I'm looking at extending each date by 15 days except for the announcement date. The dates on the flier are currently that snail mail must be sent by 11/15, digital copies by 12/1 and announcement by 12/31. This will change to snail mail must be sent by 12/1, digital copies due 12/15, and announcement 12/31.

Announcement is getting sent to NEA and NSTA chapters. Also will be sending to specialty schools and schools near current SEDS chapters.

Please contact any schools you know well and urge them to enter this competition. I believe that we will be getting few entries for our first time with this so any entry could easily win.

Any questions can be forwarded to the previous director of outreach, Keri Bean, or to myself, Keri Hancock. (I know the names thing is a little weird.)

It was suggested that SEDS create a list of recommended space related reading. This would mainly go out to librarians, hopefully encouraging them to include more space related books, raising awareness and general knowledge levels in students of various ages. (Note: Adrian came up with this idea, and if you are reading this right now Adrian I'd like you to add on to all of this.)

I'd like to see a list of nonfiction books and a list of fiction books. Information should include: title, author, short summary, suggested age, and links to published reviews.

Below is the skeleton of a list of educational resources. I'd love to see it filled in. :D
Basically you can link websites or make a wiki page with your own information and link that.
This is an easy project to do when you have a free minute or when you are procrastinating over a test. I'll be working to fill this out as well but if there are others who are truly interested in outreach, I shouldn't be the only one adding links.
If you'd like to change the formatting just let me know.

When this is all finished we'll publish it offically through SEDS (somewhere we can still add to it). We'll also decide on other places to advertise it, for example: to NEA and NSTA chapters, directly to schools, and to other organizations.

SEDS-USA Educational Outreach Planning

This page is for the planning of SEDS-USA educational outreach projects.

The basic ideas you've all given me of what SEDS-USA should be doing are:
*Pushing Educational Outreach (EO) on a national level
*Encouraging EO projects on a local level
*Creating inter-chapter EO discussion and coordination
*Being sure to give members a clear up-to-date idea of what SEDS-USA is doing in EO
*Helping chapters learn how to run EO projects through various means

Those projects listed are mainly just research. If we can get those done quickly we can move on to bigger things from there.

There is also now an Educational Outreach forum on the SEDS website. You can visit it here: http://forums.seds.org/viewforum.php?f=68. I'd like to see brainstorming there as often as possible.

There will be an Educational Outreach server up shortly.

Let's make this all happen people.

Grant Atkinson (7:10:40 PM): next, the CoC voted to reserach whether or not the position of Director of External Affairs should be created and report their findings at the next CoC

Grant Atkinson (7:11:07 PM): there was also a vote to change the SEDS bylaws so that the Director of High School Affairs must be a high school student

Grant Atkinson (7:11:31 PM): after much discussion, the CoC elected to maintain the current meeting time of 9 PM EST on the last Wednesday of each month

Grant Atkinson (7:12:08 PM): the CoC also voted to reserve the first 10 minutes of each CoC for discussion of updates and inter-chapter relations

Grant Atkinson (7:12:22 PM): to help facilitate the inter-chapter communication frequently discussed at SpaceVision

Grant Atkinson (7:12:56 PM): Finally, the CoC also voted to mandate quarterly updates from each chapter and to hold the next CoC on Skype rather than AIM

David Holewka (7:15:22 PM): Using stables can make the folds inaccurate and it sometimes comes out unprofessionally, so one of our big goals right now is acquiring one.

David Holewka (7:15:51 PM): We have one picked out right now, but are still looking for the funds for it.

Keri Hancock (7:16:23 PM): How are you thinking of funding it, how much is it, and will it cost anything to maintain?

Bruce Davis (7:16:43 PM): how many hard copies of the NOVA do you envision making per publication?

Rick Hanton (7:16:45 PM): Also, can we relate that cost to what we're looking at in advertising for NOVA?

David Holewka (7:17:46 PM): We have some grants that we're still waiting to hear back on I believe. It costs $716 initially, but an estimated $.33 per month for stables.

David Holewka (7:18:54 PM): For the NOVA, I would like to print more than what we are making right now to make it easier to get to our members and others who are interested, possibly through mailing and download online, I haven't explored all of my options yet.

Josh Nelson (7:19:18 PM): Given you are currently waiting to hear from grants, is there anything you're asking us for at the moment? Or merely letting us know it is being considered/pursued?

David Holewka (7:19:40 PM): As for the cost from advertising, I have not yet been briefed by Matt about our advertising rates. That will hopefully happen soon so I can get an idea on how we stand there.

Bruce Davis (7:19:50 PM): it would be great to get copies bound copies to different chapters, I guess it's a question of whether they should be made at Buffalo or locally

Josh Nelson (7:20:51 PM): Yeah... Might be nice to save binding for special occasions, like conferences, or shipping to non SEDS members.

David Holewka (7:20:52 PM): Unfortunately, all I know right now is that we're waiting for the grants to be considered. I haven't been updated on all of that yet.

David Holewka (7:21:34 PM): I would really like to use our publications as a way to make our chapters closer, so sending binded copies is something I hope to achieve.

David Holewka (7:47:17 PM): From what I understand, there was. I guess there's an astronaut or two maybe that read it already. I haven't heard all of the details from SpaceVision yet, but I would like to be read by people outside of SEDS.

David Holewka (7:52:57 PM): in the heart of making publications easier, I would like to push for having access to the funds more easily attainable. Possibly having a second PayPal account or creating a new Publications PayPal. Any funds taken from there to be used would be approved by the board.

David Holewka (7:53:49 PM): This makes it easier to use advertising funds and what not on the binding machine, should it come to that, for fixing our printer (As you saw, the NOVA was a bit streaky), as well as purchasing publications materials in general.

Josh Nelson (7:54:19 PM): Problem I could see with this is we need to keep very accurate book keeping for the IRS/501c3

Josh Nelson (7:54:32 PM): And the easiest way to do this is have all of the funds run through one person (Justin)

Rick Hanton (7:55:38 PM): So from my reading of the meeting with the advisors, there are all these thoughts about up to 3 different accounts. Probably makes more sense for one well-managed account.

==Meeting Minutes==

1) Clarify in the bylaws of the specific roles of “understudy” positions on the Board.

Motion: SEDS USA Exec board researches the idea of having unofficial positions on the exec board. (Passes).

2) Creation of a position “External Affairs”, more specifically focused towards policy. (question, is this already in the Chair’s description?). Motion to have the exec board research the position to have chapter affairs and get back to the CoC with these details. Motion passes.

3) Remove the position of high school affairs? Keri: the position is a conflict of interest with chapter affairs, expansion and outreach. Role of the position is best to be shared with others. Should this position be left to the individual chapters? Motion: To only allow that the director of high school affairs to be a high school student. Motion passes.

4) Changing the time of the CoC meeting. Caltech is having trouble on a regular basis of making the CoC as dinner for the entire campus. Caltech does not believe that this is healthy for the long-term success of the chapter and national relations. Motion to keep the schedule at the current time passes.

5) MIT, Eric Peters. Discussion on materials and

7) Discussion of the usability of AIM and how it allows / prohibits discussion. Motion to try a new media at the next CoC meeting.

8) Discussion of having “free time” for the first 10 minutes of each meeting for general discussion. Motion to perform this at the future CoC meetings passes.

9) Question from UB regarding lack of chapters updating the website on what the chapter is doing. Motion to require chapters to provide a quarterly updates on the website.

10) Next meeting will be Jan 6th,
