SEDS Executive Board Meeting, December 1st 2008

Attendance: Joshua Nelson, Keri Bean, Rick Hanton, Ryan McLinko, Keri Hancock, Grant Atkinson, Matt Cannella, Zeke Silva, Joshua Sosa



Action Items

  • All SEDS executive board members e-mail progress reports to Joshua Nelson before Tuesday night


  • Grant Atkinson: Items to bring up at CoC meeting:
    • SEDS video series & subject lists.
    • Address SEDS blog

Executive Motions

  • Executive Board Motion to facilitate Doug Mattelle (UCF SEDS Alumni) creating a SEDS promotional video, with Keri Bean representing SEDS
    • Motion carried in a vote of 8-0-1 (In Favor-Against-Abstain)


  • Executive Board Motion for SEDS to produce a calendar as directed by Keri Hancock, to be distributed to chapters independent of national funds
    • Motion carried in a vote of 8-0-1 (In Favor-Against-Abstain)

Meeting Minutes

  • Discussion of SEDS Promotional Video
    • Doug Mallette (UCF SEDS alumni) has submitted a rough script and concept for the video
    • Matt Cannella and Keri Bean have volunteered to work with Doug on the video project
    • Board unanimously passed motion (with 1 board member abstaining) to let Doug Mallette create a SEDS promotional video with Keri Bean representing SEDS in process.


  • Keri Bean also proposed creating online educational videos about astronomy, aerospace, etc.
    • Potentially getting prominent scientist to work with us on videos
    • Essentially something along the lines of a “SEDS podcast” or a SEDS youtube Channel
    • Grant will be in contact with SEDS chapter reps to coordinate rotation among chapters and attain a list of subjects each chapter can cover
    • SEDS video subject list will be due early February
    • 1st video posted by March 1st


  • Joshua Nelson announced that SEDS executive board progress report will now be distributed via “digest” e-mail to save time in board meetings. This will also streamline discussion in board meeting so that board members will already have an idea of where they stand.
    • SEDS executive board members need to send weekly progress reports by e-mail the Sunday of each week.
    • This week submit by Tuesday night


  • Grant Atkinson announces CoC meeting on Wednesday at 9:00 Eastern
    • Chapter updates are due two weeks from the meeting
    • Grant will propose appointing Educational Outreach Director for each chapter
    • Inform chapters about SEDS blog (for chapter news, local events, etc)


  • Ryan informed us of a SEDS calender with events and conferences that we should encourage SEDS members to attend
    • Calendar is available on seds.org as a link on the top of the page
    • SEDS officers (and members) should sends information about upcoming events to Ryan McLinko


  • Keri Hancock proposed adding an educators section to the SEDS website which would provide educational resources for educators and students


  • Keri Hancock also proposed a SEDS calendar that has space related information on it and space pictures. For each chapter and to give to the wider space community as advertisement for SEDS
    • SEDS executive board passed motion to produce a calender (independent of national SEDS funds) as proposed by Keri to distribute to SEDS chapters and other space organizations
    • Cost would be from $ 1- 4 per calendar depending on amount ordered
    • Grant will bring up calendar idea at Wednesday's CoC meeting to gage chapter response and request interested chapters e-mail Keri Hancock
    • Joshua Nelson suggested contacting space industry companies for funding and to submit some of their own pictures to be included in the calendar. We attain funding we need and the company gets exposure



  • Update: Keri Hancock updated us at the December Council of Chapters meeting about the specifics of the wall calendar project
    • Keri Announced that 750 professional grade SEDS folded wall calendars will be made.
    • Calendars will be handed out for free.
    • 150 calendars and some funds will be reserved for educators who want a calendar but did not receive on directly from SEDS.
    • Remaining calendars to be distributed jointly by current college chapters. 400-600 calendars to be delivered through willing chapters.
    • Each Chapter will receive 20-30 calendars to hand out to local schools and educators as well as 1 to keep for themselves.
    • UCF, Prude, Texas A&M, UIUC, UCLA, Olin, FIT and UA all agreed to participate in delivering calendars.


  • SEDS Endowment Fund press release to be distributed in the next few days
    • Discussed possible media outlets that we could distribute the press release to: School papers, space.com msnbc space news, www.spacedaily.com AIAA
