Step 1: Update Template

Add a link to the new meeting minutes to the box at Template:2009 SEDS-Earth Meetings

To create a new minutes page, type in the address bar: 

[[SEDS-Earth Meeting Minutes YYYYMMDD|DD MMM]]

For example, for a meeting on 28 April 2008: 

[[SEDS-Earth Meeting Minutes 20080428|28 Apr]]

The YYYYMMDD format is ISO 8601 format for date and time. This format will sort notes by date when the articles are sorted by file name. Remember to reduce the full transcript to a set of meeting minutes (see this for a reference: http://www.dcs.warwick.ac.uk/~doron/course/cs223/minutes.html). It is much easier to find information in the meeting minutes that the transcript later; it is a good practice to maintain.

Save the modified template, and there will now be a link to a blank page for the meeting minutes.

Step 2: Edit the Meeting Minutes Page

There are three parts to the meeting minutes page:

  1. Header
  2. Body
  3. Footer

Header

At the beginning of the page include the following template, Template:Meeting Notes Header: 

{{Meeting Notes Header
| meeting=
| date=
| time=
| location=
| attendance=
}}

For example, if you include 

{{Meeting Notes Header
| meeting=SEDS-Earth General Chat
| date=1 May 2008
| time=13:00 GMT
| location=http://www.seds.org/chat
| attendance=(list of attendees)
}}

you will see:

SEDS-Earth General Chat, 1 May 2008

Time: 13:00 GMT
Location: http://www.seds.org/chat
Attendance: (list of attendees)


Using a template gives a standard header on all of the meeting pages.

Body

Insert the meeting minutes. Before saving, remember that the preview feature is helpful.

Footer

At the end of the page include: 

{{{{CURRENTYEAR}} SEDS-Earth Meetings}}
[[Category:{{CURRENTYEAR}} SEDS-Earth Meetings]]

Why do this? It makes the pages easier to find later. This will categorize the page in Category:2009 SEDS-Earth Meetings and will include this box at the bottom of all of the pages: Template:2009 SEDS-Earth Meetings
