Megha Sharma: First of all, is this meeting time good with everyone?
Ben Brockert: Works for me.

Megha Sharma: everyone, no answer means it's good with you
Megha Sharma: k
Megha Sharma: Now I wanted to discuss a little about the exec board elections for the coming year
Megha Sharma: we'll do the details in another meeting, right now I want to discuss the scheduling
Megha Sharma: we will open nominations on Oct 5 and close them on may be Nov 5th
Megha Sharma: does that sound good?
Emily Hardigree-Ullman: ok
Todd Romberger: yeap
Josh Nelson: yup
Liz Bozek: sorry - is this for chapters not attending the conference?
Josh Nelson: its for anyone running
Liz Bozek: ok
Josh Nelson: you have to declare your intention to run before the conference
Josh Nelson: so people not going can get in their absentee vote / proxy vote, etc
Josh Nelson: and people can consult their chapters on who to vote for
Liz Bozek: right ok
Megha Sharma: yes, thanks Josh
Megha Sharma: we will probably do the same for the SV 07 venue nominations
Megha Sharma: I'll put something up on the website soon
Todd Romberger: do we want to vote for the venue the same way as the exec elections, or do it afterwords via email as last year?
Ben Brockert: Yeah, I was going to bring that up. Should we do it differently than last year?
Megha Sharma: I want you guys to let all the members in your chapters know about the elections and encourage them to run
Megha Sharma: Ben, I am not sure yet, we did that last year partly coz we ran out of time and partly since there were not many chapters present
Megha Sharma: this year, we will ask all chapters who will not be attending to send their proxies before the conference
Ben Brockert: Having chapters present their proposals at the convention would be nice, but having the proposals beforehand would be as well.
Megha Sharma: and then do the presentation at the conf and vote and decide there
Josh Nelson: voting system should also be decided on
Emily Hardigree-Ullman: i thought we did that
Megha Sharma: yes, that is what we are doing
Megha Sharma: josh, what do u mean by deciding on the voting system?
Josh Nelson: did we ever decide which system?
Josh Nelson: the straight 1 vote per chapter, or the sillier 10 votes per chapter thing
Megha Sharma: still not getting it, I'm sorry
Megha Sharma: we voted on that already.
Josh Nelson: (I know, sorry, AIM's lagging for me for some reason I cannot find)
Megha Sharma: one vote per chapter, I am sorry I still have to update that in the constitution, though
Megha Sharma: wil do it asap
Josh Nelson: k, thats why I was wondering
Megha Sharma: hopefully
Josh Nelson: was still hard written in as 10 per chapter
Megha Sharma: yea
Stephanie Jones: that seems to make little sense. whether its 1 or 10, the ratio is the same
Megha Sharma: nope, but it can be anything b/w 1-10
Megha Sharma: right?
Megha Sharma: anyways, it's all going out now

Ben Brockert: So why was it decided to change it? I can see that it's more complicated, but it's an attempt at approval rating, which is typically better.
Josh Nelson: pretty sure we will run

Emily Hardigree-Ullman: i have xpcup, sff conf., policy, rockets, sv2006 articles
Emily Hardigree-Ullman: yes
Emily Hardigree-Ullman: are there any format suggestions right now about how the newsletter should look like?
Emily Hardigree-Ullman: if there are no suggestions, probably tomorrow or thursday i can send exec board what the newsletter looks like and get suggestions then

Megha Sharma: I think we should include an article from a SEDS Earth member every NOVA issue
Emily Hardigree-Ullman: that is a great idea
Emily Hardigree-Ullman: i have nothing else
Megha Sharma: And I will send you a "From the Chair", something that summarizes the ongoings of SEDS
Emily Hardigree-Ullman: very good

Megha Sharma: yes, another thing, we are going to hit spacey magazines and newspapers to ask them to include articles from SEDS members, so if you guys have any articles that you might have written for NOVA or soemthig else, please contact me
Todd Romberger: is ad astra one of these magazines? that would be cool
Megha Sharma: So far, I talked to SPACE TIMES adn they are interested in including an article from SEDS
Megha Sharma: yes, I talked to George alread and the guy from Space Times, they too will be happy to include articles from SEDS
Emily Hardigree-Ullman: if i get this stardust article it might be a good one for other publications
Megha Sharma: this way if we invite some of these to our Space Visions, they will be more inclined to say yes, since we will aleady have a raport with them
Megha Sharma: sounds good, Em
Ben Brockert: It's a good idea; are they looking for anything specific?
Megha Sharma: nope, they did not mention anything specific, but it should identify SEDS in some way or the other
Megha Sharma: can someone invite Josh?

Josh Nelson: are they going to be articles about SEDS?
Josh Nelson: or just general articles from SEDS members?
Megha Sharma: well, i have not talked to specifics about this with Ad Astra or Space.com
Josh Nelson: and how are we going to regulate what is said?
Megha Sharma: but with Space Times, soething about SEDS
Megha Sharma: what we are currently doing
Josh Nelson: I know that there was an article from SEDS-UW for the Zero G thing that they wanted me to send to some sources, but it was filled with false facts about other SEDS chapters
Megha Sharma: or a couple of projects from a chapter or couple of chapters
Megha Sharma: send it to me
Megha Sharma: what do u mean by false facts?
Ben Brockert: I know I sound like a broken record, but articles could be put up on the wiki, then everyone could see and edit them. Prevent issues like that.
Josh Nelson: stuff like they were the only chapter with large scale science project, ect
Josh Nelson: things that made UW SEDS seem great, and the rest of us as dead and inactive
Megha Sharma: we can delete that, with the permission of the writer
Megha Sharma: that should be no problem
Josh Nelson: see but I am asking how?
Josh Nelson: are all articles to be submitted to you
Josh Nelson: and then you pass them to Georgie?
Megha Sharma: well, no I want Em to be in-charge
Emily Hardigree-Ullman: ive yet to see this article you speak of
Megha Sharma: I am not passing anything to georgie
Megha Sharma: he just directed me to the person i am supposed to talk to for Ad Astra
Josh Nelson: I just wanted to establish how we will be editing/censoring the articles
Megha Sharma: but I think anyone should be able to be send it
Megha Sharma: just that the exec board should first approve it
Josh Nelson: so they submit to us first, then from us to the source
Megha Sharma: coz this is going to be from a "SEDS member"
Josh Nelson: if we're attaching the SEDS name to it, I am merely suggesting we want to be in control of what is presented
Megha Sharma: Josh I don't have a direct answer yet, but I think "yes" is what my answer would be, and here's the reason
Megha Sharma: yes, we as the board represent SEDS to the commnity outside of SEDs and are responsible
Megha Sharma: so it needs to go through us
Josh Nelson: exactly. k.
Megha Sharma: that's all, so no one send in false/inapproporate info
Megha Sharma: that's all

Emily Hardigree-Ullman: yes

Megha Sharma: is this ok with everyone?
Liz Bozek: yes
Ben Brockert: Got it. Seems reasonable.
Liz Bozek: so, would they send it to emily first?
Megha Sharma: yes
Liz Bozek: ok
Megha Sharma: and then she will bring it to the entire board and we could discuss and point out anything that needs to be modified, etc
Emily Hardigree-Ullman: sounds good

Megha Sharma: ERFSEDS is bringing in an astronaut for their speaker and we will be inviting th eentire aero dept and students
Megha Sharma: i think this is will be a great PR exercise

Ben Brockert: Yeah, the CoC would probably like to hear about that.
Megha Sharma: I encourage the exec to write some aticles for these exterior sources and please encourage your chapter members to do so
Megha Sharma: Emily and I are going to be contacting other magazines and newspapers, and if you guys get a hold of some contacts, please let everyone know

Liz Bozek: again, we'll be discussing how to make the beginning of the semester successful for chapters as well as the Cup, conference and national elections.
Josh Nelson: do we know how many chapters are planning on going?
Josh Nelson: officially?
Liz Bozek: if anyone wants to make an anouncement during the meeting, make sure to IM me at 9

Josh Nelson: (only note I have tonight, still waiting for a response from Josh Neubert on possible ways to get the SEDS table space at the Cup donated)
Liz Bozek: I have no idea yet - I'm planning the trip for Illinois -SEDS so I wanted to help the others w/ logistics if i can

Ben Brockert: I should get involved with that as well, Todd said it's part of my position. I'll send out a message to chapters, and bring it up tomorrow at CoC.

Megha Sharma: another thing, about the emails from the support server
Megha Sharma: I hope there isn't any more confusion regarding that
Ben Brockert: I'd also like to put in a word for Chris. Without him, SEDS as an online entity would quickly fail to work. He puts a lot of time into keeping the sites and server going.
Megha Sharma: exactly
Megha Sharma: he has literally been doing all the ticket work for the board, including myself
Megha Sharma: I think it's a really good thing that he was able to put that feature for us, now we will not sit back for long
Josh Nelson: tickets have always been answerable
Josh Nelson: there is really little change...
Josh Nelson: its just important that people answer through the ticket system and close out tickets they have already handled
Megha Sharma: well, i wouldnt suggest closing out the ticket immediately
Megha Sharma: coz sometimes there might be a delay in the response from sending party
Megha Sharma: closing the ticket means everythin's been taken care of, which is mostly not true with expansion
Megha Sharma: especially when some one is interested in starting a chapter
Megha Sharma: because the idea is not that u responded to the ticket but that we were able to get some ppl together to start a chapter, etc
Josh Nelson: then replying through the ticket system really would work best ;-) so Chris and I dont go through and see "oh this ticket hasnt been replied to yet, and has been sitting around open for 100 days"
Megha Sharma: so just use ur best judgement
