Darrell Cain - Chapter Affairs (9:49:08 PM): before starting

Darrell Cain - Chapter Affairs (9:52:29 PM): floor goes to Joshua Nelson
joc 75 (9:52:34 PM) has left the room.
Joshua Nelson SEDS USA Rep (9:52:35 PM): Thank you Darrell
Joshua Nelson SEDS USA Rep (9:52:50 PM): Greetings everyone, again this is Joshua Nelson, Chairman of SEDS-USA
Joshua Nelson SEDS USA Rep (9:53:09 PM): First let me preface this by saying how great it is to see all of you coming here tonight.
Joshua Nelson SEDS USA Rep (9:53:48 PM): I will go through most of the major decisions made by the executive board over the past several months. These are the primary decisions since the MIT Space Vision 2008
Ryan Caron WPI- observer (9:54:08 PM): *2007?
Joshua Nelson SEDS USA Rep (9:54:14 PM): 2007, thanks
Joshua Nelson SEDS USA Rep (9:54:39 PM): I will not outline every decision, little things like "We wont meet next week due to holiday" will be excluded
Joshua Nelson SEDS USA Rep (9:54:52 PM): Though if you at any time want to peruse what has been discussed or decided by the executive board
Joshua Nelson SEDS USA Rep (9:55:49 PM): transcripts are available at http://wiki.seds.org/index.php/SEDS-USA_Meetings
Joshua Nelson SEDS USA Rep (9:56:17 PM): If you have any questions about what has gone on at SEDS USA meetings, please feel free to IM, email, or call me at any reasonable hour
Joshua Nelson SEDS USA Rep (9:56:28 PM): First on my list of primary decisions is the revamping of seds.org
Joshua Nelson SEDS USA Rep (9:56:48 PM): The Executive Board tasked our new webmaster, Joshua Sosa with revamping the SEDS.org website
Joshua Nelson SEDS USA Rep (9:57:06 PM): In late december/early january we approved the implementation of the new website
Joshua Nelson SEDS USA Rep (9:57:10 PM): which you can view at www.seds.org
Joshua Nelson SEDS USA Rep (9:57:39 PM): the previous site was fairly ugly, simple, and disorganized
Joshua Nelson SEDS USA Rep (9:57:58 PM): I'm fairly pleased with what has been done on the website, and I hope you concur
Joshua Nelson SEDS USA Rep (9:58:15 PM): One thing I would ask you all take a look at is the login/registration system
Joshua Nelson SEDS USA Rep (9:58:34 PM): In 1 week this login will allow you to post your personal resume / CV
Joshua Nelson SEDS USA Rep (9:58:43 PM): for potential employers to search
Joshua Nelson SEDS USA Rep (9:59:15 PM): when sponsors such as Raytheon, Lockheed, etc.. sponsor SEDS they will gain access to searching our membership database for the purposes of job/internship searches
Joshua Nelson SEDS USA Rep (10:00:14 PM): At this time I'd like to open the floor to any questions regarding the new website. Some of which I may be able to answer, others I will direct to the webmaster.
Ryan Caron WPI- observer (10:00:28 PM): i assume any seds member can register, not just chapter reps?
Joshua Nelson SEDS USA Rep (10:00:35 PM): yup
Joshua Nelson SEDS USA Rep (10:00:39 PM): any SEDS member or alumni
Grant Atkinson Texas A&M (10:00:50 PM): my browser says the security certificate isn't valid
Joshua Nelson SEDS USA Rep (10:01:10 PM): it is, it just expired Tuesday I believe.
Joshua Nelson SEDS USA Rep (10:01:14 PM): Trust me, SEDS isnt trying to hack you
Joshua Nelson SEDS USA Rep (10:01:16 PM): Yet
Nick Day UBuffalo (10:01:32 PM): yea, i think that i just clicked allow temporarily
Joshua Nelson SEDS USA Rep (10:01:40 PM): I've mentioned the security certificate issue and Josh Sosa is fixing it
Grant Atkinson Texas A&M (10:01:44 PM): good to know
Basant V Sagar MIT (10:02:25 PM): it needs to be updated with info abt individual chapters
Joshua Nelson SEDS USA Rep (10:02:36 PM): Yes
Joshua Nelson SEDS USA Rep (10:03:06 PM): part of the login system (in about a week to two weeks) will actually allow the president/rep of the chapter to update their own info
Basant V Sagar MIT (10:03:12 PM): though I agree Styx is a nice name
Basant V Sagar MIT (10:03:15 PM): cool
Joshua Nelson SEDS USA Rep (10:03:21 PM): hence why Styx is currently listed as the email and president of most chapters
Joshua Nelson SEDS USA Rep (10:03:53 PM): this will help make sure it is the most up to date info as possible, if chapters change their reps, presidents, contact info, etc..
Joshua Nelson SEDS USA Rep (10:04:15 PM): Any questions about the website/login/resume databse?
Joshua Nelson SEDS USA Rep (10:04:18 PM): database*
Joshua Nelson SEDS USA Rep (10:04:32 PM): feel free to message me with any outside the meeting if they come to mind later
Basant V Sagar MIT (10:04:51 PM): can't login... does it take a while to activate accounts?
Joshua Nelson SEDS USA Rep (10:04:55 PM): Yeah
Joshua Nelson SEDS USA Rep (10:05:00 PM): they need to be individually approved
Nick Day UBuffalo (10:05:01 PM): what does it mean "when they sponser SEDS"? is that like conferences?
Michael Green UCF (10:05:01 PM) has entered the room.
Alexander Roth Purdue (10:05:02 PM): check ur email
Joshua Nelson SEDS USA Rep (10:05:05 PM): just to stop someone from spamming
Joshua Nelson SEDS USA Rep (10:05:14 PM): yes
Joshua Nelson SEDS USA Rep (10:05:24 PM): large monetary donations to the organization basically
Joshua Nelson SEDS USA Rep (10:05:32 PM): aerospace/space sponsors
Nick Day UBuffalo (10:05:47 PM): yea, ok
Joshua Nelson SEDS USA Rep (10:05:50 PM): this is primarily for things like the Endowment Fund, Rocket Project, etc..
Joshua Nelson SEDS USA Rep (10:06:05 PM): In the future we can also open it to small companies that express interest
Nick Day UBuffalo (10:06:15 PM): sounds good
Joshua Nelson SEDS USA Rep (10:06:15 PM): if they're deemed of good quality.
TonioAsura (10:06:26 PM): Will there be any method for non-commercial space organizations to get involved with that roster?
Joshua Nelson SEDS USA Rep (10:06:40 PM): of course, if they express interest
Joshua Nelson SEDS USA Rep (10:06:57 PM): and they're deemed to be legitimate, and related to Space
Joshua Nelson SEDS USA Rep (10:07:20 PM): Any further questions?
Basant V Sagar MIT (10:07:36 PM): abt the Balloon Launch contest...
Joshua Nelson SEDS USA Rep (10:07:45 PM): Thats an upcoming item
Joshua Nelson SEDS USA Rep (10:07:55 PM): any further questions on the website?
Nick Day UBuffalo (10:08:05 PM): nope, looks good
Joshua Nelson SEDS USA Rep (10:08:31 PM): In that case, since it was expressed, I'll talk about the Rocket Competition
Joshua Nelson SEDS USA Rep (10:09:21 PM): At this point, things have been significantly delayed due to FAA negotiations over the rules/regs, as well as the X PRIZE Foundation not commiting to hosting the Cup this year yet
Joshua Nelson SEDS USA Rep (10:09:52 PM): According to the original timeline, letters of intent were supposed to be due by February 1st
Joshua Nelson SEDS USA Rep (10:10:08 PM): I'm hoping, if you guys agree, we can push this back to March 1st
Basant V Sagar MIT (10:10:21 PM): that's alright...
Joshua Nelson SEDS USA Rep (10:10:31 PM): the letter of intent document and more detailed competition information will be posted on seds.org
Stephanie Herpich WPI (10:10:36 PM): that's fine
Joshua Nelson SEDS USA Rep (10:10:38 PM): now, the one problem we have at this point
Joshua Nelson SEDS USA Rep (10:10:45 PM): if the X PRIZE Cup doesnt happen this year
Joshua Nelson SEDS USA Rep (10:10:56 PM): the costs of hosting this competition, and the complexity goes up exponentially
Nick Day UBuffalo (10:11:22 PM): why is that? just curious...
Joshua Nelson SEDS USA Rep (10:11:52 PM): Therefore I would like to start accepting letters of intent with the disclaimer that if the X Prize Cup does not happen this year, we'll delay the competition to a different date/venue, within 1 year
Joshua Nelson SEDS USA Rep (10:12:27 PM): As to the question of why... Last year they lost their title name sponsor several weeks before the event
Joshua Nelson SEDS USA Rep (10:12:42 PM): which caused a large number of problems on site
Nick Day UBuffalo (10:12:51 PM): o, wow!!
Joshua Nelson SEDS USA Rep (10:13:15 PM): I've actually been asked by Darrell to hold on this item for now
Joshua Nelson SEDS USA Rep (10:13:22 PM): since MIT has proposed it as an agenda item later in the meeting
Joshua Nelson SEDS USA Rep (10:13:30 PM): and it is not a decision of the exec board per say
Joshua Nelson SEDS USA Rep (10:13:48 PM): Next on the list of major exec decisions is the Endowment Fund
Joshua Nelson SEDS USA Rep (10:14:11 PM): until now, SEDS-USA on a national level has had virtually no income outside of dues
Joshua Nelson SEDS USA Rep (10:14:44 PM): we've had great success in getting individual funding for small projects like the conferences, etc... but for operational expenses we've had virtually nothing
Joshua Nelson SEDS USA Rep (10:15:02 PM): Therefore Ryan McLinko proposed an Endowment fund
Joshua Nelson SEDS USA Rep (10:15:13 PM): the way it works is we get sponsors to donate a large quantity of money
Stephanie Herpich WPI (10:15:37 PM) has left the room.
Joshua Nelson SEDS USA Rep (10:15:41 PM): and the interest off that money will supply the national organization with a yearly budget
Joshua Nelson SEDS USA Rep (10:15:59 PM): the base sum will be virtually untouchable
Joshua Nelson SEDS USA Rep (10:16:17 PM): so SEDS-USA will have operational funds for years in the future
Joshua Nelson SEDS USA Rep (10:16:25 PM): The Board approved this project
Joshua Nelson SEDS USA Rep (10:16:58 PM): and then after searching for several organizations to help set it up, we found that a company under the direction of Darrell Cain's father actually had the best offer for us
Joshua Nelson SEDS USA Rep (10:17:29 PM): they are going to help set up and run the endowment fund for us, as well as helping us set up the much desired 501c
Stephanie Herpich WPI (10:17:57 PM) has entered the room.
Joshua Nelson SEDS USA Rep (10:17:59 PM): given that we've been trying for the past 5 years to get this on our own, and it hasnt happened, bringing in professional help seemed a good idea
Joshua Nelson SEDS USA Rep (10:18:34 PM): The exec board, after researching various options, decided to set up the fund with this company
Joshua Nelson SEDS USA Rep (10:18:56 PM): a certain percentage of money fundraised for the fund will go to teh company to help cover costs
Joshua Nelson SEDS USA Rep (10:19:11 PM): and I believe the 501c setup will be free? Darrell, correct me on that?
Joshua Nelson SEDS USA Rep (10:20:05 PM): Yes, they're donating the 501c setup for free
Joshua Nelson SEDS USA Rep (10:20:19 PM): which will save us a massive amount of money and problems
Joshua Nelson SEDS USA Rep (10:20:27 PM): Any questions regarding the endowment fund?
Nick Day UBuffalo (10:21:18 PM): just one, is it like a loan? or a donation (as were really a non-profit)?
Joshua Nelson SEDS USA Rep (10:21:35 PM): we are taking donations for the endowment fund
Joshua Nelson SEDS USA Rep (10:21:44 PM): Ryan Mclinko is heading the effort to pursue sponsors
Joshua Nelson SEDS USA Rep (10:22:13 PM): SEDS is not, and cannot participate in deficit spending
Joshua Nelson SEDS USA Rep (10:22:18 PM): we are really a non-profit
Joshua Nelson SEDS USA Rep (10:22:22 PM): trust me, I dont get paid.
John Ferreira FIT (10:22:26 PM): How large of a donation is being looked for? I simply ask because I don't know what the budget is that is needed to run on. Are we talking several major companies, a few smaller, or what?
Nick Day UBuffalo (10:22:33 PM): nor do i..lol
Joshua Nelson SEDS USA Rep (10:22:42 PM): several major
John Ferreira FIT (10:22:56 PM): And, if the budget to operate needs to increase, will we be able to continue adding donations over the years to increase the interest?
Joshua Nelson SEDS USA Rep (10:22:57 PM): the exact size of the fund will determine how much we have to work with yearly
Joshua Nelson SEDS USA Rep (10:23:02 PM): yes
Joshua Nelson SEDS USA Rep (10:23:18 PM): ideally a fund of 50-100k would be nice
Joshua Nelson SEDS USA Rep (10:23:39 PM): this company will also yearly refile the IRS documents for us
Joshua Nelson SEDS USA Rep (10:23:48 PM): so a year of inactivity wont lose all of the work for everyone
John Ferreira FIT (10:24:01 PM): Is there a minimum donation amount? And how are the companies donating going to be recognized?
Joshua Nelson SEDS USA Rep (10:24:08 PM): I've just recieved a correction, 300k would be ideal
Joshua Nelson SEDS USA Rep (10:24:26 PM): and yes, we'll work out recognition suitable to both the donating company, and SEDS
Joshua Nelson SEDS USA Rep (10:24:42 PM): as to the minimum donation amount, I do not know
Joshua Nelson SEDS USA Rep (10:24:52 PM): I have not seen the proposed funding levels yet
Joshua Nelson SEDS USA Rep (10:25:01 PM): I would suggest asking Ryan, Vice Chair of SEDS about that
John Ferreira FIT (10:25:09 PM): Ok. Thank you.
Joshua Nelson SEDS USA Rep (10:25:12 PM): Any further questions on Endowment Fund?
Stephanie Herpich WPI (10:25:46 PM): no
Joshua Nelson SEDS USA Rep (10:26:11 PM): A further correction, the company will charge 1% of the total amount of the account per year. this will cover expenses such as suggested investments, refiling 501c, maintaining the fund, etc..
Joshua Nelson SEDS USA Rep (10:26:21 PM): and again, this was the cheapest option we could find
Michael Green UCF (10:26:55 PM): what percent interest are we looking at roughly?
Joshua Nelson SEDS USA Rep (10:27:12 PM): for the yearly SEDS amount?
Michael Green UCF (10:27:23 PM): yeah
Joshua Nelson SEDS USA Rep (10:27:43 PM): ideally 5-6%
Joshua Nelson SEDS USA Rep (10:27:50 PM): so we'll be gaining money, not losing
Michael Green UCF (10:27:59 PM): just wanted to make sure...
Joshua Nelson SEDS USA Rep (10:28:03 PM): even if the fundraising efforts stop after the fund is established
Joshua Nelson SEDS USA Rep (10:28:38 PM): Darrell just let me know that the company's average is around 6-10%
Joshua Nelson SEDS USA Rep (10:28:45 PM): so we'll likely do quite well
Joshua Nelson SEDS USA Rep (10:28:55 PM): I'm going to close the floor on that item to move on
Joshua Nelson SEDS USA Rep (10:29:45 PM): next big decision is to create a SEDS lapel pin for sale to SEDS members going to conferences, etc.. and for sale to alumni interested in displaying their SEDS heritage
Joshua Nelson SEDS USA Rep (10:30:08 PM): Brian Young, director of educational outreach designed a nice silver pin
Joshua Nelson SEDS USA Rep (10:30:20 PM): the seds logo in silver, about an inch and a half wide
Joshua Nelson SEDS USA Rep (10:30:45 PM): the exec board after reviewing the designs, approved purchase of the pins
Joshua Nelson SEDS USA Rep (10:30:58 PM): which will be sold at conferences, etc.. at profit
Joshua Nelson SEDS USA Rep (10:31:09 PM): questions on those?
John Ferreira FIT (10:31:22 PM): Is there a picture of some sort on the wiki?
John Ferreira FIT (10:31:31 PM): Or is it just the logo?
Ryan Caron WPI- observer (10:31:32 PM): sounds awesome... i'll buy one. picture would be nice
Joshua Nelson SEDS USA Rep (10:31:33 PM): hmm I do not believe one was posted
Joshua Nelson SEDS USA Rep (10:31:36 PM): it is just the logo
Joshua Nelson SEDS USA Rep (10:31:38 PM): in silver
Joshua Nelson SEDS USA Rep (10:31:48 PM): the classic SEDS fire-wire logo
John Ferreira FIT (10:31:54 PM): Would members be able to buy it from the website as well?
Joshua Nelson SEDS USA Rep (10:32:00 PM): probably, yes
Joshua Nelson SEDS USA Rep (10:32:05 PM): or chapters could buy in bulk
Joshua Nelson SEDS USA Rep (10:32:22 PM): we will need to work out the logistics once they arrive and we deem that we're keeping them
Joshua Nelson SEDS USA Rep (10:32:30 PM): (dont want to give out bad product)
Joshua Nelson SEDS USA Rep (10:32:43 PM): I will get you guys a picture
Joshua Nelson SEDS USA Rep (10:32:50 PM): I do not have a link to one right now
Joshua Nelson SEDS USA Rep (10:33:05 PM): the pins should arrive in about 1-2 weeks
Joshua Nelson SEDS USA Rep (10:33:11 PM): Any further questions?
Joshua Nelson SEDS USA Rep (10:33:22 PM): Floor closed on that item.
Joshua Nelson SEDS USA Rep (10:33:30 PM): Next, and perhaps most major
Joshua Nelson SEDS USA Rep (10:33:40 PM): the executive board decided that our constitution needed major updating
Joshua Nelson SEDS USA Rep (10:34:07 PM): given that the old one we were operating on dated back to 1992, and needed to be tweaked to fit our current organization
Joshua Nelson SEDS USA Rep (10:34:33 PM): the link to the new proposed constitution, is https://www.seds.org/documents/SEDS-USA_National_Constitution.pdf
Joshua Nelson SEDS USA Rep (10:34:44 PM): this is only a proposed constitution, and still needs to be ratified by the CoC
Joshua Nelson SEDS USA Rep (10:34:53 PM): major changes include:
Joshua Nelson SEDS USA Rep (10:35:21 PM): Giving the Advisor Board an actual job, they will help administer the endowment fund
Joshua Nelson SEDS USA Rep (10:35:58 PM): removing language that put SEDS-USA under the direct control of SEDS-Earth, given that there is no formal SEDS Earth organization
Joshua Nelson SEDS USA Rep (10:36:19 PM): defining exactly what policing powers the executive board has over chapters
Joshua Nelson SEDS USA Rep (10:36:53 PM): And adding the Endowment Fund to the document in general
Stephanie Herpich WPI (10:36:56 PM): what powers?
Stephanie Herpich WPI (10:37:18 PM): sorry nvm
Joshua Nelson SEDS USA Rep (10:38:10 PM): The document will sit in review until the next CoC meeting
Joshua Nelson SEDS USA Rep (10:38:31 PM): during that time you can raise objections to individual changes
Joshua Nelson SEDS USA Rep (10:38:31 PM): via email
Joshua Nelson SEDS USA Rep (10:38:35 PM): to the Director of Chapter Affairs
Joshua Nelson SEDS USA Rep (10:38:58 PM): then at the next CoC there will be debate on any objections, a vote, and hopefully a ratification
Basant V Sagar MIT (10:39:18 PM): cool
Joshua Nelson SEDS USA Rep (10:39:28 PM): any questions about the constitution?
Joshua Nelson SEDS USA Rep (10:39:50 PM): again, if you read over it between now and next CoC and have any questions, feel free to ask me about any of them
Basant V Sagar MIT (10:39:57 PM): can't we have a formal SEDS Earth as well
Joshua Nelson SEDS USA Rep (10:39:57 PM): and the logic behind certain changes, etc...
Basant V Sagar MIT (10:40:08 PM): controlled by SEDS-USA
Basant V Sagar MIT (10:40:16 PM): hmm..
Joshua Nelson SEDS USA Rep (10:40:19 PM): its in my long term plans
Joshua Nelson SEDS USA Rep (10:40:26 PM): but we need to get our own house in order
Joshua Nelson SEDS USA Rep (10:40:46 PM): Any further questions?
Stephanie Herpich WPI (10:41:15 PM): no
Nick Day UBuffalo (10:41:18 PM): nope
Joshua Nelson SEDS USA Rep (10:41:36 PM): In which case I close the executive board update, and pass the floor back to Darrell
Darrell Cain - Chapter Affairs (10:41:39 PM): alright
Darrell Cain - Chapter Affairs (10:41:44 PM): the next set is agenda items
Darrell Cain - Chapter Affairs (10:42:01 PM): from now on agenda items must be added by individual chapters three days before the next CoC meeting
Darrell Cain - Chapter Affairs (10:42:13 PM): for this meeting I'm allowing them to be added by message to me
Darrell Cain - Chapter Affairs (10:42:27 PM): one set of agenda items can be added at any time
Darrell Cain - Chapter Affairs (10:42:55 PM): and those are agenda items proposing discussion/vote on an executive board decision presented during the exec board decision portion of the meeting
Darrell Cain - Chapter Affairs (10:43:19 PM): i.e. if there is a major problem or concern about an exec board decision, then you can IM me during the meeting and it will be added as an agenda item
Darrell Cain - Chapter Affairs (10:43:27 PM): each agenda item is sponsored by a specific chapter
Darrell Cain - Chapter Affairs (10:43:32 PM): they will gain control of the floor
Darrell Cain - Chapter Affairs (10:43:43 PM): they have approximately two minutes to address that item
Darrell Cain - Chapter Affairs (10:43:46 PM): then open to questions
Darrell Cain - Chapter Affairs (10:43:57 PM): after that I will ask if we need to move to open debate
Darrell Cain - Chapter Affairs (10:44:10 PM): during that time and during an open debate a vote can be proposed
Darrell Cain - Chapter Affairs (10:44:17 PM): not every item has to have a vote
Darrell Cain - Chapter Affairs (10:44:22 PM): but it is an option out there
Darrell Cain - Chapter Affairs (10:44:50 PM): if there are questions as to the types of votes you can raise, please IM me, they are in the formal document I sent out as well
Darrell Cain - Chapter Affairs (10:45:04 PM): I will suggest the appropiate type of vote to raise in a specific situation
Darrell Cain - Chapter Affairs (10:45:13 PM): please only do this if you want to propose a vote on an item
Darrell Cain - Chapter Affairs (10:45:28 PM): if you tell me what you want to achieve I can give you the best option to pursue
Darrell Cain - Chapter Affairs (10:45:33 PM): any questions?
Stephanie Herpich WPI (10:45:37 PM): no
Michael Green UCF (10:45:37 PM): nope
Darrell Cain - Chapter Affairs (10:45:48 PM): there are three items on the agenda
Darrell Cain - Chapter Affairs (10:46:00 PM): SEDS exec board elections from UIUC
Darrell Cain - Chapter Affairs (10:46:09 PM): Resume Database from UB
Darrell Cain - Chapter Affairs (10:46:16 PM): and Rocket project from MIT
Darrell Cain - Chapter Affairs (10:46:19 PM): we will go in that order
Darrell Cain - Chapter Affairs (10:46:23 PM): UIUC now has the floor
Coralie Jackman UIUC (10:46:32 PM): Hey everyone!
Coralie Jackman UIUC (10:47:38 PM): Our chapter would like to propose moving exec board elections to earlier on in the conference. Monday elections are hard for us and probably other schools because its more school that we are missing.
Darrell Cain - Chapter Affairs (10:48:26 PM): please allow coralie to continue until she asks for questions
Coralie Jackman UIUC (10:48:39 PM): I'll ask for questions now
Stephanie Herpich WPI (10:49:01 PM): i agree
Grant Atkinson Texas A&M (10:49:17 PM): when do you plan on moving them to?
Joshua Nelson SEDS USA Rep (10:49:21 PM): Would you prefer a Saturday or a Sunday date? Given that you would want to get to know the canidates first before voting, I would think Sunday would work better than Saturday, but what are you proposing?
Coralie Jackman UIUC (10:49:51 PM): Sunday would probably work best, given what you said
Coralie Jackman UIUC (10:50:22 PM): Our chapter didn't discuss it too much, but we wanted to see how others felt about it
Darrell Cain - Chapter Affairs (10:50:41 PM): in that light we can probably move directly to open floor
Darrell Cain - Chapter Affairs (10:50:48 PM): if coralie doesn't object?
Coralie Jackman UIUC (10:51:09 PM): we were thinking sunday, or if the conerence was held thurs-sun instead, that would give equivalent time to get to know the candidates
Coralie Jackman UIUC (10:51:13 PM): sure
Basant V Sagar MIT (10:51:24 PM): Sunday works best...
Darrell Cain - Chapter Affairs (10:51:26 PM): floor is open...I will close it in five minutes
Darrell Cain - Chapter Affairs (10:51:36 PM): unless specifically asked to close it by the chapters
Darrell Cain - Chapter Affairs (10:51:42 PM): I will also close it if nothing is happening
Joshua Nelson SEDS USA Rep (10:51:42 PM): I agree fully, and would move further that the SEDS specific meetings should be spread throughout the conference, instead of just concentrated on one day
John Ferreira FIT (10:51:46 PM): Sunday makes sense.
John Ferreira FIT (10:51:59 PM): The whole shift makes more sense.
Grant Atkinson Texas A&M (10:52:04 PM): i agree
TonioAsura (10:52:08 PM): /signed
Joshua Nelson SEDS USA Rep (10:52:49 PM): I sould say the exact extent of the conference should be left to the hosting chapter, given it is they that have to arrange the thing, but that the CoC requireing the elections to be held on sunday is perfectly reasonable
Joshua Nelson SEDS USA Rep (10:52:56 PM): should*
Nick Day UBuffalo (10:54:19 PM): yea, it makes sense to get the majority of the chapters involved, while making sure that they get to know the candidates..
Michael Green UCF (10:54:40 PM): this year we ended up hanging out in the MIT "hangar" and watching a movie on sunday night, so it probably wouldn't be too hard to fit it in
Darrell Cain - Chapter Affairs (10:56:32 PM): open floor is now closed (unless there is objections) are there any items that the council wishes to make an action aupon?
Darrell Cain - Chapter Affairs (10:56:53 PM): I believe UIUC has something
Ryan Caron WPI- observer (10:57:05 PM): whoops - battery low. see you guys later
Ryan Caron WPI- observer (10:57:06 PM) has left the room.
Coralie Jackman UIUC (10:57:48 PM): I'd like to ask for a vote to create a formal recommendation to the SEDS exec board to move the elections to the sunday of the conference and possibly shift the whole conference back a day if it works for the host school
Darrell Cain - Chapter Affairs (10:57:56 PM): alright
Darrell Cain - Chapter Affairs (10:58:12 PM): a formal recommendation to the SEDS executive board is a non-binding suggestion
Darrell Cain - Chapter Affairs (10:58:30 PM): it can later be followed by a directive if the council feels it is not being appropiately considered
Darrell Cain - Chapter Affairs (10:58:37 PM): it requires a simple majority to pass
Darrell Cain - Chapter Affairs (10:58:42 PM): it also requires a second
Darrell Cain - Chapter Affairs (10:59:06 PM): in order to be voted on in the first place
Darrell Cain - Chapter Affairs (10:59:11 PM): at this time any chapter can speak
Grant Atkinson Texas A&M (10:59:28 PM): i second
Darrell Cain - Chapter Affairs (10:59:30 PM): alright
Darrell Cain - Chapter Affairs (10:59:40 PM): please cast your vote
Darrell Cain - Chapter Affairs (10:59:58 PM): chapter name- vote (aye, nay, or abstain)
Bruce Davis UColorado (11:00:00 PM) has left the room.
John Ferreira FIT (11:00:09 PM): F.I.T.-Aye
Stephanie Herpich WPI (11:00:10 PM): wpi - aye
TonioAsura (11:00:11 PM): UA SEDS votes aye.
Grant Atkinson Texas A&M (11:00:12 PM): Texas A&M - aye
Basant V Sagar MIT (11:00:16 PM): MIT - aye
Darrell Cain - Chapter Affairs (11:00:17 PM): you have one minute
Alexander Roth Purdue (11:00:18 PM): purdue - aye
Nick Day UBuffalo (11:00:20 PM): UB - Aye
Coralie Jackman UIUC (11:00:20 PM): UIUC-aye
Michael Green UCF (11:00:23 PM): SEDS-UCF votes aye
Darrell Cain - Chapter Affairs (11:01:04 PM): voting is now closed
Darrell Cain - Chapter Affairs (11:01:11 PM): measure passes by a simple majority
Darrell Cain - Chapter Affairs (11:01:14 PM): next item
Darrell Cain - Chapter Affairs (11:01:26 PM): floor is given to UB SEDS to discuss Resume Database
Nick Day UBuffalo (11:01:44 PM): hey there, ok so pretty much we had the idea to create a website to host resumes for SEDS-USA members. we feel that this would encourage chapters to pay dues and motivate students to become "full-time" active members.
Nick Day UBuffalo (11:02:33 PM): this may already be covered, however by the new SEDS national website, through the option of Space related companies to view posted resumes
Nick Day UBuffalo (11:03:52 PM): are there any suggestions as to whether or not we should have a separate webpage for the posted resumes? or should we just go through the SEDS-USA page? go ahead
Basant V Sagar MIT (11:04:18 PM): SEDS-USA provides a centralized resource
John Ferreira FIT (11:04:55 PM): Well, something I'm wondering. Will other SEDS members be able to look in the SEDS-USA database?
John Ferreira FIT (11:05:11 PM): I mean, for alum looking for their jobs or something of that nature.
Basant V Sagar MIT (11:05:15 PM): I also suggest ensuring that SEDS members get a priority at the SpaceVision Career Fairs
Nick Day UBuffalo (11:05:39 PM): yea, this proposal was thought up prior to the discussion abou the SEDS_USA website, so..
Bruce Davis UColorado (11:05:41 PM) has been invited.
Bruce Davis UColorado (11:05:44 PM) has entered the room.
Basant V Sagar MIT (11:05:51 PM): like their resumes will be included by default and will be given pref over others
Basant V Sagar MIT (11:05:53 PM): cool
Nick Day UBuffalo (11:07:48 PM): yea, thats cool, but are there alot of non-SEDS members who attend the spacevision conference/career fairs??
Nick Day UBuffalo (11:07:52 PM): i was at the most recent one at MIT and i was under the assumption that there were mostly, only SEDS members in attendance, correct me if im wrong.
Basant V Sagar MIT (11:08:25 PM): there were other students as well... the career fair was open to all MIT students
Michael Green UCF (11:08:34 PM): year before at UCF, it was about 90% seds members
Nick Day UBuffalo (11:08:52 PM): im not sure about other members viewing the database, that probably wouldnt be a question best directed my way. lol
Joshua Nelson SEDS USA Rep (11:09:08 PM): as for open viewing of the database
Joshua Nelson SEDS USA Rep (11:09:22 PM): what has been suggested by Josh and myself
Joshua Nelson SEDS USA Rep (11:09:36 PM): that the companies are able to search the database
Joshua Nelson SEDS USA Rep (11:10:05 PM): but non-companies would be able to view member procfiles by clicking on them or being linked directly
Nick Day UBuffalo (11:10:15 PM): yea, so im not really sure, but i suppose if no one objected, we could give SEDS members an advantage
Joshua Nelson SEDS USA Rep (11:10:16 PM): ex: you could give out the link to a prospective company
John Ferreira FIT (11:10:49 PM): Yeah, I realized it was a bit out of place, but I wasn't sure if Josh or someone might have been able to answer. I wanted to use it as a comparision to see if another made sense.
John Ferreira FIT (11:10:59 PM): Ok, that makes sense I guess.
Darrell Cain - Chapter Affairs (11:11:08 PM): due to interest on the subject open floor has been open for five more minutes
Darrell Cain - Chapter Affairs (11:11:12 PM): rather
Darrell Cain - Chapter Affairs (11:11:18 PM): I'm opening it for five more minutes
Darrell Cain - Chapter Affairs (11:11:34 PM): it can be closed by request or by vote
Joshua Nelson SEDS USA Rep (11:11:40 PM): I would suggest avoiding limiting career fairs to only SEDS members
Joshua Nelson SEDS USA Rep (11:11:51 PM): because anyone you might get to go to a SEDS career fair
Joshua Nelson SEDS USA Rep (11:12:02 PM): is more likely to look favorably on the organization
Joshua Nelson SEDS USA Rep (11:12:19 PM): a possible alternative, require an additional fee for non-seds members
Basant V Sagar MIT (11:12:30 PM): I only meant giving pref to SEDS members
Joshua Nelson SEDS USA Rep (11:12:35 PM): k
Basant V Sagar MIT (11:12:43 PM): yeah... that's okay as well
Nick Day UBuffalo (11:12:51 PM): our original intention was to call for a vote to direct the e-board to begin developing a website, but if that already exists in the SEDS-USA page, then, so be it...
Joshua Nelson SEDS USA Rep (11:13:04 PM): it will be up in a week, 2 weeks tops
Joshua Nelson SEDS USA Rep (11:13:10 PM): as of.... this morning
Joshua Nelson SEDS USA Rep (11:13:28 PM): the interfaces exist, it is just a matter of filling in all the various fields
Joshua Nelson SEDS USA Rep (11:13:42 PM): editting
Joshua Nelson SEDS USA Rep (11:13:43 PM): etc...
Nick Day UBuffalo (11:14:16 PM): yea, i like the idea of charging a little more to non-seds members, it might promote a somewhat "unintentional" interest and growth in membership by giving that "perk"
Joshua Nelson SEDS USA Rep (11:14:25 PM): yup
Joshua Nelson SEDS USA Rep (11:14:56 PM): and UB SEDS can definetly still stay involved
Basant V Sagar MIT (11:15:11 PM): in fact I know some people who joined MIT-SEDS through the career fair
Joshua Nelson SEDS USA Rep (11:15:14 PM): and I'm sure Josh would welcome any suggestions in tweaking and help testing the beta version when it comes online
Joshua Nelson SEDS USA Rep (11:15:53 PM): to clarify a point, the membership database is exclusive to SEDS members/alumni
Nick Day UBuffalo (11:17:13 PM): ok, well i dont want to volunteer anyone, but im sure we could find someone interested, i.e. the member who developed our UBSEDS website...i'll see what i can do
Joshua Nelson SEDS USA Rep (11:17:35 PM): k
Joshua Nelson SEDS USA Rep (11:17:45 PM): (I'd advise closing the floor and moving on if there's nothing else)
Nick Day UBuffalo (11:18:02 PM): yea, im done
Darrell Cain - Chapter Affairs (11:18:18 PM): sorry
Darrell Cain - Chapter Affairs (11:18:21 PM): my fault
Darrell Cain - Chapter Affairs (11:18:28 PM): floor is closed
Darrell Cain - Chapter Affairs (11:18:33 PM): at this point an action can be made
Darrell Cain - Chapter Affairs (11:18:35 PM): if not
Darrell Cain - Chapter Affairs (11:18:37 PM): then we will move on
Darrell Cain - Chapter Affairs (11:18:50 PM): one minute will be allowed for a statement of an action
Darrell Cain - Chapter Affairs (11:19:49 PM): okay
Darrell Cain - Chapter Affairs (11:19:51 PM): next item
Darrell Cain - Chapter Affairs (11:19:55 PM): and laslt
Darrell Cain - Chapter Affairs (11:19:58 PM): as an aside
Darrell Cain - Chapter Affairs (11:20:08 PM): thanks everyone for your attention here
Darrell Cain - Chapter Affairs (11:20:18 PM): I've worked to trim these down by cutting out chapter updates
Darrell Cain - Chapter Affairs (11:20:23 PM): but they still go long
Darrell Cain - Chapter Affairs (11:20:32 PM): (which is why we're only having these once a month)
Darrell Cain - Chapter Affairs (11:20:40 PM): last item on the agenda
Darrell Cain - Chapter Affairs (11:20:44 PM): Rocket Project from MIT
Darrell Cain - Chapter Affairs (11:20:48 PM): MIT has the floor
Basant V Sagar MIT (11:20:58 PM): Hi Guys
Basant V Sagar MIT (11:21:39 PM): So the MIT Rocket Team has been working on the SEDS Balloon Launch contest for the last 3 months
Basant V Sagar MIT (11:22:01 PM): plus we are collaborating with a team from Cambridge, UK
Basant V Sagar MIT (11:22:23 PM): so it's important for us that there's clarity about dates and final rules
Basant V Sagar MIT (11:22:56 PM): I welcome the idea of moving the letter of intent deadline to 03/01
Basant V Sagar MIT (11:23:34 PM): but the 1 yr delay would be kinda difficult to handle...
Basant V Sagar MIT (11:24:21 PM): what are your views abt this.... plus I'd like to know which are the other teams.... how many are expected to participate
Basant V Sagar MIT (11:24:46 PM): open floor
TonioAsura (11:25:07 PM): I don't think UA SEDS would have a problem with a minor delay. They've been having issues getting the rocket, which I believe Josh is working to resolve.
Joshua Nelson SEDS USA Rep (11:25:07 PM): On the item of finalized rules, I agree completly that they need to firmed up
Joshua Nelson SEDS USA Rep (11:25:34 PM): I'm hoping to have those done, through the FAA and whatnot by mid february
Joshua Nelson SEDS USA Rep (11:25:49 PM): Currently the only chapters bugging me constantly about the rocket competition are UA and MIT
Joshua Nelson SEDS USA Rep (11:25:57 PM): are any other chapters intending on participating?
Grant Atkinson Texas A&M (11:26:00 PM): Texas A&M's largely dropped work on the rocket
TonioAsura (11:26:01 PM): Go UoA. *waves flag*
Grant Atkinson Texas A&M (11:26:04 PM): we're focusing on the conference
Joshua Nelson SEDS USA Rep (11:26:09 PM): at the conference, people were very excited
Stephanie Herpich WPI (11:26:27 PM): wpi is going to participate
Basant V Sagar MIT (11:26:30 PM): are there any independent teams as well?
Joshua Nelson SEDS USA Rep (11:26:39 PM): at this point its been SEDS exclusive
Basant V Sagar MIT (11:26:43 PM): k
Joshua Nelson SEDS USA Rep (11:26:45 PM): but we might want to open it up to external groups
Joshua Nelson SEDS USA Rep (11:27:00 PM): opinions on that?
Michael Green UCF (11:27:03 PM): UCF would love too... but we are stretched way too thin with 3 other major projects we are working on
Basant V Sagar MIT (11:27:06 PM): yeah... just 2 teams ain't fun
Grant Atkinson Texas A&M (11:27:13 PM): i like the idea of making it open
Michael Green UCF (11:27:38 PM): open - but just to student groups
Nick Day UBuffalo (11:27:46 PM): i dont believe that UB is participating, while we do have a rocketry "club" within UBSEDS, it was never mentioned at our weekly meetings
Joshua Nelson SEDS USA Rep (11:28:02 PM): you should encourage them to participate
Joshua Nelson SEDS USA Rep (11:28:08 PM): plenty of time between now and october
Basant V Sagar MIT (11:28:09 PM): I propose a formal vote on this - opening up the contest to other schools as well
Joshua Nelson SEDS USA Rep (11:28:36 PM): I'd like that defined a bit more
Nick Day UBuffalo (11:28:37 PM): well im a rocketry member, so i'll bring it up
Grant Atkinson Texas A&M (11:28:40 PM): might be a good recruiting tool
Grant Atkinson Texas A&M (11:28:49 PM): i would vote aye if it comes to a vote
Joshua Nelson SEDS USA Rep (11:28:52 PM): eg: student run rocket groups
Joshua Nelson SEDS USA Rep (11:28:52 PM): etc..
Grant Atkinson Texas A&M (11:28:53 PM): but i have to get offline
Grant Atkinson Texas A&M (11:28:56 PM): other commitments
Grant Atkinson Texas A&M (11:28:58 PM): bye
Grant Atkinson Texas A&M (11:29:08 PM) has left the room.
Basant V Sagar MIT (11:29:13 PM): k
Darrell Cain - Chapter Affairs (11:29:21 PM): we're near the end of the meeting as well
Basant V Sagar MIT (11:29:29 PM): the national execute may consider that in detail
Darrell Cain - Chapter Affairs (11:29:33 PM): in fact the floor on this item is about to close
Darrell Cain - Chapter Affairs (11:29:45 PM): unless an extension is requested
Nick Day UBuffalo (11:29:52 PM): i suggest possibly asking AIAA (american institute of aeronautics and astronautics)
Basant V Sagar MIT (11:30:03 PM): yeah
Stephanie Herpich WPI (11:30:16 PM): for what it's worth, wpi AIAA and SEDS are the same thing... other chapters might be that way too
Basant V Sagar MIT (11:30:23 PM): lol
Joshua Nelson SEDS USA Rep (11:30:35 PM): can I ask that you give me the latitude to come up with a defined criteria of groups being allowed in?
Nick Day UBuffalo (11:30:48 PM): yea, ours interact, but are not the SAME thing
Nick Day UBuffalo (11:30:49 PM): so..
Basant V Sagar MIT (11:30:58 PM): Student teams....
Basant V Sagar MIT (11:31:11 PM): not professionals
TonioAsura (11:31:34 PM): I dunno. Student teams beat the professionals back at X-Prize Cup for Space Elevator.
Nick Day UBuffalo (11:31:36 PM): no, i meant the AIAA club through the school
Darrell Cain - Chapter Affairs (11:32:09 PM): the floor is now closed. It can be reopened upon request, a vote can be proposed or the item can pass
Darrell Cain - Chapter Affairs (11:32:24 PM): (i.e. nothing happens)
Darrell Cain - Chapter Affairs (11:33:53 PM): alright...one minute for intent
Darrell Cain - Chapter Affairs (11:34:38 PM): intent can include "I have something",,at which point we wait for that something
Joshua Nelson SEDS USA Rep (11:34:40 PM): the competition to other student groups outside of SEDS, the definition of which to be decided on by the organizing team. With a letter of intent deadline March 1st. Late submissions accepted, but with a fee associated.
Basant V Sagar MIT (11:34:47 PM): I suggest the CoC officially endorse the idea of expanding the contest for other teams ... as it deems fit
Joshua Nelson SEDS USA Rep (11:34:52 PM): I suggest a vote to the floor, to open the competition to other student groups
Joshua Nelson SEDS USA Rep (11:34:55 PM): outside of SEDS, the definition of which to be decided on by the organizing team. With a letter of intent deadline March 1st. Late submissions accepted, but with a fee associated.
Joshua Nelson SEDS USA Rep (11:35:00 PM): sorry thats the full message
Darrell Cain - Chapter Affairs (11:35:14 PM): as Josh is part of the exec board he can not put forward a vote
Darrell Cain - Chapter Affairs (11:35:20 PM): however he is allowed a suggestion
Darrell Cain - Chapter Affairs (11:35:26 PM): that needs to be picked up by two chapters
Joshua Nelson SEDS USA Rep (11:35:27 PM):
Basant V Sagar MIT (11:35:27 PM): I put forward the vote
Darrell Cain - Chapter Affairs (11:35:31 PM): one "nominating"
Darrell Cain - Chapter Affairs (11:35:34 PM): the other seconding
John Ferreira FIT (11:35:34 PM): Second.
Darrell Cain - Chapter Affairs (11:35:36 PM): alright
Darrell Cain - Chapter Affairs (11:35:40 PM): one minute to vote
Darrell Cain - Chapter Affairs (11:35:46 PM): same structure as before
Darrell Cain - Chapter Affairs (11:35:48 PM): starting now
John Ferreira FIT (11:35:52 PM): F.I.T.-Aye
Stephanie Herpich WPI (11:35:56 PM): wpi- aye
TonioAsura (11:35:58 PM): UA - aye
Michael Green UCF (11:36:00 PM): UCF votes aye
Alexander Roth Purdue (11:36:03 PM): purdue aye
Coralie Jackman UIUC (11:36:06 PM): UIUC-aye
Nick Day UBuffalo (11:36:17 PM): UB - Aye
Basant V Sagar MIT (11:36:24 PM): MIT - aye
Darrell Cain - Chapter Affairs (11:36:48 PM): vote passes
Darrell Cain - Chapter Affairs (11:37:09 PM): this concludes the agenda item part of the meeting
Darrell Cain - Chapter Affairs (11:37:16 PM): a few announcements and we're done
Darrell Cain - Chapter Affairs (11:37:47 PM): for constitution items, if your chapter has problems or conflicts with a particular section of the constitution please send me an email at cain@mit.edu or chapter-affairs@seds.org
Darrell Cain - Chapter Affairs (11:38:04 PM): I will send a list of objections as they become significant
Darrell Cain - Chapter Affairs (11:38:23 PM): and we'll attempt to remediate problems with the consitution via email instead of here
Darrell Cain - Chapter Affairs (11:38:29 PM): then there will be a vote here at the next meeting
Darrell Cain - Chapter Affairs (11:38:43 PM): the next meeting date will be on a Wednesday, at 9:00 pm EST
Darrell Cain - Chapter Affairs (11:38:47 PM): further details will follow
Darrell Cain - Chapter Affairs (11:38:52 PM): probably exactly one month from now
Darrell Cain - Chapter Affairs (11:39:10 PM): before that date you will receive a list of all meeting dates until the next SEDS conference
Darrell Cain - Chapter Affairs (11:39:27 PM): any questions about the constitutions (not objections)
Darrell Cain - Chapter Affairs (11:39:31 PM): can go to chair@seds.org
Joshua Nelson SEDS USA Rep (11:40:09 PM) has left the room.
Darrell Cain - Chapter Affairs (11:40:10 PM): again, I'd like to thank everyone for their participation here. You will be hearing from me throughout the month and I will see all of you back here in a month
Darrell Cain - Chapter Affairs (11:40:13 PM): goodnight
Darrell Cain - Chapter Affairs (11:40:17 PM): meeting is now adjourned
