(20 30 59 ) Joshua Nelson: meeting time

(20 31 02 ) Joshua Nelson: Calling meeting to order

(20 31 08 ) Joshua Nelson: Agenda items are as follows

(20 31 47 ) Joshua Nelson: 1) Podcasts Update/Change (Keri B), 2)IYA discussion/update (Keri B) 3) Rockoon Competition (Keri H / Basant) 4) SEDS House Matt

(20 32 01 ) Matt Cannella: woot

(20 32 02 ) Joshua Nelson: First up, Keri Bean, with Podcast update/changes

(20 32 37 ) Keri Bean: ok, so basically I think the video is a bit out of reach right now because it requires large chunks of time in successive order

(20 32 40 ) *Matt Cannella left the room.*

(20 32 55 ) Keri Bean: and isn't something I can fit in with the half hour here, 15 minutes there, etc. that I get

(20 33 12 ) Keri Bean: so instead, I want to switch it into making a series of powerpoints that teachers can customize

(20 33 26 ) *Matt Cannella entered the room.*

(20 33 36 ) Keri Bean: so have lots of the general info, update it as new info comes down, and lots of pretty pictures too

(20 33 54 ) Keri Hancock: O! I might have someone you should talk to.

(20 34 00 ) Keri Bean: and maybe in the fall when I only have class 2 days a week I can make them into videos

(20 34 14 ) Keri Hancock: There is someone, I believe she did the BAM thing in Bakersfield

(20 34 27 ) Keri Hancock: & she has been developing space themed lesson plans for teachers

(20 34 52 ) Keri Bean: yeah, and I'm also going to a workshop this summer on teaching planetary science courses

(20 35 17 ) Matt Cannella: nice

(20 36 50 ) Keri Bean: so any questions, comments, or concerns?

(20 37 07 ) Joshua Nelson: Given this is mainly dependent on your time

(20 37 24 ) Joshua Nelson: I'm fine with it, if you think it is something you can accomplish

(20 37 38 ) Joshua Nelson: Key thing is getting a usable product we want to have the SEDS name on in the end

(20 37 47 ) Keri Bean: yeah, 'cause the powerpoints I can edit for short periods of time

(20 38 26 ) Joshua Nelson: Other feedback?

(20 38 31 ) Keri Hancock: there are a lot of space lesson plans out there. I don't think that this would be too hard to accomplish and you might get to work with some other people on it

(20 38 36 ) Keri Hancock: I like it

(20 39 33 ) Joshua Nelson: Any further feedback, please direct to Keri B.

(20 39 43 ) Joshua Nelson: Next up, Keri B with the IYA update/discussion

(20 40 11 ) Keri Bean: so I tried holding that meeting Wednesday, and only Ryan was there on time

(20 40 16 ) Keri Bean: and Josh showed up later

(20 40 21 ) Keri Bean: so nothing got discussed

(20 40 43 ) Keri Hancock: I tried as well but it wouldn't let me in

(20 40 57 ) Keri Bean: so I'd like to hold ya'll captive after the meeting tonight to quickly discuss this stuff

(20 41 16 ) Rick Hanton: fine

(20 41 20 ) Keri Hancock: sure

(20 41 24 ) Grant Atkinson: alright

(20 41 33 ) Joshua Nelson: fine

(20 41 36 ) Keri Bean: I don't want it to take too long, there's clear skies calling... :-)

(20 41 42 ) Joshua Nelson: ;-)

(20 41 54 ) Joshua Nelson: Moving on to next item them (IYA meeting will be tacked on to the end)

(20 41 59 ) Joshua Nelson: then*

(20 42 13 ) Joshua Nelson: Rockoon Project. Keri H, as you initiated this item, go ahead.

(20 42 42 ) Keri Hancock: well, I just thought that it needed to be brought up again, see where we're at and work together to get somethings done

(20 42 57 ) Keri Hancock: we have chapters working on this so we need to do are part back

(20 43 13 ) Keri Hancock: what location do we like?

(20 43 31 ) Keri Hancock: Mojave and Black Rock are both good sites

(20 43 37 ) Keri Hancock: are there other good options?

(20 44 03 ) Joshua Nelson: I think FAR sounds like the best option, given the amount of support offers we've already received there

(20 44 04 ) Keri Hancock: Since it doesn't look like we are going to get this near Tucson, should we not pair it with the conference?

(20 44 28 ) Keri Hancock: ok, could we possibly talk about working with FAR and maybe take a vote on this issue?

(20 44 30 ) Matt Cannella: good point

(20 44 38 ) Keri Hancock: I'd like to see some stuff being accomplished

(20 44 46 ) Joshua Nelson: Agreed

(20 44 51 ) Basant Sagar: sounds good

(20 44 52 ) Keri Hancock: I think we have a lot of the info it just needs to finalized

(20 45 05 ) Joshua Nelson: The one item that has never been finalized

(20 45 08 ) Joshua Nelson: and we have no info on

(20 45 10 ) Joshua Nelson: is the prize

(20 45 13 ) Joshua Nelson: what are they co mpeting for?

(20 45 58 ) Basant Sagar: I'm working on a nice sponsorship document (using Ryan's inputs on fundraising at SEDS NE09)

(20 46 34 ) Joshua Nelson: the one issue I ran into when I was doing it, is that it is too low of exposure for most companies to consider

(20 46 48 ) Keri Hancock: could we attatch it to another event?

(20 46 52 ) Basant Sagar: and the way I see it, something like a cash prize works best

(20 46 54 ) Basant Sagar: i see

(20 47 04 ) Joshua Nelson: hard to do, given the restrictions of the launch

(20 47 43 ) Keri Hancock: ok, I think that a lot of the chapters would be happy with bragging rights, though we should tack *something* on with that.

-D

(20 48 07 ) Keri Hancock: how much money do we need that we're looking to get sponsored for?

(20 48 23 ) Basant Sagar: $10k

(20 48 45 ) Ryan McLinko: what about like LDRS or BALLS

(20 49 44 ) Basant Sagar: i remember going over LDRS

(20 50 14 ) Basant Sagar: didnt seem good enough for balloon launch

(20 50 41 ) Keri Hancock: how did stanford pull off the biolaunch projects

(20 50 52 ) Keri Hancock: from what I was told they launch several rockoons

(20 51 00 ) Keri Hancock: *launched

(20 51 08 ) Basant Sagar: ?

(20 51 27 ) Joshua Nelson: if the school is officially sponsoring it

(20 51 33 ) Joshua Nelson: they probably got money through the school

(20 51 42 ) Joshua Nelson: problem is this competition is not directly tied to any school

(20 51 48 ) Joshua Nelson: so the fundrasing is different

(20 51 51 ) Keri Hancock: so, is it a possibility for each school to sponsor each team?

(20 52 01 ) Joshua Nelson: they already are

(20 52 09 ) Joshua Nelson: we're talking about prize money

(20 52 14 ) Joshua Nelson: they need to compete FOR something

(20 52 23 ) Keri Hancock: & we want to give them 10k prize money?

(20 52 25 ) Joshua Nelson: and we need some logistical money

(20 52 43 ) Basant Sagar: no, 10k covers prizes + logistics

(20 52 45 ) *Matt Cannella left the room.*

(20 52 46 ) Joshua Nelson: I think I originally was aiming for 5K or so in prizes, and the other money for logistics

(20 52 47 ) Joshua Nelson: yeah

(20 53 00 ) Joshua Nelson: you need money to run the competition

(20 53 07 ) Keri Hancock: yes, I realize that

(20 53 18 ) Joshua Nelson: vehicles, hotels, gas, judges, walky talkies, etc..

(20 53 24 ) Joshua Nelson: some things can be donated

(20 53 30 ) Joshua Nelson: but likely not EVERYTHING will

(20 53 42 ) Rick Hanton: Agreed.

(20 53 50 ) Keri Hancock: ok, so are there other ways of funding this without company sponsorship?

(20 54 10 ) Joshua Nelson: very VERY few grants for competitions specifically

(20 54 12 ) Basant Sagar: unlikely

(20 54 17 ) Joshua Nelson: and Space Grant cannot fund anything outside of their state

(20 54 18 ) *Matt Cannella entered the room.*

(20 54 39 ) Joshua Nelson: so we're basically limited to a corporate or organization sponsorship

(20 54 45 ) Joshua Nelson: hmmm

(20 54 59 ) Joshua Nelson: You might want to approach The Planetary Society Basant

(20 55 05 ) Joshua Nelson: they support alot of programs

(20 55 08 ) Joshua Nelson: like the Solar Sail

(20 55 09 ) Basant Sagar: aha

(20 55 15 ) Basant Sagar: that sounds great

(20 55 18 ) Joshua Nelson: they like alternatives

(20 55 18 ) Ryan McLinko: well, there will be a space grant in whatever state we are...

(20 55 23 ) Joshua Nelson: Ryan, yes

(20 55 34 ) Joshua Nelson: but California Space Grant only supports a few schools

(20 55 37 ) Keri Hancock: so, can we officially decide on a place?

(20 55 41 ) Joshua Nelson: and none of which do we have a chapter at

(20 55 51 ) Ryan McLinko: that shouldn't matter

(20 55 51 ) Joshua Nelson: (I've had long conversations with our chapters there about this)

(20 55 56 ) Basant Sagar: but the point is they raised the money for Solar Sail from their members

(20 56 09 ) Joshua Nelson: they also have a certain budget for all projects they support

(20 56 20 ) Joshua Nelson: and they're interested in getting exposure and involvement from students

(20 56 28 ) Basant Sagar: k

(20 56 28 ) Joshua Nelson: its worth writing them a letter and seeing if they can support it

(20 56 38 ) Joshua Nelson: hmm

(20 56 41 ) Joshua Nelson: remind me later tonight

(20 56 47 ) Joshua Nelson: I'll send an introductory letter

(20 56 56 ) Joshua Nelson: introducing you to some of the SEDS friends in The Planetary Society

(20 57 10 ) Basant Sagar: cool

(20 58 14 ) Joshua Nelson: we have two sites in mind, and contacts at both

(20 58 30 ) Basant Sagar: FAR and?

(20 58 32 ) Joshua Nelson: we need to start the process of checking out boths ites

(20 59 17 ) Keri Hancock: FAR & Black Rock I thought, correct me if I'm wrong Josh

(20 59 27 ) Rick Hanton: Have the sites been discussed with the FAA?

(20 59 34 ) Basant Sagar: ok, the Stratofox guys

(20 59 40 ) Joshua Nelson: FAA doesn't need much involvement

(20 59 49 ) Joshua Nelson: we need to get the sites themselves first

(21 00 00 ) Joshua Nelson: if we can find an acceptable site, who is willing to host us

(21 00 17 ) Joshua Nelson: it is highly likely the FAA will approve us

(21 00 51 ) Joshua Nelson: Keri, you have both of the site contacts, correct?

(21 01 04 ) Joshua Nelson: Could you email them to Basant, or give him introductions to the people?

(21 01 17 ) Keri Hancock: You got the contacts, remember? I volunteered but you got to them first.

(21 01 51 ) Joshua Nelson: thought they got sent to you as well

(21 01 51 ) Joshua Nelson: k

(21 01 58 ) Keri Hancock: nope, I never got them

(21 02 14 ) Joshua Nelson: Basant/Keri poke me tonight to send that stuff to Basant ;-)

(21 02 28 ) Basant Sagar: haha...

(21 02 30 ) Joshua Nelson: Anything else Rockoon wise?

(21 02 49 ) Basant Sagar: we need to create a rockoon-exec mailing list

(21 03 22 ) Joshua Nelson: simple. send an email to webmaster@seds.org asking for it to be set up

(21 03 26 ) Joshua Nelson: the name you'd like for it

(21 03 37 ) Joshua Nelson: who should be the administrator

(21 03 43 ) Joshua Nelson: they'll set it up

(21 03 50 ) Basant Sagar: cool

(21 04 03 ) Joshua Nelson: (make sure to mention who you are and that you have permission from exec board)

(21 06 34 ) Joshua Nelson: If thats it, moving to last item for the night

(21 06 35 ) Joshua Nelson: SEDS House

(21 06 41 ) Joshua Nelson: Matt?

(21 07 04 ) Matt Cannella: So, things are in full swing with getting the SEDSHouse rented. We have narrowed down the price to Currently, we want to go about to get some numbers so we know exactly how many houses or which one to rent. For one house, you only need to pay 20% of the price before we get down there, so its looking like the members of UBSEDS together should be able to pay this using their shares. To this end, Dan and I were wondering how we wanted to go about sign-ups. We were thinking of posting something to the forums (which we are working on for tomorrow) and having SEDS chapter presidents get firm numbers, and then report them to me or dan. Our goal right now is to firmly book what we need on May 4, making May 1st the absolute deadline for presidents to report.

(21 07 19 ) Ryan McLinko: fast typer

(21 07 25 ) Basant Sagar: gosh

(21 07 45 ) Joshua Nelson: I've already set up a sub section of the SEDS forums for you guys

(21 07 55 ) Joshua Nelson: As for the chapter presidents, I'd say thats not necessarily the best way to do it

(21 08 02 ) Joshua Nelson: given I don't know about you guys

(21 08 05 ) Matt Cannella: haha, sorry. im at work so i pre-typed

(21 08 17 ) Joshua Nelson: but my chapter president doesn't get much involvement with a trip unless he's personally going.

(21 08 19 ) Matt Cannella: i just would prefer not to get a flood of emails and lose track

(21 08 21 ) Joshua Nelson: other people in the chapter are involved

(21 08 21 ) Ryan McLinko: looks like you missed the end of the first sentence?

(21 08 51 ) Matt Cannella: (also, the price has been narrowed to between $120-130 a person, depending on how many)

(21 09 11 ) Joshua Nelson: I'd say you could simply use the forums for it

(21 09 13 ) Joshua Nelson: simple enough to create an account

(21 09 18 ) Joshua Nelson: post what info you need from people

(21 09 18 ) Ryan McLinko: and that's for which nights

(21 09 19 ) Matt Cannella: ok

(21 09 35 ) Keri Hancock: ?? I thought it was $260 or so for 14 people a night

(21 09 42 ) Matt Cannella: its for 5 nights. 27-june 1

(21 09 42 ) Keri Hancock: and it's three nights?

(21 09 43 ) Rick Hanton: I always use google docs for these things.

(21 10 05 ) Matt Cannella: 5 nights

(21 10 45 ) Matt Cannella: so we'll just use the forums?

(21 10 58 ) Keri Hancock: k, but $260 divided by 14 = 18.57 multiply that by 5 it's 92...

(21 11 10 ) Keri Hancock: why is it 120 a person?

(21 11 15 ) Keri Hancock: never mind, explain it to me later

(21 11 16 ) Keri Hancock: sorry

(21 11 34 ) Ryan McLinko: let me know if there's anything else I should know too

(21 11 43 ) Ryan McLinko: (I'm sending an ISDC email out tongith)

(21 11 55 ) Ryan McLinko: so we'll want to have this forum page ready too

(21 12 12 ) Joshua Nelson: the forum section is set up, just need to throw a post with the info in there

(21 12 22 ) Ryan McLinko: (that's what I meant)

(21 12 26 ) Matt Cannella: sorry

(21 12 28 ) Matt Cannella: prices went up

(21 12 45 ) Matt Cannella: right

(21 12 51 ) Matt Cannella: dan was trying to get on to post it today

(21 13 07 ) Matt Cannella: but his account wasnt working or something? could someone maybe send him an email with his username and pass?

(21 13 52 ) *Joshua Nelson left the room.*

(21 15 41 ) Ryan McLinko: ok, seem to have lost josh

(21 15 47 ) Matt Cannella: yea

(21 15 57 ) Ryan McLinko: matt, did you have anything else you wanted to say

(21 16 32 ) Ryan McLinko: or anyone have more questions for him?

(21 16 44 ) Keri Hancock: nope

(21 16 48 ) Grant Atkinson: none here

(21 16 53 ) Matt Cannella: nope

(21 16 58 ) Justin Graves: nothing

(21 17 05 ) Matt Cannella: i guess just spread the word guys

(21 17 11 ) Ryan McLinko: ok, matt would you be able to write a post for dan

(21 17 18 ) Matt Cannella: we'll have it up tomorrow, with a sign up date by may 1

(21 17 30 ) Ryan McLinko: ok, email me when it's up

(21 17 33 ) Matt Cannella: yea... i'll just have him send me what he drafted up

(21 17 41 ) Ryan McLinko: and I'll send the email to chapters and announce after I hear from you

(21 17 58 ) Matt Cannella: i guess the only decision is if we wanted to do less nights

(21 18 03 ) Matt Cannella: it could cut the costs a little

(21 18 19 ) Ryan McLinko: yeah, I was wondering about that

(21 18 23 ) Ryan McLinko: which dates are we covering

(21 18 29 ) Matt Cannella: 27-june1

(21 18 31 ) Ryan McLinko: nm

(21 19 25 ) Matt Cannella: we could have the end date be may 31st

(21 19 58 ) Ryan McLinko: we could also charge people a per night rate

(21 20 24 ) Ryan McLinko: ie get the total number of person*nights

(21 20 24 ) Basant Sagar: yeah

(21 20 30 ) Ryan McLinko: and then charge accordingly

(21 20 34 ) Matt Cannella: eh, that gets tricky

(21 20 47 ) Matt Cannella: because we'd still have to get the total amount for the house no matter what

(21 21 06 ) Ryan McLinko: well, I mean...

(21 21 10 ) Matt Cannella: i mean, personally i'm leaving on May 30th most likely, so i wont even be there for check out

(21 21 22 ) Matt Cannella: but it seems a lot easier just to charge a flat rate

(21 21 38 ) Ryan McLinko: it is easier, but if some people are only able to make a couple nights

(21 21 54 ) Ryan McLinko: it would make less sense for them to come in if they are paying for more than they are using

(21 22 08 ) Ryan McLinko: (this is what we've generally done for mitseds splittings)

(21 22 18 ) Ryan McLinko: granted, easier to do for smaller groups

(21 22 37 ) Ryan McLinko: but if we take the total price and divide by number of person*nights

(21 22 41 ) Matt Cannella: but the per night rate would change based on number of people

(21 22 42 ) Ryan McLinko: then it should be pretty simple

(21 22 53 ) Ryan McLinko: not necessarily

(21 22 59 ) Ryan McLinko: ie take the total over the whole time

(21 23 18 ) Matt Cannella: oh

(21 23 35 ) Matt Cannella: i didnt even think of that

(21 23 38 ) Ryan McLinko: (ok good, was running out of ways to describe without an equation)

(21 23 42 ) Matt Cannella: haha

(21 24 31 ) Matt Cannella: ok... we could do that... and then if we only get one or 2 people signed up for the first or last night, we could drop it

(21 24 32 ) *Joshua Nelson entered the room.*

(21 24 40 ) Matt Cannella: if it significantly raises the price for everyone

(21 24 45 ) Ryan McLinko: fair enough

(21 24 45 ) Joshua Nelson: (wireless registration certificates suck)

(21 25 11 ) Ryan McLinko: ok, any other trailing concerns on seds-house?

(21 25 14 ) Matt Cannella: i like the idea, but i dont because it doesnt give someone a set price to plan ahead for until we book

(21 25 17 ) Matt Cannella: sorry

(21 25 24 ) Matt Cannella: i'll write it up in that format and we'll go from there

(21 25 29 ) Ryan McLinko: well, neither does the current plan

(21 25 42 ) Matt Cannella: with a deadline for sign-up of may 1

(21 25 43 ) Ryan McLinko: I don't think there's any way to have a set price without the total number

(21 25 57 ) Matt Cannella: right

(21 27 02 ) Matt Cannella: ok

(21 27 44 ) Ryan McLinko: ok, anything else?

(21 28 48 ) Ryan McLinko: or anything else anyone wanted to talk about?

(21 29 02 ) Joshua Nelson: (before we adjourn to the IYA discussion)

(21 29 44 ) Ryan McLinko: aight...IYA discussion then

(21 29 45 ) Rick Hanton: Posing minutes?

(21 30 12 ) Ryan McLinko: [I can get it if no one else is]

(21 30 20 ) Joshua Nelson: Yeah

(21 30 27 ) Joshua Nelson: could you please email them to secretary@seds.org
