Luncheon
- Deli/sandwich shop catering is the simplest option
- Easiest distribution method is to serve it buffet style off of the restaurants serving trays.
- Allow at least half an hour between the arrival of the food and the start of serving to make sure everything is in order
- Have plenty of trashcans available to handle to trash from lunch
- Good local food will make everyone more impressed by the conference
- Make sure you have an ice-chest available if the drinks have any ice
Refreshments
- Large coffee urn (~$100) is a big plus in the morning
- Available bottled water throughout the rest of the day should be the next highest priority
- Definitely have it available for speakers/staff
- If money is available, available for everyone.
- Snacks and sodas are a nice touch to have available during breaks. However, make this decision based on available money. Coffee and water are much more important and should be considered a necessity
Open meals
- If you do not plan on providing a meal, make sure there is plenty of time available
- Include walking time in each direction
- Half an hour for eating and making arrangements
- Provide suggestions on good places to eat within walking distance
- Have some local students available to lead groups to eat
