it ok with everyone if we present it at next month's meeting?
PnAeRmAo (8:39:32 PM): Sounds good to me.
DarrellDCain (8:39:34 PM): to move it to next month's meeting we need a motion to table it till the meeting next month
ntsane (8:39:48 PM): ayeaye
PnAeRmAo (8:39:52 PM): I make a motion to table it for next month.
AngelofMusic246 (8:39:52 PM): will that delay the final passing date for 501c3?
cornobbled64 (8:39:59 PM): I second the motion
DarrellDCain (8:40:01 PM): alright
DarrellDCain (8:40:05 PM): answer question first
DarrellDCain (8:40:08 PM): and then we vote
AeroAggie84 (8:40:26 PM): I will take this one
AeroAggie84 (8:40:37 PM): This is Ryan Goodnight the Director of Finance
AngelofMusic246 (8:40:44 PM): hello
AeroAggie84 (8:41:26 PM): I talked to Josh today and we have decided to run all documents by the Exec Board first and make sure they are clear enough to file
AngelofMusic246 (8:42:05 PM): that is understandable
ERFSEDS (8:42:13 PM): ERAU is on sorry for the delay
DarrellDCain (8:42:34 PM): to clarify the question
AeroAggie84 (8:42:39 PM): so as not to delay filing any further (I plan on sending in the app next tuesday) we will then file everything as it stands but if future revisions are requested by the CoC they can be added after we get 501c3
DarrellDCain (8:42:51 PM): will the delay on the benefits document delay the 501c3 filing?
DarrellDCain (8:43:29 PM): the answer, I believe is "no"
AeroAggie84 (8:43:34 PM): if we handle the document as stated above, no it will not
DarrellDCain (8:43:58 PM): there is currently no plan to file the benefits document with the 501c3
DarrellDCain (8:44:19 PM): vote for tabling this till next month at which the document will be presented by exec
AeroAggie84 (8:44:24 PM): no we will not necessarily need to file that document with the IRS; however, it should still be checked for consistency with everything else
DarrellDCain (8:44:50 PM): does that answer UCF's question?
AngelofMusic246 (8:45:04 PM): yes
DarrellDCain (8:45:07 PM): please give chapter name and aye/nay/abstain
DarrellDCain (8:45:13 PM): you have one minute

DarrellDCain (8:46:15 PM): vote closes
DarrellDCain (8:46:17 PM): 16 ayes
DarrellDCain (8:46:27 PM): next item on agenda
DarrellDCain (8:46:31 PM): 501c report
DarrellDCain (8:46:35 PM): floor is given to Ryan G.
AeroAggie84 (8:46:59 PM): ok so that was a nice intro to what I wanted to talk about tonight
AeroAggie84 (8:47:45 PM): as many of you know, SEDS has been trying to re-gain its 501c3 status for years now
AeroAggie84 (8:48:28 PM): when I came on as financial director, I was given what appeared to be a partially completed process
AeroAggie84 (8:48:41 PM): or rather a partially completed application
AeroAggie84 (8:49:27 PM): After struggling with it myself for a while I eventually turned to Family Legacy Trust Company to help with getting all this paperwork sorted out
AeroAggie84 (8:49:50 PM): the trust company has kindly donated its services to SEDS which is saving us thousands in lawyer fees
AeroAggie84 (8:53:32 PM): we can either be approved, partially approved, or denied 501c3
AeroAggie84 (8:54:01 PM): if at this point we are approved we will have to wait an additional 60 days for it to become official since they have 1000 other organizations in backlog
AeroAggie84 (8:54:38 PM): If we are not approved, or partially approved, the IRS will give us hints as to where we need to improve our application and we will then need to re-apply
AeroAggie84 (8:55:07 PM): considering how long this has taken, Mr. Cohen and I have been in constant contact with the IRS to make sure we get approved on the first submission
AeroAggie84 (8:55:42 PM): This has meant that we are crossing every "t" and dotting every "i" extra carefully on this one
AeroAggie84 (8:56:18 PM): I have already filled out the application and I am now in the process of adding all of the suplemental documentation that the 1023 application asks for
AeroAggie84 (8:56:43 PM): this is no small task and consistency between the documents is highly stressed
AeroAggie84 (8:57:18 PM): I have enlisted several of the executive board members to help provide some of the few remaining documents and most have already been sent to me
AeroAggie84 (8:57:48 PM): I will then make sure everything is ready to go and next tuesday, when our agent returns from oversees, we will be sending in the application
AeroAggie84 (8:58:55 PM): In order to expedite this process, many of the Exec board have decided to vote on the acceptability of these additional documents before submission
AeroAggie84 (8:59:51 PM): this way we are hoping to avoid any conflicting statements between the documents
AeroAggie84 (9:00:17 PM): after we receive final approval from the IRS, we will then be required to file for state tax exemption here in texas
AeroAggie84 (9:00:32 PM): this process is shorter and should take about 30 days at the most
AeroAggie84 (9:01:00 PM): as such we are currently looking at apprximately 111 days from next tuesday to be recognized if there are no delays
AeroAggie84 (9:01:26 PM): I have decided to stay on in an advisory position until this task is complete since it is what I initially set out to do as financial director
AeroAggie84 (9:01:34 PM): i am open to questions now
DarrellDCain (9:02:37 PM): alright
DarrellDCain (9:02:42 PM): no questions have been submitted
DarrellDCain (9:02:45 PM): floor is now closed
DarrellDCain (9:02:51 PM): last item on agenda
DarrellDCain (9:03:05 PM): is the NASA's ASMO project (Utah SEDS)
DarrellDCain (9:03:13 PM): Utah State now has the floor
Bull4UW (9:03:17 PM): thanks
Bull4UW (9:03:26 PM): ASMO is the American Student Moon Orbiter
Bull4UW (9:03:36 PM): its a project NASA is starting up to compete with the ESMO
Bull4UW (9:03:41 PM): the European student moon orbiter
Bull4UW (9:03:48 PM): right now, they've got an RFI out
Bull4UW (9:03:56 PM): and it seems like something SEDS should participate in
Bull4UW (9:04:12 PM): the project details can be found at http://asmo.arc.nasa.gov
Bull4UW (9:04:25 PM): but of course, nothing is concrete yet
Bull4UW (9:04:52 PM): the more response to the RFI, the greater a chance the project will actually go through
Bull4UW (9:04:56 PM): Utah State will be responding
Bull4UW (9:05:13 PM): but we would like to find some folks in SEDS to help write something from here
Bull4UW (9:05:28 PM): the basics of the projects are simple,
Bull4UW (9:05:44 PM): there's gonna be a moon orbiter built and designed by students with NASA oversight
Bull4UW (9:05:52 PM): they'll also have workshops and mentoring
Bull4UW (9:05:59 PM): its a good thing.... IF it ever gets going
Bull4UW (9:06:07 PM): it was announced over a year ago, and they're just now getting to it
Bull4UW (9:06:09 PM): so
Bull4UW (9:06:19 PM): any questions, or any volunteers to help out?
Bull4UW (9:06:35 PM): anyone awake?!
Bull4UW (9:07:05 PM): how bout just some feedback? anyone think this is a good/bad idea?
DarrellDCain (9:07:07 PM): I'll take that as the floor being open
Bull4UW (9:07:10 PM): yeah
bsntmath (9:07:10 PM): a couple of teams at MIT are planning on responding to the RFI
luckyguy518 (9:07:17 PM): are there any restrictions or specifications in order to participate?
Bull4UW (9:07:22 PM): not as of yet
ERFSEDS (9:07:23 PM): It sounds like a really interesting topic we're pretty bogged down with projects already so will mention it to our pres.
bsntmath (9:07:31 PM): Mars Gravity and a project class called 16.83
Bull4UW (9:07:57 PM): at this point, the RFI is all thats out there
VonBraunGuy (9:07:58 PM): sounds interesting
VonBraunGuy (9:08:04 PM): what are you thinking about putting in the RFI?
Bull4UW (9:08:05 PM): and they're looking for feedback from everyone, including student groups
PnAeRmAo (9:08:06 PM): This sounds interesting, and we're looking for something to get involved with here at FIT>
Bull4UW (9:08:11 PM): they have a template
Bull4UW (9:08:18 PM): BUT...its due sept 30th
Bull4UW (9:08:36 PM): so we need a team to get together now to help write a draft, present it and discuss it at the next sEDS meeting
Bull4UW (9:08:39 PM): and then submit it
rmmlg08 (9:08:55 PM): it's just an rfi though, so definitely doable in that timeframe
Bull4UW (9:08:57 PM): the overall project would be multi-institutional
Bull4UW (9:09:01 PM): yeah, exactly
DarrellDCain (9:09:05 PM): so you're proposing that part of SEDS CoC put together an RFI
VonBraunGuy (9:09:08 PM): so this would be something SEDS would submit collectively?
Bull4UW (9:09:11 PM): yeah
Bull4UW (9:09:13 PM): yeah
DarrellDCain (9:09:16 PM): and then submit it to NASA as the official "SEDS RFI"
Bull4UW (9:09:20 PM): yeah
VonBraunGuy (9:09:24 PM): ok
DarrellDCain (9:09:29 PM): that would fall under a CoC committee
Bull4UW (9:09:38 PM): k, then i'd like to request a committee
DarrellDCain (9:09:44 PM): basically three or four CoC members would volunteer to put together the document
DarrellDCain (9:09:49 PM): taking feedback from different chapters
DarrellDCain (9:09:55 PM): and then present it at CoC
Bull4UW (9:10:08 PM): so, are there 3 or 4 volunteers?
bsntmath (9:10:12 PM): is there a conflict with individual RFIs from Chapter colleges
Bull4UW (9:10:16 PM): nope
DarrellDCain (9:10:19 PM): a motion to create a CoC committee has been put forth
VonBraunGuy (9:10:31 PM): i second the motion
Bull4UW (9:10:31 PM): since its just an RFI, there're aren't many legal issues
DarrellDCain (9:10:36 PM): we need three to four volunteers to vote on this
bsntmath (9:10:37 PM): k
DarrellDCain (9:10:38 PM): sorry
DarrellDCain (9:10:41 PM): we need three or four volunteers
DarrellDCain (9:10:45 PM): before it will be put to vote
DarrellDCain (9:10:59 PM): if three or four do not volunteer then the motion will fail
Bull4UW (9:11:02 PM): utah state will volunteer of course
pcanderson85 (9:11:14 PM): Yeah. We're in. (Utah State)
bsntmath (9:11:34 PM): MIT is in
kyle23571113 (9:11:44 PM): To me, it makes sense for each individual chapter interested to submit their own RFI
Bull4UW (9:12:11 PM): our plan is to submit one from our individual student group, and to help submit oen from SEDS national
DarrellDCain (9:12:22 PM): until three or four volunteers have stepped forward the issue is open to debate
rmmlg08 (9:12:44 PM): in fact, it would likely be beneficial for those submiting the seds rfi to be involved with another
PnAeRmAo (9:12:52 PM): Well, before we volunteer could ew have time to talk with our groups and see if they're really interested in doing it? (I think so, but not positive)
rmmlg08 (9:12:58 PM): becuase it would help throw together the diversity of ideas that will be submitted
Bull4UW (9:13:01 PM): there is the threat that if not enough responses are recieved, the project wont go through
Bull4UW (9:13:03 PM): exactly
Bull4UW (9:13:20 PM): sure, but the deadline is approaching
Bull4UW (9:13:30 PM): and the template is very short (1-2 pages)
VonBraunGuy (9:13:49 PM): i volunteer to be on the committe
DarrellDCain (9:13:52 PM): we can have a tentative volunteer based on discussion with their group
DarrellDCain (9:14:00 PM): but I need three solid volunteers before we vote
Bull4UW (9:14:06 PM): and yes, it would be absolutely beneficial to those planning on doing individual ones to work together
DarrellDCain (9:14:06 PM): alright...we have three volunteers
DarrellDCain (9:14:19 PM): any final volunteers or concerns before we vote?
DarrellDCain (9:14:49 PM): then vote is put before CoC
DarrellDCain (9:15:01 PM): please vote chapter name - aye/nay/abstain
DarrellDCain (9:15:05 PM): starting now

Bull4UW (9:16:33 PM): if yall will just email me at j.c.boulware@aggiemail.usu.edu
DarrellDCain (9:16:46 PM): thsoe three chapters please stay after the meeting
Bull4UW (9:16:50 PM): just to get your contact info, and we'll begin soon
DarrellDCain (9:17:01 PM): and if everyone could stay for just a minute after we adjourn I'd like to say a few things
DarrellDCain (9:17:06 PM): that was the last item on the agenda
DarrellDCain (9:17:13 PM): meeting is now adjourned
