RolandBolser (7:51:55 PM) has entered the room.
DarrellDCain (7:51:55 PM) has entered the room.
LittleC3788 (7:51:55 PM) has entered the room.
nyeerrmm (7:51:58 PM) has entered the room.
Jedi8798 (7:52:09 PM): brb, need to grab some ice cream.
KT0 3T0 (7:52:09 PM) has entered the room.
DarrellDCain (7:52:56 PM): well...while Josh has stepped out
DarrellDCain (7:53:07 PM): how was the conference?
KT0 3T0 (7:53:28 PM): weren't you there?
nyeerrmm (7:53:41 PM): that was evil darrell
KT0 3T0 (7:53:54 PM): who is evil darrel
nyeerrmm (7:54:05 PM): darrell's evil twin
RolandBolser (7:54:10 PM): are you mad that we made fun of you after you were dead?
Jedi8798 (7:54:11 PM): obviously the one at the conference
rmmlg08 (7:54:27 PM) has entered the room.
Jedi8798 (7:54:38 PM): Ryan G is not coming, correct?
Jedi8798 (7:54:43 PM): anyone heard from HQ?
DarrellDCain (7:55:30 PM): nope
Jedi8798 (7:55:59 PM): k lets give her 5 minutes then get started
DarrellDCain (7:56:02 PM): ha
DarrellDCain (7:56:11 PM): with HQ and Ryan G we'd have everyone
Jedi8798 (7:56:19 PM): eh
Jedi8798 (7:56:22 PM): still is Josh Sosa
DarrellDCain (7:56:24 PM): oh
DarrellDCain (7:56:25 PM): true
DarrellDCain (7:56:31 PM): haven't seen him in forever
DarrellDCain (7:56:53 PM): Nastia, did Ed Wright talk to you?
Jedi8798 (7:56:58 PM): he still does any updates we need on a timely basis. So I dont mind.
DarrellDCain (7:57:04 PM): I think you told me no
KT0 3T0 (7:57:09 PM): I did not get to talk to Ed Wright
DarrellDCain (7:57:12 PM): alright
KT0 3T0 (7:57:16 PM): I can contact him if you want
DarrellDCain (7:57:18 PM): I'll check my contact cards
KT0 3T0 (7:57:21 PM): if someone has his card
KT0 3T0 (7:57:22 PM): yea
DarrellDCain (7:57:26 PM): and see if I can get you his contact information
DarrellDCain (7:57:49 PM): well...the other non-exec board meeting item that everyone doesn't want to hear
DarrellDCain (7:57:53 PM): was directed at HQ
DarrellDCain (7:58:07 PM): we had a ton of new colleges at the conference
DarrellDCain (7:58:12 PM): all from NASA Academy
Jedi8798 (7:59:26 PM): yeah and at least 2 new chapter requests
Jedi8798 (7:59:35 PM): Stanford is one
Jedi8798 (7:59:53 PM): whoops
Jedi8798 (7:59:55 PM): not Stanford
Jedi8798 (7:59:57 PM): cornel
KT0 3T0 (8:00:06 PM): awesome
DarrellDCain (8:00:16 PM): who's the contact at Cornell?
DarrellDCain (8:00:29 PM): Stanford..I'm talking to an incoming freshman about it
Jedi8798 (8:00:35 PM): Nanette Peterson
Jedi8798 (8:00:40 PM): undergrad coordinator
Jedi8798 (8:00:50 PM): ok
Jedi8798 (8:01:03 PM): So HQ hasnt showed, lets get started
RolandBolser (8:01:13 PM): ahahahahahahahahahahaha
Jedi8798 (8:01:50 PM): Nastia will be inviting an observer to watch the meeting
Jedi8798 (8:01:56 PM): someone possibly interested in joining SEDS
Jedi8798 (8:02:02 PM): so everyone on best behavior
DarrellDCain (8:02:12 PM): similarly
nyeerrmm (8:02:14 PM): can we still make fun of darrell?
unsttoppable (8:02:14 PM) has entered the room.
Jedi8798 (8:02:18 PM): Ok Item number 1, Frequent Flier Program
Jedi8798 (8:02:33 PM): I've put in requests to several airlines and spent the past 2 days calling people
Jedi8798 (8:02:48 PM): it seems that for the most part, airlines do not want to engage in large scale partnerships with organizations of our size
Jedi8798 (8:02:57 PM): so the method I'd like to use for the frequent flier program
Jedi8798 (8:03:03 PM): is set up an automated system on the website
Jedi8798 (8:03:16 PM): that will email the required transfer info to miles@seds.org
Jedi8798 (8:03:25 PM): then we can do the transfers to a SEDS frequent flier account
Jedi8798 (8:03:31 PM): from that account we can buy the tickets, etc...
Jedi8798 (8:04:10 PM): What are your opinions on this? Should we use a web form? Or just have people email directly?
DarrellDCain (8:04:46 PM): how much in terms of money are we going to have to spend to transfer frequent flyer miles?
Jedi8798 (8:04:59 PM): thats another point we should discuss
DarrellDCain (8:05:01 PM): can people claim 501c3 donation?
Jedi8798 (8:05:06 PM): no
Jedi8798 (8:05:15 PM): the IRS does not consider miles to be property or money
DarrellDCain (8:05:20 PM): alright
Jedi8798 (8:05:23 PM): and therefore are not eligible for write offs
DarrellDCain (8:05:26 PM): webform sounds fine
DarrellDCain (8:05:30 PM): as long as it's secure
Jedi8798 (8:05:39 PM): we might need to spend some small amounts of cash per transfer ($5-$10)
nyeerrmm (8:05:45 PM): i think a web form is a good method, as long as Josh Sosa can set it up, but you may as well put instructions on how to do it by email on the same page
DarrellDCain (8:05:47 PM): give them an option to email us directly
Jedi8798 (8:05:48 PM): but if they are large amounts of miles that will be fine
DarrellDCain (8:06:29 PM): are the people willing to donate miles going to be donating in large enough amounts that it works?
hydrogenlithium (8:06:33 PM) has entered the room.
Jedi8798 (8:06:50 PM): we'll have to see what the response is.
rmmlg08 (8:07:26 PM) has left the room.
Jedi8798 (8:07:30 PM): probably can set a minimum number of miles
Jedi8798 (8:07:44 PM): AA for example values 1,000 miles at about $27 of air fare
nyeerrmm (8:07:57 PM): is it not a sliding scale based on how many miles tare transferred?
Jedi8798 (8:08:09 PM): I dont think so from my limited research
nyeerrmm (8:09:04 PM): and i dont suppose its possible to aggregate requests to reduce the cost?
Jedi8798 (8:09:32 PM): I've left messages with Delta and AA to that regard
Jedi8798 (8:09:36 PM): waiting for a response
Jedi8798 (8:09:44 PM): Any other questions on that line?
rmmlg08 (8:10:23 PM) has entered the room.
KT0 3T0 (8:10:26 PM): what are you trying to do exactly
KT0 3T0 (8:10:33 PM): sorry i missed it somehow
KT0 3T0 (8:10:44 PM): ur trying to get people to donate miles?
Jedi8798 (8:10:46 PM): We've decided to set up a frequent flier miles donation program
KT0 3T0 (8:10:52 PM): so seds members can use them?
Jedi8798 (8:10:54 PM): where people donate miles to get SEDS students to space conferences
KT0 3T0 (8:10:56 PM): ok cool
Jedi8798 (8:10:58 PM): yeah
KT0 3T0 (8:11:00 PM): thats a great idea
RolandBolser (8:11:02 PM): woot
rmmlg08 (8:11:25 PM): especially since my miles currently get wasted; I don't know about the rest of you guys
Jedi8798 (8:11:28 PM): yeah
rmmlg08 (8:11:33 PM): (since I fly with different airlines most of the time)
Jedi8798 (8:11:41 PM): my dad was complaining today that 10,000 of his miles just expired unused
nyeerrmm (8:11:45 PM): may also want to discuss at some piont (not necessarily today) how we'll distribute them
Jedi8798 (8:11:51 PM): airlines are making miles expire alot faster to save money
Jedi8798 (8:11:56 PM): Brian, I agree
Jedi8798 (8:12:03 PM): but for right now I would like to get the system set up
Jedi8798 (8:12:11 PM): once we have miles, we can debate how to use them
Jedi8798 (8:12:19 PM): An executive board decision of course
Jedi8798 (8:12:26 PM): If there are no other questions..?
DarrellDCain (8:12:33 PM): nope
Jedi8798 (8:13:15 PM): k
Jedi8798 (8:13:16 PM): next item
Jedi8798 (8:13:22 PM): Purging the listserv
Jedi8798 (8:13:30 PM): Recently the issue has come up
Jedi8798 (8:13:36 PM): that the SEDS Exec listserv is very open
Jedi8798 (8:13:43 PM): open to the level we have no clue who is on there
Jedi8798 (8:13:55 PM): and therefore we cannot use it to send out propietary information
Jedi8798 (8:14:20 PM): so we've discussed the possibility of purging the listserv, removing everyone we dont know, and only allowing select individuals to remain
Jedi8798 (8:14:35 PM): ex: current SEDS members, select alumni, and exec board members
Jedi8798 (8:14:57 PM): this is a big decision, because it is a fundemental shift. I like keeping us an open and transparent organization
Jedi8798 (8:15:10 PM): but we need to consider propietary concerns when we discuss deals with other organizations, etc..
Jedi8798 (8:15:19 PM): opinions?
rmmlg08 (8:15:29 PM): I agree that we need to have a private list
rmmlg08 (8:15:40 PM): we can be as public as we want on the wiki and public lists
DarrellDCain (8:15:55 PM): and we do publish these transcripts online
rmmlg08 (8:16:07 PM): (that last statement reads better if you replace the first public with transparent)
Jedi8798 (8:16:50 PM): we do publish these transcripts
Jedi8798 (8:16:59 PM): but there are circumstances where we have gone off the record in the past
Jedi8798 (8:17:36 PM): and recently (with the CATS deal) we've had the issue of forwarding propietary emails
Jedi8798 (8:17:47 PM): Any other opinions before we vote?
DarrellDCain (8:17:53 PM): could you explain what happened with CATS?
Jedi8798 (8:18:57 PM): nothing big, merely the emails about CATS were propietary information, so we had to go and request special permission to distribute to an unregulated listserv
AeroAggie84 (8:19:41 PM) has entered the room.
Jedi8798 (8:19:42 PM): they had no problem with it (given the low level of the agreement)
Jedi8798 (8:20:01 PM): I would like to leave current SEDS members and select alumni on the list
Jedi8798 (8:20:07 PM): since we should be transparent to our membership
Jedi8798 (8:20:23 PM): but we should get rid of the non-seds related people
Jedi8798 (8:20:39 PM): All in favor of purging the lists of non-SEDS related members? (Aye/ Nay/Abstain)
DarrellDCain (8:20:46 PM): aye
nyeerrmm (8:20:47 PM): aye
rmmlg08 (8:20:47 PM): i
RolandBolser (8:20:49 PM): aye
LittleC3788 (8:20:49 PM): aye
Jedi8798 (8:21:01 PM): aye
KT0 3T0 (8:21:10 PM): aye
Jedi8798 (8:21:43 PM): motion carries, 7-0-2
Jedi8798 (8:21:52 PM): next item, CoC items
Jedi8798 (8:22:04 PM): I've already proposed three items for the upcoming CoC:
Jedi8798 (8:22:10 PM): AAS MOU
Jedi8798 (8:22:11 PM): SFF MOU
Jedi8798 (8:22:14 PM): Dues
Jedi8798 (8:22:19 PM): Are there any more?
Jedi8798 (8:22:43 PM): (giving it one minute for response)
DarrellDCain (8:23:12 PM): none from my corner
rmmlg08 (8:23:22 PM) has left the room.
DarrellDCain (8:23:31 PM): apparently none from Ryan either
Jedi8798 (8:23:46 PM): k
Jedi8798 (8:23:50 PM): Darrell, any more coC items?
DarrellDCain (8:24:03 PM): Brian is the rep this time around
DarrellDCain (8:24:07 PM): and...that's it
rmmlg08 (8:24:22 PM) has entered the room.
Jedi8798 (8:24:52 PM): k
Jedi8798 (8:25:01 PM): Position Updates
Jedi8798 (8:25:11 PM): I'd like to go through the various positions and get updates on your summer action items
Jedi8798 (8:25:31 PM): updates can be short if you desire (2-3 sentances), I'd just like to publically hear what progress is being made
Jedi8798 (8:25:41 PM): Lets start with... HQ?
hydrogenlithium (8:26:26 PM): ok
hydrogenlithium (8:26:52 PM): I have spammed 10 schools and gotten 2 replies
hydrogenlithium (8:26:53 PM): I
hydrogenlithium (8:27:01 PM): plan to
hydrogenlithium (8:27:11 PM): g
hydrogenlithium (8:27:11 PM): g
hydrogenlithium (8:27:19 PM): sorry that was Dorothy
KT0 3T0 (8:27:43 PM): haha
hydrogenlithium (8:27:54 PM): I plan to remind the schools that haven't turned in their applications next week
hydrogenlithium (8:28:08 PM): and Darrell told me about Space Representatives that I can talk to
hydrogenlithium (8:28:17 PM): what are they called exactly?
rmmlg08 (8:28:22 PM): spacegrant
hydrogenlithium (8:28:25 PM): thank you
hydrogenlithium (8:28:30 PM): I am finished
Jedi8798 (8:28:33 PM): Good job HaoQi! 1/5 of schools responding to form chapters is a great turnout!
Jedi8798 (8:28:39 PM): Keep spamming them
hydrogenlithium (8:28:42 PM): ok
Jedi8798 (8:28:58 PM): make sure to send out expansion kits and more info to interested schools
hydrogenlithium (8:29:10 PM): can I just email it to them?
rmmlg08 (8:29:14 PM): and hit all the ones who were @ newspace
Jedi8798 (8:29:14 PM): yup
Jedi8798 (8:29:16 PM): thats fine
Jedi8798 (8:29:37 PM): next...
Jedi8798 (8:29:39 PM): Ryan?
rmmlg08 (8:30:06 PM): which
Jedi8798 (8:30:14 PM): M
rmmlg08 (8:30:27 PM): alrght, so two main fronts: conferences and endowment
hydrogenlithium (8:30:37 PM): de it
rmmlg08 (8:30:53 PM): ISDC and NewSpace went over very well with much better attendance/representation than in previous years
rmmlg08 (8:31:10 PM): and we will have representation at oshkosh and mars society later this summer
rmmlg08 (8:31:16 PM): oshkosh will just be a few people
rmmlg08 (8:31:32 PM): and mars society will be me, ben corbin, and some number of boulder people
rmmlg08 (8:32:00 PM): I'll then begin bugging people about any fall conferences (besides SV) toward the end of summer
rmmlg08 (8:32:03 PM): as for endowment
rmmlg08 (8:32:12 PM): we've raised about $20k in pledges so far
rmmlg08 (8:32:33 PM): and have our initial board of trustees: john gedmark, bob richards, george whitesides, will pomerantz
rmmlg08 (8:32:57 PM): my goal is to get $50k in pledges by SV08
rmmlg08 (8:33:00 PM): but we'll see how that goes
rmmlg08 (8:33:18 PM): that is all
Jedi8798 (8:34:27 PM): k
Jedi8798 (8:34:33 PM): great job so far Ryan!
Jedi8798 (8:34:44 PM): Next up... Ryan G?
AeroAggie84 (8:35:19 PM): ok...so as Ryan said we know have a list of board of trustees members
AeroAggie84 (8:35:54 PM): that means that tomorrow I will file with the secretary of state to amend our incorporation
AeroAggie84 (8:36:20 PM): after that i will be filling out the 501c3 forms and get that sent off as soon as our amendment is approved
AeroAggie84 (8:36:39 PM): our agent briefly looked at our bylaws and said that they seem fine so thats good as well
rmmlg08 (8:37:21 PM) has left the room.
AeroAggie84 (8:37:26 PM): other than that everything is going according to plan
Jedi8798 (8:37:33 PM): good
Jedi8798 (8:37:56 PM): Any update on getting our finances on a google doc that all exec can view?
AeroAggie84 (8:38:47 PM): i can put up the document that i have been keeping up with for a while....just shows account balances and transaction records
Jedi8798 (8:39:24 PM): k
Jedi8798 (8:39:34 PM): add us all as viewers
Jedi8798 (8:39:37 PM): with you as the sole editor
AeroAggie84 (8:39:40 PM): ok i will do that right now
Jedi8798 (8:39:46 PM): Anything else RG?
AeroAggie84 (8:40:33 PM): nope...thats all
rmmlg08 (8:40:34 PM) has entered the room.
Jedi8798 (8:40:50 PM): ok, Anyone else have anything they would like to update us on?
Jedi8798 (8:41:09 PM): If not, to keep it moving I'll leave it with that.
Jedi8798 (8:41:51 PM): k
Jedi8798 (8:42:01 PM): Jim Volp Interns, Darrell?
DarrellDCain (8:42:45 PM): one second
DarrellDCain (8:42:48 PM): right
DarrellDCain (8:43:08 PM): Jim Volp has brought together a group of interns in Spain
DarrellDCain (8:43:18 PM): some of them are from USA interns
DarrellDCain (8:43:57 PM): they're trying to start a conversation with us
DarrellDCain (8:43:58 PM): and our chapters
DarrellDCain (8:44:07 PM): I'd like permission to handle the official communication
DarrellDCain (8:44:30 PM): I'm going to sit down with the guy and figure out what they want to do
DarrellDCain (8:44:42 PM): and then give him some background on SEDS, what we'd like, our goals
DarrellDCain (8:44:43 PM): etc.
DarrellDCain (8:44:50 PM): just make sure it works out well
DarrellDCain (8:45:00 PM): oh..and he's going to be reading these transcripts
DarrellDCain (8:45:04 PM): so....hi Chris!
DarrellDCain (8:45:09 PM): thoughts?
rmmlg08 (8:45:35 PM): sounds good
Jedi8798 (8:45:40 PM): The main problem with SEDS Earth has been they want action without thought. So as long as the interests of the general organization are looked after
Jedi8798 (8:45:52 PM): and this stays in the realm of suggestions
Jedi8798 (8:45:55 PM): I see no problem with it
Jedi8798 (8:47:38 PM): all in favor of letting Darrell handle communication with Jim Volp Interns through the ticket system (Aye/Nay/Abstain)
RolandBolser (8:47:45 PM): aye
AeroAggie84 (8:47:55 PM): aye
LittleC3788 (8:48:01 PM): aye
DarrellDCain (8:48:06 PM): aye
nyeerrmm (8:48:13 PM): aye
KT0 3T0 (8:48:18 PM): aye
Jedi8798 (8:48:43 PM): aye
Jedi8798 (8:48:48 PM): 7-0-2
Jedi8798 (8:48:52 PM): motion carries
Jedi8798 (8:49:00 PM): any more items before we break?
Jedi8798 (8:49:17 PM): Oh, Darrell, have you set a day/time for the next meeting of CoC?
DarrellDCain (8:50:39 PM): Wed, July 30th at 9 pm EST
Jedi8798 (8:50:55 PM): k
Jedi8798 (8:51:12 PM): If there are no further items, meeting adjourned.
RolandBolser (8:51:17 PM) has left the room.
