Luncheon

  • Deli/sandwich shop catering is the simplest option
  • Easiest distribution method is to serve it buffet style off of the restaurants serving trays.
  • Allow at least half an hour between the arrival of the food and the start of serving to make sure everything is in order
  • Have plenty of trashcans available to handle to trash from lunch
  • Good local food will make everyone more impressed by the conference
  • Make sure you have an ice-chest available if the drinks have any ice

Refreshments

  • Large coffee urn (~$100) is a big plus in the morning
  • Available bottled water throughout the rest of the day should be the next highest priority
    • Definitely have it available for speakers/staff
    • If money is available, available for everyone.
  • Snacks and sodas are a nice touch to have available during breaks. However, make this decision based on available money. Coffee and water are much more important and should be considered a necessity

Open meals

  • If you do not plan on providing a meal, make sure there is plenty of time available
    • Include walking time in each direction
    • Half an hour for eating and making arrangements
  • Provide suggestions on good places to eat within walking distance
  • Have some local students available to lead groups to eat
