Jedi8798 (7:55:40 PM): well we made your minimum guess Kelly KellyMann10 (7:56:52 PM): Jedi8798 (7:59:56 PM): *drumroll* Jedi8798 (8:00:07 PM): Lets get this started Jedi8798 (8:00:11 PM): first up, CoC reminders Jedi8798 (8:00:15 PM): D? DarrellDCain (8:00:50 PM): uhmm DarrellDCain (8:00:54 PM): nothing much DarrellDCain (8:00:57 PM): Brian needs to go DarrellDCain (8:01:04 PM): we're voting on Dues DarrellDCain (8:01:10 PM): SFF and AAS MOU's DarrellDCain (8:01:12 PM): and that's about it DarrellDCain (8:01:22 PM): hopefully I can get all the chapters to attend DarrellDCain (8:01:27 PM): otherwise I send out more angry emails DarrellDCain (8:01:35 PM): somewhere around 20 chapters currently have reps DarrellDCain (8:01:42 PM): after the CoC DarrellDCain (8:01:47 PM): we'll start collecting dues DarrellDCain (8:01:51 PM): and put out the survey DarrellDCain (8:01:54 PM): that's it from my end DarrellDCain (8:01:58 PM): any questions? Jedi8798 (8:02:07 PM): As usual others are welcome to show up and observe, correct? DarrellDCain (8:02:11 PM): yep Jedi8798 (8:02:41 PM): Are you going to bring up the punishments for delinquent chapters? Jedi8798 (8:03:29 PM): (to the CoC I mean) DarrellDCain (8:04:03 PM): I can DarrellDCain (8:04:08 PM): I have a preliminary document written up DarrellDCain (8:04:13 PM): would you like that included? DarrellDCain (8:04:22 PM): all it requires is an exec board vote Jedi8798 (8:04:48 PM): could you throw it up on Google Doc and give us all an invite? then we can add it to the end of this meeting? Jedi8798 (8:04:53 PM): to vote on it? DarrellDCain (8:06:10 PM): sure Jedi8798 (8:06:29 PM): K, while he throws that up Jedi8798 (8:06:46 PM): Conference update... Brian you mentioned you'd like to go next week instead? nyeerrmm (8:07:23 PM): yes, if nothing terribly drastic comes up, i plan to have a preliminary schedule and speaker list up this weekend, so id like to wait till then Jedi8798 (8:07:43 PM): Ok. Can we put you on the schedule for the next CoC to give the chapters an update on the conference Jedi8798 (8:08:07 PM): ? nyeerrmm (8:08:25 PM): the august one? absolutely Jedi8798 (8:08:40 PM): K, D, add that to the agenda for next CoC? DarrellDCain (8:08:51 PM): sure Jedi8798 (8:09:15 PM): Ok... Skipping item 3 as Ryan G isnt here Jedi8798 (8:09:24 PM): 4) Frequent Flier Miles program update Jedi8798 (8:09:36 PM): I've spent about 6 hours on the phone with various airlines Jedi8798 (8:09:49 PM): Delta and American dont mind if we set up an account, but they wont waive the fees Jedi8798 (8:10:23 PM): basically we're too small to get one of their partnerships Jedi8798 (8:10:29 PM): or special exceptions Jedi8798 (8:10:49 PM): So once Josh Sosa or Chris Lewiki set up the miles@seds.org account Jedi8798 (8:11:07 PM): I'll register SEDS for accounts at Delta and American, and post instructions on how to donate Jedi8798 (8:11:38 PM): I also spent 3 hours on the phone with people at Virgin, and basically they wont allow us to set up a miles donor program. They have an exclusive agreement with the Make a wish foundation Jedi8798 (8:11:56 PM): that is the only non profit they allow members to donate miles to. Jedi8798 (8:12:21 PM): Any questions on the FFM? Jedi8798 (8:12:33 PM): (Frequent Flier Miles) KellyMann10 (8:13:00 PM): no Jedi8798 (8:13:12 PM): As there are no questions.... Lets go to Ryan G for an update on 501c? nyeerrmm (8:13:14 PM): are we still planning on doing a webform? Jedi8798 (8:13:27 PM): Brian, yes Jedi8798 (8:13:37 PM): once Josh Sosa wakes up I'll have him making it AeroAggie84 (8:13:57 PM): ok...as for 501c3 AeroAggie84 (8:14:28 PM): i got a letter in the mail yesterday saying that our filing with the SOS of Texas was approved...we are now good to go for filing with the IRS AeroAggie84 (8:14:49 PM): i am working on the documents and then will eventually send them up to Dallas for our agent to file AeroAggie84 (8:15:12 PM): he is out of town until the 6th of august and at that point we will prepare to send them out AeroAggie84 (8:15:37 PM): I can't really file myself otherwise i would try Jedi8798 (8:15:52 PM): So we likely wont be approved by the beggining of the semester? AeroAggie84 (8:16:30 PM): there are too many things that I could screw up and I'd rather we get approved on the first shot...that all depends on the IRS, however, i think this is actually one of the best times to apply so we may avoid any long delays Jedi8798 (8:16:59 PM): k AeroAggie84 (8:17:15 PM): regardless im working as fast as I can but its been a challenge being spread out across the country like we are and having new problems arise all the time AeroAggie84 (8:17:34 PM): I think we have finally worked the big bugs out though AeroAggie84 (8:17:42 PM): (don't quote me on that) Jedi8798 (8:18:03 PM): k. Any other questions for Ryan? Jedi8798 (8:19:14 PM): K in that case.. Rocket Competition Update. Given conversations with several guys at New Space I've identified two potential host sites in California Jedi8798 (8:19:32 PM): They're used by Mojave Spaceport and some small rocket groups and companies for rocket testing Jedi8798 (8:20:15 PM): with long downranges for landing, etc.. We've also recieved preliminary offers of help by former members of JP Aerospace (who make high altitudeballoons) to help with tracking and recovery Jedi8798 (8:20:27 PM): Which leaves us with the realm of prizes. Jedi8798 (8:20:56 PM): I'm continuing to push sponsors for prize money or some sort of donation of a trip to Cape Canaveral etc... Jedi8798 (8:21:02 PM): but right now no one is biting Jedi8798 (8:21:12 PM): due to our size, the economy, etc.. Jedi8798 (8:21:32 PM): I've tried to stay away from our big conference sponsors so as not to compete with the conference nyeerrmm (8:22:28 PM): thanks Jedi8798 (8:22:35 PM): So I'd like to propose freeing up $2500 of the general SEDS USA funds for the competition. $2000 of prize money, and $500 for logistical costs (on site things like providing water, advertising, etc..) Jedi8798 (8:23:45 PM): I now open the floor for general questions and debate on the proposal? DarrellDCain (8:23:54 PM): hmm nyeerrmm (8:23:58 PM): my main concern is making it a habit to take from exec board funds for things like this, which isn't sustainable AeroAggie84 (8:25:55 PM): around 6500 i think Jedi8798 (8:25:56 PM): That he does. And I agree it is a bad precedent to set. Jedi8798 (8:26:09 PM): I admit to an error on my part Jedi8798 (8:26:16 PM): before advertising the competition and accepting submissions Jedi8798 (8:26:20 PM): we should have fully funded it first Jedi8798 (8:26:34 PM): instead of assuming the sponsors would come in by the time it came to give the prizes nyeerrmm (8:26:41 PM): have you looked at California space grant, or other local groups for the competition? Jedi8798 (8:26:56 PM): Havent looked at California space grant, thats a good suggestion since we'd be hosting it there Jedi8798 (8:27:10 PM): oh one benefit of california Jedi8798 (8:27:24 PM): several groups like Masten would be interested in giving the competitors tours of their facilities nyeerrmm (8:28:02 PM): and they might be able to do small sponsorships, since they'd be interested in looking to hire people competing Jedi8798 (8:28:11 PM): I'll plug the Cali Space Grant and some other local California groups first, then bring it back up next meeting Jedi8798 (8:28:53 PM): Second to last item: Internships and the Database Jedi8798 (8:29:24 PM): Masten and Space X have both approached SEDS about internships lately, Masten with a general announcement of internship opportunities they wanted advertised and Space X is interested in the Database Jedi8798 (8:29:57 PM): I wanted to discuss with you guys if we believe the database is ready to allow sponsors to use, and how much we should look at charging sponsors? DarrellDCain (8:30:04 PM): how big is the database? Jedi8798 (8:30:24 PM): I currently dont have a way to check unfortunetly Jedi8798 (8:30:31 PM): as Josh Sosa is a little unresponsive right now Jedi8798 (8:30:55 PM): Have many chapters or individuals been asking you about setting up accounts/resumes? DarrellDCain (8:31:31 PM): not a lot DarrellDCain (8:31:46 PM): about 2/3rds of the chapter reps have created accounts DarrellDCain (8:31:51 PM): and I've linked them to their chapters DarrellDCain (8:32:04 PM): the resume database however is not being promoted by them a lot DarrellDCain (8:32:23 PM): since i keep getting told that they're going to wait until the start of the school year to promote it Jedi8798 (8:32:23 PM): k, if you could give that another plug Jedi8798 (8:32:29 PM): k DarrellDCain (8:32:39 PM): I will give it a plug to make sure they do do it at the start of the school year Jedi8798 (8:32:48 PM): For now then I'll say to Space X it is still in development, but we'd be happy to post their internship to our membership DarrellDCain (8:33:07 PM): are you going to tell them that we're waiting for the start of the school year? Jedi8798 (8:33:35 PM): thats the problem, we're waiting till the start of the school year to advertise setting up resumes, Jedi8798 (8:33:40 PM): it will take time to get resumes on there DarrellDCain (8:34:14 PM): I didn't make the decision to wait till the start of the school year..that's just the general reponse I'm getting from people Jedi8798 (8:34:32 PM): yup Jedi8798 (8:34:47 PM): hmmm an item, we should make a booth at the conference Jedi8798 (8:34:59 PM): with computers and advertising to set up resumes there and then nyeerrmm (8:35:10 PM): i think i can do that Jedi8798 (8:35:11 PM): and fliers for companies interesting in sponsoring Jedi8798 (8:35:30 PM): I'll work on the paper stuff, if you can get the general computers etc.. DarrellDCain (8:35:34 PM): can I tell chapter reps that SpaceX has expressed interest? Jedi8798 (8:35:34 PM): just 1-2 Jedi8798 (8:35:38 PM): yeah Jedi8798 (8:36:15 PM): go ahead Jedi8798 (8:37:01 PM): As for the 'words on our future' I want you guys to remember in these next few months that we're approaching the conference, and new elections. Jedi8798 (8:37:47 PM): As you go through your position, remember to document things and if possible, prepare a primer for your possible replacement Jedi8798 (8:38:33 PM): Also keep in mind what SEDS is, and where we're going. We're evolving as an organization. Originally we were something similar to AIAA in that we hosted big projects like the SEDS SAT, but these days we're much more Jedi8798 (8:39:30 PM): and AIM kills me for overly long messages... Jedi8798 (8:39:37 PM): We're a leadership building and training organization, we take the best and brightest of the future space leaders and encourage them to get involved personally. Jedi8798 (8:39:45 PM): Showing them the wealth of opportunities in space, and ways to get involved after they graduate Jedi8798 (8:40:05 PM): Also, in the next week please look at the goals you set for yourself a few meetings ago DarrellDCain (8:40:24 PM): oh DarrellDCain (8:40:28 PM): the punishment document Jedi8798 (8:40:29 PM): the deadlines are rapidly approaching, and I'd like to see more progress! Lets end this summer on a high note so we can start the semester strong! Jedi8798 (8:40:52 PM): Yes D? DarrellDCain (8:41:04 PM): do you want me to present that for a vote at this CoC? Jedi8798 (8:41:34 PM): Can the Exec see it and vote on it first? Jedi8798 (8:41:38 PM): DarrellDCain (8:41:46 PM): it's going online now Jedi8798 (8:43:04 PM): Ok, so we dont sit here forever, could everyone please commit to reading the punishment document tonight and posting any comments or suggestions to the listserv tonight? DarrellDCain (8:43:26 PM): so close KellyMann10 (8:43:44 PM): sure Jedi8798 (8:43:53 PM): If we have majority approval by say Noon EST we will have CoC vote on it? DarrellDCain (8:43:58 PM): well..that was my original point Jedi8798 (8:44:10 PM): ? DarrellDCain (8:44:12 PM): we technically aren't allowed to add items to CoC agenda this late Jedi8798 (8:44:25 PM): would you like to add it to the next CoC then? Jedi8798 (8:44:40 PM): in keeping with the guidelines? DarrellDCain (8:44:47 PM): yes Jedi8798 (8:44:50 PM): ok nyeerrmm (8:44:52 PM): if we mention it here, can't i just state it in exec board decisions this month? DarrellDCain (8:44:58 PM): lol DarrellDCain (8:44:59 PM): yes DarrellDCain (8:45:00 PM): you can Jedi8798 (8:45:01 PM): DarrellDCain (8:45:06 PM): and then when people ask about it DarrellDCain (8:45:10 PM): I'll point to the google doc Jedi8798 (8:45:15 PM): good idea DarrellDCain (8:45:17 PM): or you can point to it in your briefing DarrellDCain (8:45:23 PM): do we want them to vote on it? Jedi8798 (8:45:30 PM): if they bring it up :- Jedi8798 (8:45:34 PM): DarrellDCain (8:45:36 PM): http://docs.google.com/Doc?id=dfj6k4k5_2f5t8vhfx DarrellDCain (8:45:38 PM): lol DarrellDCain (8:45:41 PM): that's ture DarrellDCain (8:45:42 PM): true DarrellDCain (8:45:44 PM): make them work for it nyeerrmm (8:45:47 PM): i'll poke my guy to do it... Jedi8798 (8:45:52 PM): otherwise we'll plan it for the next CoC Jedi8798 (8:46:12 PM): Oh, Ryan G, could you plan on giving an update on the 501c to the CoC during the August CoC? DarrellDCain (8:47:49 PM): alright..current items for next CoC DarrellDCain (8:48:01 PM): Punishment Doc, Conference update, 501c3 update DarrellDCain (8:48:12 PM): I actually need a formal vote to add these to the agenda AeroAggie84 (8:48:30 PM): i can try to write it up in a document like last month...i dont know if i will be able to make it in person Jedi8798 (8:48:39 PM): All in favor of adding these to the August CoC? (Aye/Nay/Abstain) nyeerrmm (8:48:44 PM): aye DarrellDCain (8:48:45 PM): aye Jedi8798 (8:48:46 PM): aye KellyMann10 (8:48:49 PM): aye Jedi8798 (8:48:53 PM): (thats fine Ryan) DarrellDCain (8:49:05 PM): date on August CoC is August 27th AeroAggie84 (8:49:09 PM): aye Jedi8798 (8:49:28 PM): motion carries Jedi8798 (8:49:36 PM): Any further items for this meeting? AeroAggie84 (8:49:37 PM): actually i know i wont be able to make it...Darrell ill send you the document when i get it done LittleC3788 (8:49:40 PM): aye Jedi8798 (8:50:16 PM): Meeting adjourned.
