Being a student organization, you have great advantages over most other events, because you can get first-class facilities at little to no charge.
Reserving rooms
- Determine procedure for reserving rooms at your school. This can vary by location.
- Reserve rooms as soon as possible. It is easier to let go of reservations than to get new ones.
- Have a good idea of your schedule as soon as possible to know what rooms you will need.
- If the student programs office has a conference planning group, meet with them to learn anything that might make it easier for you
- See if you can get a small locking room nearby to store flyers, bags, etc. between days.
- Ensure you have enough tables/chairs etc.
- See if the staff will be available on weekends to assist in last minute arrangements
A/V and other arrangements
- Some rooms require you to use their A/V equipment, which can come at an extra charge
- Make sure you have sound, data projectors and microphones for each room where you'll be hosting a speaker
- There's a good chance the school will severly over-charge for this (~$500/day), be prepared to handle it in your budget
