Action items

  • Brian Young: Spam all SEDS members to try to get more attendance at the conference. Get help from Ryan M. if needed.
[18:06] Jedi8798: ok... well starting without Darrell, Ryan G, and HQ
[18:06] Jedi8798: First item for today is CoC
[18:06] Jedi8798: this Wednesday (tommorow)
[18:06] Jedi8798: same old time same old place
[18:06] Jedi8798: I'll be doing the Exec updates
[18:07] Jedi8798: I wanted to ask Darrell if there were any other items, but at this point I dont think there are
[18:07] Jedi8798: One item I would like to propose for the CoC at Space Vision is discussion of Alumni tracking
[18:07] Jedi8798: will give them something to debate, how to do it, etc..
[18:07] rmmlg08: sounds like a good idea
[18:08] nyeerrmm: yeah, just want to make sure there isnt too much else on the table then
[18:08] rmmlg08: would be a good way to get more than my past fruitless attempts at this
[18:08] nyeerrmm: (i was afraid you wanted to put in another session)
[18:09] Jedi8798: just want to make sure we have some items on the table
[18:09] Jedi8798: besides elections, etc..
[18:09] nyeerrmm: also may want to have goodnight give an update on 501c3 then
[18:09] Jedi8798: Do you guys think this is asking too much? should we ask to throw it in tommorows meeting?
[18:09] Jedi8798: yes, Goodnight's 501c status update is key to the meeting..
[18:10] Jedi8798: to give more time to that.. we can keep this item on backburner
[18:10] Jedi8798: for discussion of 501c3
[18:10] nyeerrmm: i think at that point it wont be so much discussion as the paperworks in and we're waiting
[18:10] Jedi8798: but it will be a report to the CoC
[18:10] Jedi8798: and a Q/A session
[18:10] Jedi8798: basically an accountability session
[18:10] nyeerrmm: yeah, but you have an hour and a half scheduled, i dont see that taking more than 20-30 minutes
[18:11] Jedi8798: also have conference selection in that time, dont we?
[18:11] nyeerrmm: thought that was in elections... if not that sounds like it should take most of the time
[18:12] Jedi8798: well it is Darrell's show, I'll ask him what he wants there
[18:12] Jedi8798: ready to kill me yet Brian?
[18:12] nyeerrmm: nah, you're not giving me anything more to do
[18:12] Jedi8798: One item on that note
[18:12] Jedi8798: is it possible to have 2-3 computer stations set up
[18:12] Jedi8798: for people to make accounts on the seds.org ?
[18:13] Jedi8798: heck, 1-2 computers would be enough
[18:13] nyeerrmm: we can set something up I think
[18:13] Jedi8798: figure setting up a small table next to registration
[18:13] Jedi8798: "Check out SEDS.org"
[18:13] Jedi8798: I can bring the posters, handouts, etc...
[18:14] Jedi8798: just need a table and computers available
[18:14] nyeerrmm: all right, i'll do that when i get the concession permit
[18:15] hydrogenlithium: has joined the chat
[18:15] Jedi8798: thanks
[18:16] Jedi8798: Thats a good segway into next item
[18:16] Jedi8798: general conference update
[18:16] LittleC3788: has left the chat
[18:16] LittleC3788: has joined the chat
[18:16] Jedi8798: How is the conference going so far? Preregistration numbers? Speakers confirmed?
[18:16] nyeerrmm: schedule is up on the website, similar to what i sent out last week... almost everything is in order, need to make sure a few rooms are scheduled
[18:17] joc 75: has joined the chat
[18:17] nyeerrmm: we did just lose $2000 in sponsorship from Jacobs... however, I can manage by cutting out the possibilities of breakfasts, and I've managed to rework the speaker travel costs some, so I think we'll squeak by
[18:18] LittleC3788: has left the chat
[18:18] LittleC3788: has joined the chat
[18:18] nyeerrmm: it helps when there are two married couples on the guest list
[18:18] Jedi8798:
[18:18] rmmlg08: what happened with Jacobs
[18:18] nyeerrmm: i'm not sure, they said they lost the funding for it
[18:18] nyeerrmm: however, they are still providing some speakers who should be worthwhile, so im not too upset with them
[18:19] rmmlg08: hmm, that's really poor form
[18:19] nyeerrmm: one whos high up in the orion chain of command
[18:19] nyeerrmm: theres not a whole lot i can do about it
[18:19] Jedi8798: are they covering their own speakers?
[18:19] nyeerrmm: yes, definitely
[18:20] nyeerrmm: i'm guessing most companies are trying to save money right now, make sure they don't run into trouble
[18:21] nyeerrmm: however, I did get a callt oday from the british consulate, who are interested in sponsoring an event (say breakfast or coffee breaks) so that will help make up for it without losing any services
[18:21] Jedi8798: nice
[18:21] Jedi8798: How are we looking preregistration wise?
[18:21] nyeerrmm: oh, and 41 people have registered so far
[18:21] Jedi8798: Ryan, how many preregistered by about this time last year?
[18:21] Jedi8798: (just to give us a perspective)
[18:21] nyeerrmm: my estimates are for another 20 before the deadline, and another 40 at the event
[18:22] rmmlg08: let's see, couple weeks out
[18:22] rmmlg08: maybe 100ish
[18:23] rmmlg08: I had sent out a lot of emails though
[18:23] rmmlg08: and it increased very quickly from then in
[18:23] nyeerrmm: all rght, ill be sure to send out an email after CoC tomorrow
[18:23] Jedi8798: not only to CoC
[18:23] Jedi8798: but SGTALK
[18:24] rmmlg08: do you have any other publicity going on
[18:24] rmmlg08: I had a couple people assigned to publicity
[18:24] rmmlg08: and were going around posting stuff to spacenews, facebook, adn a bunch of other places
[18:24] joc 75: we have a facebook group?
[18:24] nyeerrmm: mailings to our affiliates, thats about it
[18:24] nyeerrmm: you kids and your facebook... ill get one up
[18:25] Jedi8798: definetly
[18:25] rmmlg08: there's a full list of what we hit on the conf database I sent you
[18:25] Jedi8798: and we need to spam invites to every SEDS member
[18:25] Jedi8798: Lets try to push this, getting as many people as possible
[18:25] Jedi8798: its a little late now
[18:25] Jedi8798: because plane fares are skyrocketing the closer it gets
[18:25] Jedi8798: but we should push at as many people as possible
[18:25] Jedi8798: Ryan could you help them out on this?
[18:26] Jedi8798: you did an amazing job last conference
[18:26] nyeerrmm: all right, i'll get it out there
[18:26] Jedi8798: K anything else for Brian?
[18:26] rmmlg08: brian, take a look at where I sent stuff last year
[18:26] rmmlg08: let me know if you have any questions or need anythign from me
[18:27] Jedi8798: Attendance of less than 100 people really worries me...
[18:27] Jedi8798: we should get well over 100 just from local texas attendees alone
[18:28] nyeerrmm: we should be higher than that.... there are a lot of schools that i know are coming that haven't yet registered
[18:28] Jedi8798: and have you pushed the advertisement out to the local schools?
[18:28] Jedi8798: and Johnson?
[18:28] joc 75: I've been talking to a lot of the SEDS schools
[18:28] Jedi8798: I'm sure there would be interested attendees from the employees/staff at Johnson
[18:28] joc 75: and there's at least seven coming
[18:28] joc 75: in numbers greater than 4-5
[18:28] joc 75: well...4-5 or more per school
[18:29] nyeerrmm: local schools i assume got it through our mailing lists, and we've had some contact with JSC, but ill try and find a broader distribution there
[18:29] Jedi8798: just talked to Kolbrik, Colorado will be sending 1-2 people, thats all they could get funding for
[18:29] Jedi8798: yes, please push this out to all the schools in the Texas area, Dallas, Houston, College station
[18:30] Jedi8798: Peter Smith's talk alone should draw alot of local attention
[18:30] Jedi8798: pick a few keynote speakers with big names
[18:30] Jedi8798: and use them in advertisements to the local schools/groups
[18:30] Jedi8798: Any more questions for Brian?
[18:31] Jedi8798: In that case, moving to next item
[18:31] Jedi8798: John Gedmark and I were talking at NGLLC
[18:32] Jedi8798: and he reiterated that SEDS having a talk with Lori Garver would be VERY good for us, both from a PR and interest level
[18:32] Jedi8798: since we dont have the money, or room to include it in the conference schedule
[18:32] Jedi8798: I wanted to see what you guys thought of alternative options
[18:32] Jedi8798: like a webcast
[18:32] Jedi8798: or something along those lines
[18:32] Jedi8798: Ideas?
[18:33] KT0 3T0: has left the chat
[18:34] joc 75: I don't know
[18:34] joc 75: at the conference?
[18:34] joc 75: or after the conference?
[18:34] Jedi8798: both are possibilities
[18:34] Jedi8798: I dont think we have the room at conference...
[18:34] Jedi8798: but maybe in the week after?
[18:34] joc 75: a joint webcast session between chapters could be possible
[18:35] joc 75: but would require 1. solid commitment from all chapters involved
[18:35] Jedi8798: Josh, how would this look from the web perspective? do we have the bandwith on the seds server to handle a big webcast like this?
[18:35] joc 75: 2. a hell of a coordination effort...everyone would have to clear the same date at the same time
[18:36] nyeerrmm: yeah, that seems hard to do
[18:36] joc 75: Doing it with lackluster attendance would hurt us
[18:37] Jedi8798: Agreed, hence why I'm asking for your perspectives on this
[18:37] Jedi8798: how practical it would be
[18:37] Jedi8798: etc..
[18:37] rmmlg08: questionable practicality
[18:37] rmmlg08: we'd relaly need to do it at a conference type thing to have much reliability
[18:38] Jedi8798: and there isnt likely room in our current conference schedule, correct?
[18:38] nyeerrmm: i'd agree with that, i cant think of another way to go with that
[18:39] nyeerrmm: i dont see an obvious way to make it work
[18:39] Jedi8798: ok, please think about it guys and if you have any ideas let us know
[18:39] joc 75: ...CoC
[18:39] joc 75: have her speak before the CoC
[18:39] joc 75: we can get at least 15 people on a regular basis
[18:39] nyeerrmm: i could cut a professor... shuffle and overlap some stuff... but its hard
[18:39] nyeerrmm: and budget remains a problem
[18:39] Jedi8798: hmmm
[18:39] Jedi8798: Actually
[18:39] joc 75: and we can open the CoC to the public more
[18:40] Jedi8798: could have her talk before CoC...
[18:40] joc 75: just do it a month after the conference
[18:40] Jedi8798: thats a good idea Darrell
[18:40] joc 75: or during the conference
[18:40] joc 75: we'd have to debate that
[18:40] Jedi8798: we dont have a huge number of items for CoC do we?
[18:40] Jedi8798: since elections are seperate
[18:40] joc 75: not yet
[18:40] joc 75: we just have alumni tracking
[18:40] Jedi8798: yeah
[18:40] Jedi8798: hmm
[18:40] joc 75: she'd have to speak to something relevant
[18:40] joc 75: to the CoC
[18:41] Jedi8798: I'd say space policy under the Obama administration
[18:41] Jedi8798: would be a worthy talk to address to the SEDS CoC
[18:41] nyeerrmm: of course if something unexpected happens, makes it a little more awkward
[18:42] joc 75: we need a nice segway into it
[18:42] joc 75: either before or after
[18:42] Jedi8798: Like?
[18:42] joc 75: well...when she finishes talking
[18:43] joc 75: I need to connect it to the meeting
[18:43] joc 75: or vice versa
[18:43] AeroAggie84: has joined the chat
[18:43] joc 75: the meeting needs to connect to her talking
[18:43] Jedi8798: *nods*
[18:43] Jedi8798: which is hard to do given our policy on politics
[18:43] nyeerrmm: could we cut CoC to an hour, push it back half an hour to make space, technically keep it seperate?
[18:44] joc 75: yeah
[18:44] Jedi8798: That would be a hardcore 2 hours
[18:44] Jedi8798: Peter Smith, Lori Garver, SEDS Exec
[18:44] joc 75: we could announce an open session with Lori Garver at the end of the CoC
[18:44] joc 75: (i.e. right after)
[18:44] Jedi8798: hmmm
[18:44] Jedi8798: that could work, and then if people need more time to get ready for banquet, they could skip it
[18:44] Jedi8798: where as peopel might not want to skip CoC
[18:44] Jedi8798: and that would give more time to set up equipment
[18:45] Jedi8798: assuming we do it in same room
[18:45] joc 75: I can definitely segway into it from the end of the moderation bit of the CoC
[18:45] joc 75: and I need to go
[18:45] Jedi8798: What do you guys think? Shortening CoC for a Lori Garver talk (if possible)
[18:45] Jedi8798: Quick yes/no statements
[18:45] joc 75: ...as in leave the room
[18:46] nyeerrmm: what about money? thats still a big concern, i dont have an extra $800 around
[18:46] Jedi8798: wouldnt cost us anything to have a webcast really
[18:46] joc 75: webcast
[18:46] Jedi8798: just internet connection on both sides
[18:46] Jedi8798: and the Obama campaign can surely come up with webcast materials at their end
[18:46] nyeerrmm: oh, still thinking webcast
[18:47] Jedi8798: yup
[18:47] nyeerrmm: ugh, last one i did of those we never got video working.... but that was with the ISS so it should be easier
[18:47] Jedi8798: yeah
[18:48] Jedi8798: ok so I'll poll Lori's opinion of this
[18:48] Jedi8798: next item, 501c3 update
[18:48] Jedi8798: Ryan G, how we doing?
[18:49] AeroAggie84: i have this document sitting on my desk waiting to be mailed...but i have been waiting on the board of trustees members to return the trust agreement....
[18:49] joc 75: has left the chat
[18:49] AeroAggie84: i sent it off over a month ago...and i email them every few days and they say its on the way...so just waiting here
[18:50] AeroAggie84: other than that trust agreement...all is ready for the IRS
[18:51] Jedi8798: ETA?
[18:51] AeroAggie84: no idea...whenever they get it to me...plus 100 days
[18:52] Jedi8798: *wince*
[18:52] AeroAggie84: there is really nothing I can do until I get that agreement back in the mail
[18:53] Jedi8798: Right now we have you scheduled during the space Vision CoC to give a report on it to teh CoC
[18:53] Jedi8798: if you could I would like you to include as part of that report a timeline of what we've gotten down, key milestones we've passed, and expected milestones
[18:53] Jedi8798: this is one of the major issues chapters want handled
[18:53] Jedi8798: and we've yet to get it for them
[18:54] Jedi8798: so I'm sure there will be many questions/criticisms in person at CoC
[18:54] Jedi8798: best to go in as well armed as we can
[18:54] AeroAggie84: well I don't know what I will be able to say other than its under review...but I'm still needing 1 signature...well, i understand they want it...but if they want it so bad...then ill give them the address of the IRS
[18:55] Jedi8798: I know, and I know it isnt your fault it is taking so long
[18:55] Jedi8798: but it would help if we can show them what has been done, in total
[18:55] Jedi8798: and why it has taken so long
[18:55] Jedi8798: and what we anticipate will be coming up
[18:55] AeroAggie84: of course...and ill be happy to let them know everything i know
[18:56] Jedi8798: good. just reminding you to come well prepared for that. I expect a grilling
[18:56] Jedi8798: Ok, last item.... Elections
[18:56] Jedi8798: Not many platforms out there
[18:56] Jedi8798: I would like suggestions on who and how we can encourage more people to run
[18:57] Jedi8798: First off, how many of you are going to be submitting a platform?
[18:57] Jedi8798: I plan on submittting a platform for Chair
[18:57] rmmlg08: vc
[18:57] KellyMann10: Ill probably run for HS again, i have a few ideas for a decent plan
[18:58] KellyMann10: of what to do to help hs get involved
[18:59] Jedi8798: k so at least three of us... Any ideas on getting more people to run? we've sent out announcements, put it on the website
[18:59] Jedi8798: This has always been a problem
[19:00] Jedi8798: ok, I guess no one has any ideas. Please think about this as well please!!!
