- Brian Young: SV financial report to present at next meeting.
- Election Committee (Brian Young, Darrell, Ben Corbin): plans for elections to be presented at next meeting.
Jedi8798 (8:01:07 PM): I've gone through 2 of them so far personally and am resorting to soldering them back together nyeerrmm (8:01:22 PM): we need to leave it somewhere that will be remembered not to go with that company again Jedi8798 (8:01:30 PM): yuppers rmmlg08 (8:02:00 PM): btw, brian, remind me before sv to bring the lapel pins to sv rmmlg08 (8:02:10 PM): (hopefully between the two of us, one will remember) Jedi8798 (8:02:20 PM): lol rmmlg08 (8:02:23 PM): they are sitting next to the seds banner, so that should help Jedi8798 (8:02:31 PM): I'll write it down as a pre-SV note Jedi8798 (8:02:41 PM): Ok.. formally starting the meeting nyeerrmm (8:02:42 PM): all right, although i'm also thinking that leaving them with a few people is better, so that way someone who already has them is likely to be going wherever we want them Jedi8798 (8:03:29 PM): First up, Rocket Competition. So I put a proposal out by email that we convert the Rocket Competition to a X PRIZE style event where the local chapters are responsible for the site permissions Jedi8798 (8:03:40 PM): and then we host the awards ceremony centrally. Jedi8798 (8:04:06 PM): While some people are dissapointed, chapters I've polled so far seem to think it would help, especially in that it will lower their costs rmmlg08 (8:04:41 PM): indeed nyeerrmm (8:04:49 PM): it seems pretty reasonable rmmlg08 (8:04:55 PM): and if people want to try to share a launch site, they can team up with other teams rmmlg08 (8:05:00 PM): to share ops responsibilities Jedi8798 (8:05:21 PM): yeah Jedi8798 (8:05:42 PM): I would preliminarily like to propose this... Jedi8798 (8:06:01 PM): That we have an official press release/announcement of the competitions new form at Space Vision Jedi8798 (8:06:22 PM): With the prize being awarded at the next available ISDC Jedi8798 (8:06:48 PM): or SFF if they decide to fund it Jedi8798 (8:07:46 PM): The people I am approaching next for funding are as follows: NSS (their members and chapters who used to work on the Rockoons), SFF, Planetary Society. Jedi8798 (8:08:20 PM): Unfortunetly space grant will not be willing to sponsor it given they cannot sponsor national competitions without a strong emphasis on their local chapter Jedi8798 (8:08:40 PM): there are some local exceptions (like Texas Space Grants Buisness competition) Jedi8798 (8:08:48 PM): but for the most part they dont want to send money out. Jedi8798 (8:09:01 PM): All in favor of the rocket competition as proposed? (Aye/Nay/Abstain) rmmlg08 (8:09:14 PM): i LittleC3788 (8:09:17 PM): aye nyeerrmm (8:09:19 PM): aye KellyMann10 (8:09:37 PM): aye Jedi8798 (8:09:42 PM): aye Jedi8798 (8:09:48 PM): motion carries, 5-0-0 nyeerrmm (8:09:58 PM): how long do you want for the announcement? Jedi8798 (8:10:23 PM): Hmmmmm not very long. Maybe 5-10 minutes before the CoC? Jedi8798 (8:10:32 PM): since everyone will be gathered in a central location already? nyeerrmm (8:10:32 PM): all right, will do nyeerrmm (8:10:44 PM): yeah, theres nothing else scheduled then Jedi8798 (8:11:08 PM): Since Darrell isnt accepting my chat invite, lets go to SV next Jedi8798 (8:11:16 PM): speak of the devil... but lets still do SV next Jedi8798 (8:11:21 PM): Hows it going Brian? nyeerrmm (8:11:36 PM): All right, the biggest thing now is as of 10 minutes ago registration is up nyeerrmm (8:11:55 PM): i'll have an announcement for the listservs done tonight nyeerrmm (8:12:05 PM): chapters and announce? Jedi8798 (8:12:12 PM): yup rmmlg08 (8:12:22 PM): we're not going to get a ticket to finance every time someone registers, are we rmmlg08 (8:12:27 PM): (apparently darrell just reg'd) nyeerrmm (8:12:46 PM): oh... crap... thats probably something PayPal does Jedi8798 (8:12:51 PM): yeah we will Jedi8798 (8:12:54 PM): paypall Jedi8798 (8:12:59 PM): but it is good... Jedi8798 (8:13:06 PM): it should do that. So we have record of it rmmlg08 (8:13:14 PM): ok, I think I might temporarily unsubscribe from finance then Jedi8798 (8:13:19 PM): no prob nyeerrmm (8:13:32 PM): yeah, and i decided to do it through the national account since we'll have to do it anyway come 501c3 recognition nyeerrmm (8:14:25 PM): and i'll work with Ryan G to make sure everything flows smoothly there Jedi8798 (8:14:30 PM): good nyeerrmm (8:14:39 PM): (SV registration going through PayPal, ryan) nyeerrmm (8:14:56 PM): thats the only real updates, everything else has just been getting things organized here Jedi8798 (8:15:19 PM): Any questions for Brian on the conference? rmmlg08 (8:15:31 PM): how are monies nyeerrmm (8:16:22 PM): i haven't had much luck lately, got a call from Rockwell yesterday, 9 months later, saying sorry, can't help, but we'll try next year nyeerrmm (8:16:46 PM): but i think i'll be able to squeeze by, i just need to figure out the exact details DarrellDCain (8:16:49 PM): what's the current balance? Jedi8798 (8:16:51 PM): Total so far? nyeerrmm (8:17:33 PM): we've actually recieved $1000, have $3000 on the line, plus Jacobs is still working things out.. i need to revise the costs though nyeerrmm (8:18:14 PM): i'll have a full report for that next week Jedi8798 (8:18:35 PM): Please do. We can dedicate the entire meeting next week to it if needed Jedi8798 (8:18:39 PM): it is a point that is concerning me nyeerrmm (8:18:48 PM): i know, its concerning me too Jedi8798 (8:19:51 PM): If you could bring a report next time on the financial situation, and several plans to both address getting more money, and what to do if it doesnt come in by a certain date nyeerrmm (8:20:39 PM): will do, it was the next thing on my to-do list Jedi8798 (8:20:48 PM): thank you Jedi8798 (8:20:51 PM): next item... CoC Jedi8798 (8:20:53 PM): Darrell? DarrellDCain (8:21:50 PM): right DarrellDCain (8:21:53 PM): two items DarrellDCain (8:22:07 PM): 1. benefits document DarrellDCain (8:22:11 PM): in the interest of simplicity DarrellDCain (8:22:16 PM): for 501c3 DarrellDCain (8:22:33 PM): can we just make it so you're either a chapter or you're not? Jedi8798 (8:22:42 PM): yup DarrellDCain (8:22:48 PM): and then have CoC review chapters that are deliquent DarrellDCain (8:22:53 PM): when brought to CoC by Exec DarrellDCain (8:23:16 PM): they wanted a gradual benefits system DarrellDCain (8:23:31 PM): but just from conversations I'm hearing on this end that could make filing difficult DarrellDCain (8:23:44 PM): alright DarrellDCain (8:23:51 PM): 2. Meeting's tomorrow, Ryan's rep DarrellDCain (8:24:07 PM): all that is on the agenda is a review of what decisions we made in the past month DarrellDCain (8:24:12 PM): anything we want to add? Jedi8798 (8:24:40 PM): For the entire CoC that is the only item? DarrellDCain (8:24:43 PM): yes DarrellDCain (8:24:50 PM): the RFI was to be the other item DarrellDCain (8:24:54 PM): but that fell through DarrellDCain (8:25:04 PM): usually I'd call the committee head to explain why it fell through DarrellDCain (8:25:10 PM): but no committee head was appointed DarrellDCain (8:25:21 PM): ...which I'll rectify the next time something like that comes up Jedi8798 (8:25:28 PM): Perhaps CoC should establish a policy for official committees etc? DarrellDCain (8:25:38 PM): what kind of policy? DarrellDCain (8:25:43 PM): there is a set of rules DarrellDCain (8:25:59 PM): but it only glances over committees DarrellDCain (8:26:12 PM): hmmm DarrellDCain (8:26:13 PM): alright. DarrellDCain (8:26:22 PM): I can write an addendum to the written rules DarrellDCain (8:26:35 PM): but I would advice against putting it before CoC Jedi8798 (8:26:45 PM): k DarrellDCain (8:26:47 PM): except as the new rule document for the start of the next year DarrellDCain (8:26:57 PM): do we have anything else we'd like to put before CoC? Jedi8798 (8:27:13 PM): Should we push the benefits document on the all or nothing basis before them? Jedi8798 (8:27:17 PM): put not push* Jedi8798 (8:27:21 PM): and explain the reasoning? DarrellDCain (8:27:33 PM): I think it should be included in the exec board decisions DarrellDCain (8:27:46 PM): but yes DarrellDCain (8:27:51 PM): we could make it a seperate item DarrellDCain (8:27:57 PM): up to the exec board Jedi8798 (8:28:29 PM): All in favor of the benefits document as proposed by Darrell (and previously discussed by the board) as an all or nothing system (aye/nay/abstain) DarrellDCain (8:28:36 PM): aye AeroAggie84 (8:28:38 PM): aye Jedi8798 (8:28:39 PM): aye KellyMann10 (8:28:41 PM): aye hydrogenlithium (8:28:41 PM): aye LittleC3788 (8:28:41 PM): aye rmmlg08 (8:28:49 PM): i nyeerrmm (8:28:51 PM): aye Jedi8798 (8:28:57 PM): motion carries, 8-0-0 Jedi8798 (8:29:13 PM): Add it to the agenda. DarrellDCain (8:29:19 PM): alright Jedi8798 (8:29:31 PM): Actually Jedi8798 (8:29:35 PM): our next item might need to go up Jedi8798 (8:29:38 PM): Election committee Jedi8798 (8:29:55 PM): I have yet to recieve a single volunteer to serve in the last slot of the election committee Jedi8798 (8:30:42 PM): Does anyone have ideas of potential members? Jedi8798 (8:30:56 PM): who might be interested in serving, who are current SEDS chapter members and not planning on running? rmmlg08 (8:30:58 PM): who's currently in DarrellDCain (8:31:07 PM): Ben Corbin Jedi8798 (8:31:10 PM): Darrell and Brian I believe Jedi8798 (8:31:34 PM): Ben is a good choice. Is he currently a dues paying member of SEDS MIT? Jedi8798 (8:31:36 PM): or SEDS UCF? rmmlg08 (8:31:46 PM): MIT rmmlg08 (8:31:54 PM): we don't have indiv dues here, but he's active rmmlg08 (8:31:57 PM): and going to sv08 Jedi8798 (8:31:59 PM): k Jedi8798 (8:32:11 PM): Long as he is a member in good standing nyeerrmm (8:32:14 PM): and he has no desire to run? Jedi8798 (8:32:17 PM): of the local chapter rmmlg08 (8:32:31 PM): I brought that up at the last meeting rmmlg08 (8:32:36 PM): didn't ask him specifically rmmlg08 (8:32:46 PM): but looks like basant will be running for something rmmlg08 (8:32:55 PM): but no one else mentioned a deisre from here Jedi8798 (8:33:28 PM): Ben Corbin says he is willing. Jedi8798 (8:33:56 PM): all in favor of the election committee as proposed, Darrell, Brian Young, and Ben Corbin (Aye/Nay/Abstain) rmmlg08 (8:34:02 PM): i nyeerrmm (8:34:03 PM): aye DarrellDCain (8:34:04 PM): aye AeroAggie84 (8:34:05 PM): aye Jedi8798 (8:34:06 PM): aye KellyMann10 (8:34:07 PM): aye LittleC3788 (8:34:11 PM): aye Jedi8798 (8:34:48 PM): motion carries, 7-0-0 Jedi8798 (8:35:46 PM): I'm going to invite ben in so we can decide on chair for the election committee Jedi8798 (8:36:02 PM): Welcome Ben DarrellDCain (8:36:10 PM): welcome to the committee! Benacorbin (8:36:12 PM): Hi everyone, I'm Ben, and I'm a SEDSaholic KellyMann10 (8:36:27 PM): Hi Ben DarrellDCain (8:36:28 PM): Hi Ben Jedi8798 (8:36:30 PM): I'd like the Election Committee to decide by popular vote on a chairman for the committee AeroAggie84 (8:36:32 PM): you fit in then Jedi8798 (8:36:40 PM): Proposals for chairman? DarrellDCain (8:36:47 PM): from within the election committee? Jedi8798 (8:36:51 PM): (out of the three members) DarrellDCain (8:36:52 PM): I nominate myself? Jedi8798 (8:36:52 PM): yes nyeerrmm (8:36:57 PM): i would propose darrell as well Benacorbin (8:36:58 PM): I second Darrell's nomination DarrellDCain (8:37:04 PM): awesome DarrellDCain (8:37:07 PM): now we can vote! Jedi8798 (8:37:10 PM): Very good. Jedi8798 (8:37:32 PM): I'll consider 3 nominations to be a vote, and call it unanimous. 3-0-0 DarrellDCain (8:37:36 PM): I will be sending emails detailing how we'll be managing pre-conference stuff by the end of the week DarrellDCain (8:37:54 PM): (mainly involving how we'll receive and post platforms Jedi8798 (8:38:07 PM): I would like to thank the Committee for their service, and remind them to review the constitution and bylaws regarding election procedures DarrellDCain (8:38:14 PM): and how we'll go about advertising for elections Jedi8798 (8:38:25 PM): Could the election Committee please report next week on their plans for the elections? Jedi8798 (8:38:52 PM): IAC Jedi8798 (8:39:06 PM): UKSEDS has obtained a fairly large booth for IAC rmmlg08 (8:39:08 PM): yay, for once I don't have to manage elections Jedi8798 (8:39:24 PM): and is asking for materials from international chapters to give the booth an international feel Benacorbin (8:39:25 PM): I vote to send shot glasses to Scotland Jedi8798 (8:39:59 PM): Given our 501c3 requirement to not send material/financial support to other countries Jedi8798 (8:40:15 PM): I dont think we can physically provide them with brochures etc... DarrellDCain (8:40:15 PM): oh yeah nyeerrmm (8:40:50 PM): but providing them files that they can reprint i assume is all right? Jedi8798 (8:40:56 PM): but I think we can at least provide them with a virtual copy of the SEDS USA brochure to print off (at their expense) and distribute, since that is publically available for free Jedi8798 (8:41:50 PM): given that it is freely accessible to the general public, and we will only pointing out where it is (gallery) I think this is fine. Jedi8798 (8:42:08 PM): Ryan G, do you concur that this would not be considered financial support? AeroAggie84 (8:43:32 PM): it should be fine AeroAggie84 (8:43:47 PM): yes, i agree Jedi8798 (8:44:06 PM): All in favor of providing UKSEDS with the SEDS USA brochure for use at IAC, (Aye/Nay/Abstain) DarrellDCain (8:44:11 PM): poor guys DarrellDCain (8:44:12 PM): aye rmmlg08 (8:44:14 PM): i Jedi8798 (8:44:17 PM): aye LittleC3788 (8:44:20 PM): aye nyeerrmm (8:44:27 PM): aye AeroAggie84 (8:44:31 PM): aye Benacorbin (8:44:32 PM): aye?
