[20:06] Joshua Nelson: maybe Texas dropped into the Gulf of Mexico

[20:06] Keri Hancock: we're missing half the board

[20:06] Joshua Nelson: This meeting time seems to not be quite as good as we intended... Will send out an email to everyone asking for explaination, etc...

[20:07] Joshua Nelson: But lets go through the items we have briefly

[20:07] Joshua Nelson: can go more into depth next meeting

[20:07] Joshua Nelson: Ok first up, ISDC

[20:08] Joshua Nelson: ISDC went very well for SEDS. We had 3 great speaker sessions, (made a very positive impression on both Alan Stern and Richard Garriott),

[20:08] Joshua Nelson: The SEDS night of the hospitality suite was a big success (probably the best night there was)

[20:08] Rick Hanton: I still need to get you money for that.

[20:08] Joshua Nelson: Alot of plugs for SEDS by just about everyone at the conference

[20:09] Joshua Nelson: (yes... yes you do ;-) )

[20:09] Justin Graves: yeah I need stuff from you as well josh

[20:10] Joshua Nelson: CoC, though a bit awkward was successful. Attended by 6 chapters in person, though phone attendance was bad (only 4 on phone).

[20:10] Rick Hanton: Yeah, my guy had an emergency I found out.

[20:10] Joshua Nelson: ERAU, UCF, MIT, UB, Purdue, and one other were there in person, as was the president of the future UF chapter.

[20:11] Basant Sagar: BU

[20:11] Joshua Nelson: Chicago NSS, which is hosting the next ISDC was so impressed by SEDS, they want us to have an even bigger role next year

[20:11] Joshua Nelson: and have asked for us to start helping next month

[20:12] Joshua Nelson: A number of other contacts and things that came up during the conference

[20:12] Joshua Nelson: including Huntsville L5/NSS expressing interest in giving a donation towards a rockoon prize (since they have their own launch program)

[20:12] Joshua Nelson: this would probably be linked with the winning Rockoon being expoed at the ISDC 2011 in Huntsville

[20:13] Basant Sagar: cool

[20:13] Rick Hanton: agree

[20:13] Keri Hancock: so what does that mean about what we should think about in terms of dates for the rockoon competition?

[20:13] Joshua Nelson: I'll contact them once more to nail it down a little more, then pass the contact on to you Basant

[20:13] Keri Hancock: Will it make any difference?

[20:14] Keri Hancock: (the date, not the email)

[20:14] Joshua Nelson: Whats the status on Black Rock?

[20:14] Joshua Nelson: Do we know when we could potentially have launches there?

[20:14] Keri Hancock: The local community is only there for launching it seems

[20:14] Joshua Nelson: it is pointless to release a launch date if we have no clue if it is reasonable

[20:15] Keri Hancock: I'll look up when they do their huge launch, give me just a minute

[20:15] Keri Hancock: (& I meant more of the year)

[20:15] Joshua Nelson: lets have a seperate Rockoon meeting.

[20:15] Joshua Nelson: Basant and Keri, are you both available tommorow night at this time?

[20:16] Joshua Nelson: So lets do a rockoon competition meeting for any of the exec board interested

[20:16] Joshua Nelson: to come up with an action plane

[20:16] Joshua Nelson: tommorow night at 9 PM EST

[20:17] Joshua Nelson: Ok, any other big things (outside of CoC recap) that the members who attended ISDC think should be covered now?

[20:17] Basant Sagar: awesome

[20:19] Joshua Nelson: Nothing else?

[20:19] Joshua Nelson: CoC recap:

[20:19] Joshua Nelson: Since Grant isnt here

[20:20] Joshua Nelson: The CoC passed the following items:

[20:20] Rick Hanton: Some notes in the wiki FYI.

[20:20] Joshua Nelson: The CoC is now allowed to bring up new items for discussion during the CoC

[20:21] Joshua Nelson: The Executive Board must send a list of recent executive board decisions out with the agenda for CoC at least 2 days prior to each CoC so chapters have time to peruse/debate these decisions.

[20:21] Joshua Nelson: The Executive Board has been tasked with creating a plan for instituting regional coordinators and possibly regional Council of Chapters

[20:22] Joshua Nelson: The CoC will now also have a "Chapter Updates" at the end of each CoC, time permitting, for chapters who (optionally) wish to highlight what is going on at their chapter

[20:22] Joshua Nelson: Those are the decisions that were set in stone. Discussion on a few items was tabled until next meeting

[20:23] Matt Cannella: that definitely helps me out with the nova

[20:23] Matt Cannella: where are these going to be posted?

[20:23] Keri Hancock: what are some of the items that were tabled?

[20:24] Joshua Nelson: Off the top of my head I forget the two tabled items (least I think there were two that were put off).... Ryan, Basant, do either of you remember?

[20:24] Joshua Nelson: Matt, there is a transcript kept of each CoC, so you can get them from the transcript

[20:24] Ryan McLinko: basant, did you include that in your notes

[20:24] Basant Sagar: Buffalo proposed having a coordinator for each region

[20:24] Joshua Nelson: FYI I'll have your letter from the chair done and emailed to you tonight Matt.

[20:24] Matt Cannella: please thank you

[20:24] Basant Sagar: i emailed the xscript to Grant

[20:25] Rick Hanton: The stuff that was tabled was on what conferences seds should attend.

[20:25] Joshua Nelson: ah k

[20:25] Joshua Nelson: yeah

[20:25] Joshua Nelson: the CoC was discussing forming a CoC group to research various conferences that SEDS should have a larger presence at

[20:25] Joshua Nelson: was tabled till next meeting given time

[20:26] Joshua Nelson: Any other questions about the CoC or ISDC? Or items that others remember that I missed?

[20:26] Keri Hancock: no

[20:26] Rick Hanton: 501c

[20:27] Rick Hanton: And the money you found.

[20:27] Joshua Nelson: Ah yes thank you

[20:28] Joshua Nelson: We gave them all an update on 501c3. We've become tax exempt in Texas, and are now waiting to set up a meeting with the lawyer. I will write a tax exempt guide for the chapters to be done by the end of the month.

[20:28] Joshua Nelson: Also, Loretta Whitesides mentions that she still has $400 from the old SEDS travel fund

[20:28] Joshua Nelson: I proposed, and the CoC widely agreed

[20:29] Joshua Nelson: that this should go towards helping get chapters to Space Vision

[20:29] Joshua Nelson: As it gets closer we can determine a system for distributing it / deciding who will get money

[20:30] Keri Hancock: who was asked to think up a system? CoC or exec?

[20:30] Joshua Nelson: Exec basically will propose a system and let CoC decide if it is fair

[20:31] Keri Hancock: Ok, so this will be discussed next meeting then

[20:31] Joshua Nelson: It is easiest to approach CoC with a set plan and let them alter it how they want, instead of having them build one from the ground up

[20:31] Keri Hancock: ok

[20:31] Joshua Nelson: Anything else ISDC/CoC wise?

[20:32] Matt Cannella: ISDC Rocked!

[20:32] Basant Sagar: totally!

[20:33] Joshua Nelson: New Chapter item...

[20:33] Joshua Nelson: Rick I just wanted to ask how we're going and if you've yet heard / had progress with the 3 new chapters that have expressed interest lately (that I know of) these being UF, Pittsburg, and Michigan

[20:34] Joshua Nelson: (I know you kinda went into this before the meeting, but if you could recap)

[20:34] Matt Cannella: being down here in huntsville at UAH, I will work somewhat with kyle stephens to get one here this summer

[20:35] Matt Cannella: i know kerri has said there are hs chapters in the area that are interested, so getting a university chapter here could be crucial

[20:35] Rick Hanton: Yeah, I agree Matt.

[20:36] Rick Hanton: Well, what were the three chapters Josh? I know there is one I didn't know anything about.

[20:36] Rick Hanton: Well, Princeton is the new chapter I have dealt mostly with.

[20:37] *** Keri Bean has joined the chat.

[20:37] Rick Hanton: After going back and forth we finally got everything we needed from them and we did allow them in without the $25 dues (before the decision on that).

[20:37] Rick Hanton: I haven't seen them attending all the CoCs, but either they're just getting the hang of it or grant isn't contacting them.

[20:37] Joshua Nelson: UF is University of Florida, there is a very passionate young woman who we all met at ISDC who should be contacting you shortly about starting it up

[20:38] Rick Hanton: Sweet!

[20:38] Joshua Nelson: Hows it going getting Michigan back into the fold?

[20:39] Rick Hanton: One thing I have noted (just to AL space grant right now) is that we don't have a lot of groups in that area of the country if you split off FL as something different all together.

[20:39] Rick Hanton: With like a bijillion groups.

[20:39] Rick Hanton: The other group I have talked with is Michigan SEDS.

[20:40] Rick Hanton: Darrel Cain noted that they appeared in some Yuris night materials and are not currently "official".

[20:40] Rick Hanton: They are currently searching for an advisor and will probably get back to me with the necessary info to be recognized in the fall.

[20:40] Rick Hanton: Or I'll follow up at least.

[20:41] Rick Hanton: The other note is that the Princeton group is going to be an AIAA/SEDS group.

[20:41] Joshua Nelson: On that note, do you think the requirement of an advisor and official school recognition is preventing some groups from joining us?

[20:41] Ryan McLinko: if it is, then oops

[20:41] Rick Hanton: It is making it more of a big deal for them, yets.

[20:41] Rick Hanton: yes

[20:41] Keri Hancock: It's ASU's hang up last time I talked to them

[20:41] Rick Hanton: But there are good reasons to require those things.

[20:42] Ryan McLinko: require?

[20:42] Joshua Nelson: There are some... but I wonder if it is necessary

[20:42] Joshua Nelson: to require it of a new chapter right away

[20:42] Ryan McLinko: fyi...mitseds doesn't have one

[20:42] Rick Hanton: Our advisor at ISU doesn't do much.

[20:42] Ryan McLinko: we require recognition

[20:42] Rick Hanton: He just exists.

[20:42] Joshua Nelson: bad MIT SEDS, bad! ;-)

[20:42] Basant Sagar: yeah, we dont have one, lol

[20:42] Ryan McLinko: but that is independent of having an advisor

[20:42] Ryan McLinko: I was unaware we had a requirement

[20:42] Joshua Nelson: And the thing is

[20:43] Rick Hanton: How many of your schools require recognition?

[20:43] Rick Hanton: Mine does.

[20:43] Keri Bean: mine does

[20:43] Joshua Nelson: ours technically does. We used to ignore it

[20:43] Ryan McLinko: advisor to get recognition you mean?

[20:43] Rick Hanton: Otherwise you are kind of screwed for funding.

[20:43] Ryan McLinko: well if that's the case, then there is an implicit requirement

[20:43] Rick Hanton: No, I just mean recognition.

[20:43] Ryan McLinko: but if the school doesn't require it, we shouldn't

[20:43] Rick Hanton: That was somewhat princeton's problem.

[20:44] Keri Hancock: I agree with Ryan

[20:44] Rick Hanton: Michigan it was no issue because I can see online that they are an official group.

[20:44] Keri Hancock: the schools should just be required to be recognized by their school, if that means an advisor than so be it, but let us not require it specifically

[20:44] Keri Hancock: plus, I'd hate to lose MIT SEDS just because they felt like being rebels  ;-)

[20:45] Rick Hanton: Yes, I didn't press princeton very hard on it, but they persisted in wanting to do it.

[20:45] Joshua Nelson: All in favor of dropping the requirement that a chapter needs to have an official advisor? (I think CoC will still need to ratify the decision)

[20:48] Joshua Nelson: Since CoC would like to expand the conferences SEDS attends

[20:48] Rick Hanton: (fix what?)

[20:48] Joshua Nelson: Ryan, how up to date is our conference list?

[20:48] Joshua Nelson: of potential conferences?

[20:48] Ryan McLinko: pretty up-to-date

[20:49] Ryan McLinko: I mean I haven't been looking or finding any others

[20:49] Ryan McLinko: it's probably worth doing a search to see what else is out there

[20:49] Ryan McLinko: but at least for the main ones, it's a list I inherited and have made mods to here adn there

[20:49] Joshua Nelson: Would you be able to, or find someone else to task with updating the list?

[20:49] Keri Hancock: I'll help out on the searching, I've run across a few smaller ones lately

[20:50] Joshua Nelson: And adding a bit of info about the upcoming years conferences?

[20:50] Ryan McLinko: k

[20:50] Joshua Nelson: I'd like us to at least give it a once over before CoC uses it

[20:50] Ryan McLinko: well the upcoming conferences things happens at least each nov

[20:50] Ryan McLinko: I need to update some of the ones in the fall (that had no info for last nov)

[20:50] Ryan McLinko: but besides taht, we could "hand" it to coc

[20:51] Joshua Nelson: One last item actually

[20:51] Joshua Nelson: added onto the end here...

[20:51] Ryan McLinko: and can similarly tell them to read their email, in which case they would know that I send this out on a regular basis asking for input on the list

[20:52] Joshua Nelson: We're getting bigger as an organization. And there are many individuals who would like to help SEDS National, but don't get elected. I'd like to encourage you guys to use get more people involved in your departments. Example: The webmaster shouldnt be the only one maintaining the website

[20:52] Joshua Nelson: What do you guys think is the best way of doing this?

[20:52] Joshua Nelson: Informally encouraging it? Formally forming 'working groups' under the directors that require it?

[20:52] Joshua Nelson: Opinions?

[20:52] Rick Hanton: What about first making sure everyone on the board is doing their jobs??

[20:53] Ryan McLinko: that's one part

[20:53] Basant Sagar: i'm totally in favor of forming small working groups/ advisory committees

[20:53] Joshua Nelson: Hmmm point, there's one item after this

[20:53] Ryan McLinko: the other part is that having someone else to team up with an exec member helps to get stuff done

[20:53] Keri Hancock: I'd start with informal encouragement with a notice on the webpage, then if it doesn't work move it up to a mandate

[20:53] Ryan McLinko: by having someone to nag/help

[20:53] Ryan McLinko: wouldn't go past 2 people

[20:53] Ryan McLinko: otherwise, it turns into a committee

[20:53] Ryan McLinko: which is a great way to get even less done

[20:54] Basant Sagar: lol, ryan

[20:54] Rick Hanton: lol

[20:54] Keri Hancock: who knows rick, maybe having more people would help get some of the stuff done that board members are slacking on

[20:54] Joshua Nelson: Zeke silva has not been to an exec meeting in quite a while, and most of his duties are being handled by other members right now.

[20:55] Joshua Nelson: I believe impeachment was mentioned during the last meeting

[20:56] Joshua Nelson: Any opinions on this issue? Arguements for/against impeachment?

[20:56] Keri Hancock: I agree with the impeachment

[20:56] Keri Hancock: He is doing nothing, let's find someone who will

[20:56] Keri Hancock: We should help each other, not carry each other

[20:57] Justin Graves: what ever happened with contacting him. did he just not respond?

[20:59] Keri Hancock: Basant, let's not do this because it is fun, but rather if it is right.

[21:00] Rick Hanton: Yeah, I agree that the world would go round better if his job was done right.

[21:01] Rick Hanton: I've been posting minutes, which is most of the job, but it is not a ton of hassle.

[21:01] Ryan McLinko: ok, so here's teh deal

[21:01] Keri Hancock: I'd like to see minutes get posted as well as transcripts, much easier when you're trying to remember what was brought up when.

[21:01] Ryan McLinko: we contacted him and agreed that he would stop attending meetings as long as he'd post transcripts

[21:01] Ryan McLinko: but since that stopped, we haven't contacted him

[21:01] Keri Hancock: Rick, I told you I'd helpp post transcripts, but you always beat me to it.

[21:01] Ryan McLinko: so we do need to contact him one more time

[21:01] Ryan McLinko: and then we can impeach him next week

[21:02] Justin Graves: what's the actually procedure for filling his spot

[21:02] Keri Hancock: Yes, I think so Ryan.

[21:02] Ryan McLinko: josh said that he would contact him, so here's the motion for josh contacting him about impeachment

[21:02] Keri Hancock: Justin, it is in the constitution, which can be found off the left tool bar of the website

[21:04] Rick Hanton: Not a hard mission.

[21:05] Rick Hanton: An enthusiastic person can do it and provide us input no prob.

[21:05] Keri Hancock: Justin, we are doing all his work anyways, what difference does that make?

[21:05] Basant Sagar: or someone else who ran for exec board this year

[21:05] Justin Graves: that was my point

[21:05] Ryan McLinko: ok, so josh will take care of contacting him

[21:06] Ryan McLinko: and everyone should look around for someone else

[21:06] Keri Hancock: Justin, I don't believe in dead weight high up in any organization, SEDS or other, it's just not healthy
